Upton St Leonards Village Hall Annual Report for the period 1[st] February 2023 to 31[st] January 2024

Upton St. Leonards Village Hall is sited at Bondend Road, Upton St. Leonards adjacent to the Birchall Memorial Institute and is a central feature of the village. The hall was founded after WW1 as a gift to the village by the Birchall family, which then resided at Bowden Hall, in memory of the family members who died in the conflict. It is an unincorporated charity registered with the Charity Commission (No 214415)2At the 1[st] March 2023 the Trustees were:

The last year was a year of little note for the hall itself, there were no major projects to carry out, the entrance hall, corridor and stairs were re-decorated in July and it was agreed with our Art class leader Christine Hughes that she would hang some of her pictures in the corridor, which certainly brightens the hall up.

As expected of course with the termination of our 3 years Electricity supply contract a new one was negotiated as slightly less than double what it had been, fortunately the account had built up a credit situation so the impact this year was not large, 2024/5 may be a different case. We tried to obtain a better contract with an alternative supplier through an energy broker, but in then it proved better to stay with our existing supplier. The contract was on for 1 year as prices were anticipated to fall back and that has it seems been the case. However a decision was taken to increase the hire charges for casual hire in August and for regular users from 1[st] January 2024. The Gas contract is still valid until November 14[th] 2024.

The number of regular user has been steady with a couple of new classes starting and a Squirrels Group being added to the Scouting fraternity.

The year-end saw an excess over income of just over £5k, however cost will have an effect next year without doubt.

It was decided in January to arrange a fund raising evening in May particularly now we have lost the Bonfire night income

During the year Jackie Lord stepped down as a Trustee and we wished her well and thanked her for all her years of hard work. Mike Stratford will step down in April this year as Parish Council Representative. It is suggested that Jim Browne take that role as he also serves on the Parish Council and we seek another new Trustee. In November a new Trustee came forward and was accepted as co-opted by the Trustees with his nomination to be voted at the AGM.

AUDITOR’S REPORT

FOR THE YEAR ENDED 31.01.2024

I have examined the Village Hall’s accounting records and consider them to be adequate for the purpose of accurately recording the financial transactions throughout the year under review.

I have also examined the records and supporting documents, vouchers and invoices provided and can confirm that, in my view, the accounts they have prepared represent a true and fair view of the Village Hall’s financial activities during the year and the state of its financial affairs as at 31[st] January 2024.
