ObJectlve4 Oryantsallon and Activity
The ckmrity is cstsblishcd to maintsin the Lingfield Gu¢st House, which is uscd as a public
library and ￿￿￿UM. Mr Hayward endowed the building by directing that the income from
his eslate should be applied towards the maintenance and repair of the house and garden.
The building, which dates fiY)m the 15th centl￿ and is listcd Grade ll•. is divided in two.
Thc local public library is housed in part of ￿ building and the ren)ainder is a self-
contained maisonette which is 0￿UpIed by a lenanL The contribution made by botb
occupier5 goes towards thc running costs. general upkeep and rnaintenance of the building.

Review of progress and aehlevements durkng the year
The directors of the trustee company meet dwing the year to ¢onsid¢r v￿louS matters
latin8 to the upkecp and r¢storation of the building, and the incornc and expcnditure of
the trnst.
Durin8 thc year cyclical maiDt¢nance and repair work was carried out ai the Guest House
and a detsiled inventory of the physical assets hcld by th¢ trust been maintsined.
Contracts for security. maintenance of thc 88rdens and cleaning the building conlinue in
place. A contract Is in place with Surrey County Council for the use of part of the building
for the Lin8field Community Librdry. The maDag¢meDt contract for the maisonette has also
been review¢d.
Throughout the year, rcpairs and raailltCZWlCC Continued in respect of the buildin8
nccessary and th¢ gardens continued to k well ￿￿ID(810¢d. Also, the clocks were repaired
alld arc now workin8 well,
InveBtmMt Polley
The investsnent policy of th¢ trustee h&8 been to invest its funds to rnaintain their capital
growth and io generale incorne to fund the running costs of th¢ building. As a small ¢harity
the most cost-effective way of doing this is to invest in pooled funds.
Th¢ majority oftrust &8sets wrnprisc invcstmcnts with BlackR¢xk Fund Managers and fimds
held in thc bank. The di[￿torS of the tn￿ company have reviewed the investhients and
taken the view they remain appropriate for tbe trust ¢onservativ¢ly managed funds
providing an incom¢ and capital growth. Iley are also ¢onsid¢ring diversifying the
investsnent portfolio in th¢ future to ensure the best spread of risk and reward.
Reserves Polley
The dir¢ctOTS ofthe trustee company are working to ensure the bank aLtountholds abalancc
of at l¢ast £50,000 to allow for the opcration of thc trust for at least six months in the event
of the loss of income. However, where it is held to be imFnKl¢nt lo trdnsfer funds to the
investments, the dircctOTS will allow a bigber of funds to be relained in the bank account
until it is deemed appropriate for an investment to be made.

Risk Poliey
The directors of the trustee company have revicwcd the risks facing the t￿￿. Those risks
identified are.. potential Ioss of income due to reliance on limited users and darnage to the
building by fir¢. They are content that the risks are well understood and that appropTiat¢
action to mitigate risks wherever possibl¢ has been taken. A fire risk assessment w
commissioned and cornpleted aftcr thc ¢nd of the year and appropriate insurance poli¢i¢s
have been put in plac¢ and policies will be reviewed annually.
Financ
ltsese financia] statements show thc current financial slate of thc tru8t which is considered
to be sound.
ResponsSbllltles of tbe Trustee
The Charities Act requires the trustee to prepare financial 5tstcmcnts for each finan¢ia] year
which give a true and fair view of thc state of affairs of the charity at the end of the year and of
the incoming and outgoin¥ resuurces for thc year then ended.
In preparing those financial stst¢ments, the trustee is required to sclect suitable accountin8
policies and then apply them consistently* making judgement5 and estimates that are reasonable
and prudent. Th¢ trustee rnust a150 prepare the financial ststements on the Boing concern basis,
unles5 It is inappropriate to presume that the Lharity will continue ils activitics.
The tNstec is r¢spvnsible for keepin8 proper accounting records which disclose reasonable
accuracy at any time the financial pusition of the charity and to enabl¢ it to ensure that the
financial ststements comply with the Charities Act 2011, The trustee is also responsiblc for
safe¥uarding the assets of the chaTity and hence for tsking reasonable steps for the prevention
and detection of fraud and other irregularilies.
The board k¢¢ps its membership under review and Seeks to ensure that it reflects the skills 8JMI
experience needed to discharge ils r¢sponsibilities. Its approach to recruitment reflects the
circumstances of a small. local charity that experiences low turnover. The board will make use
of advertisement or other approaches to recruitment as appropriate.

## **Independent examiner's report to the Trustee of Lingfield Guest House Trust** 

I report to the charity trustees on my examination of the accounts of Lingfield Guest House Trust for the year ended 31 March 2025. 

## **Responsibilities and basis of report** 

As the charity’s trustees you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 (‘the Act’). 

I report in respect of my examination of the charity’s accounts carried out under section 145 of the Act and in carrying out my examination I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act. 

## **Independent examiner's statement** 

I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination giving me cause to believe that in any material respect: 

1. accounting records were not kept in respect of the charity as required by section 130 of the Act; or 

2. the accounts do not accord with those records. 

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.
