## **THE TRUSTEES OF THE BELCHAMP ST. PAUL & DISTRICT COMMUNITY HOUSE Registered Charity Number 211460 ANNUAL REPORT OF THE TRUSTEES** 

The Trustees present their report with the financial statements of the Trust for the year ending 31[st] December 2021. 

## Principal Objectives. 

To administer the building known as the “Community House” in Belchamp St. Paul in the county of Essex, and the land belonging thereto for the benefit of the inhabitants of the civil parish of Belchamp St. Paul and its immediate vicinity including the parishes of Ovington, Tilbury juxta Clare, Belchamp Otten and Belchamp Walter. 

## Statement of Trustees responsibilities. 

The Trustees are responsible for safeguarding the assets of the Charity. The Trustees are required to prepare financial statements for each financial year which give a true and fair view of the state of affairs of the Charity and the results of the Charity for that year and to maintain throughout the year proper accounting records which disclose with reasonable accuracy at any time the financial position of the Charity.

Hardy (Belchamp St. Paul) co-opted (Resigned 30.05.21). Mr. P. Pawsey (Ovington) co-opted. Mr. S. Rulten (Tilbury juxta Clare) co-opted(Resigned 12.04.2021). Mrs. K. Miller (Belchamp St. Paul) co-opted. Mr. M. Jensen (Belchamp Otten) co-opted. Mr K. Neville (Belchamp St Paul) co-opted (Resigned 24.01.2021). Mrs K. Clark (Tilbury Juxta Clare) co-opted. Appointed 16.07.2020 (Resigned 08.04.21). Ms V. Miller (Belchamp St Paul) co-opted. Treasurer. Appointed 25.02.21. 

## - Activities throughout the year: 

During the year use of the Community House (House) was again severely curtailed by Corvid 19 but was used by the following local organisations as regulations allowed:1. The Parish Council. 

2. The Morris Dancers. 

3. The Tennis Club. 4. Tai Chi and Yoga. 

5. The Belchamp Art Group. 

The House was also used by local inhabitants and others for private functions. 

In conjunction with the relaxation of the Corvid restrictions and reopening of the House a Fire Safety Risk Assessment had been commissioned and its recommendations including the provision of an integrated alarm system and an enhanced emergency lighting system installed. Further improvements will be made in 2022. 

The Trustees held formal face to face meetings on six occasions with other meetings being held and decisions made and agreed by email. 

During the year grants were received from Braintree District Council **(BDC)** in respect of Corvid and from the Garfield Weston Foundation for roof replacement. 

After much debate **BDC** Planners had, in September, agreed that we may replace the existing thatch with a slate roof.  Quotations are being sought and it is anticipated this work will be carried out in summer 2022. 

Subsidence that had manifested itself in 2020 had stabilised and insurers had compiled a schedule of repairs and redecorations to be carried out in early 2022. At insurers insistence work had been carried out on trees surrounding the House.

Basis of independent examiner's statement
My examination was carried out in accordance with the general Directions given by the
Charity Commission. An ex3mination includes a review of the accounting records kept
by the charity and a comparison of the accounts presented with those records. It also
Includes consideration of any Unusual items or disclosures in the accounts and seeking
explanations from the trustees concerning any such matters. The prO￿dureS undertaken
do not provide all the evidence that would be required in an audit and consequently no

In connection with my examination, no matter has come to my atter*tion'.
