PRESTBURY MEMORIAL TRUST CHAIRMAN’S REPORT JANUARY TO DECEMBER 2021 

The pandemic continued to disrupt the Trust’s work for a large part of this year. Activities were severely limited but our warden, Jenny Roden, continued to support our members with phone conversations, shopping trips, collection of medication  and transport to GP appointments etc. As restrictions were lifted and people became more confident in mixing with others, we were able to resume quite a few of our activities: 

Minibus shopping was resumed in June. 

Lunch club resumed in August and is currently operating successfully on a monthly basis in the WI Hall. 

The sit and fit group restarted in September in the library with an average attendance of 17 each week. 

June also saw the launch of our new look website and our thanks go to Brian Wood for his help with this. 

Although the minibus continues to give good service, we plan to look at how we may be able to find the funds to replace it in the next few years. The introduction of the Allstar diesel card eliminating the need for petty cash for refuelling has been a great success. 

We started minibus outings for our members on a Monday and Thursday; these have been very well received. In December, we did two evening drives around Prestbury/Cheltenham to view the Christmas lights followed by a fish and chip supper at Simpsons. We were very well looked after and everyone enjoyed the Christmas carols in the bus! 

It is intended to continue these trips throughout next year with visits to garden centres, the coast and again the Christmas light tour. 

Fund raising was again impacted by the restrictions imposed by the pandemic. A coffee morning was held in August which raised £503.10. We also held 3 quiz nights in the Pavilion at the Royal Oak. These evenings were incredibly successful with tickets being sold out within minutes of being made available. 

Our Christmas party with entertainment, Father Christmas and gifts was thoroughly enjoyed by all, with over 50 attending. 

The Friendship Group continued to support members with 72 birthday visits this year. 

We welcomed 2 new trustees Steve Price and Dave Miller who took over from Nigel Woodcock and Henry Whittal respectively.  Many thanks to both Nigel and Henry for their long service to the Trust. 

My thanks to the warden, to the committee for all their help  and to all the volunteers without whom we would not be able to function.

## **Report of the Treasurer for the year ended 31[st] December 2021** 

Another difficult year when we were unable to hold many of our usual activities until late on. It was necessary to transfer £1500.00 from reserve in addition to £1000.00 from the 100 club (where further funds of around £500.00 are available) to  keep things going. Our main income remains rent from 10a and our investments, whilst our largest outgoing is Jenni’s (well earned) salary. 

Lower use of the minibus reduced our income from that source, but we were still faced with the insurance and road tax payments together with unexpected maintenance which led to an increased deficit of some £300.00. Surplus from the creativity sessions in the library was well down . We spent £654.00 on publicity materials which hopefully will last a while. Fund raising from activities was up around £1000.00 from the previous year. 

After HSBC decided to impose charges on the Friendship account it became totally unviable. Accordingly, once the November dividend was received, I instructed them to transfer the balance to CAFBANK which took them 5 weeks. Application has been made for a new account to keep funds separate and once this is available, I will transfer the £2296.19 into it from the main account. 

We are already aware of further essential expenditure on 10 and 10a which will be paid in January.

My examination was carried out in accordance with the General Directions given by the Charity
Commission under section 43(7)(b) of the Charities Act 1993. The examination included a
review of the accounting records maintained by the Trustees and a comparison of the accounts
with those records. It also includes consideration of any unusual items or disclosures in the
accounts, and seeking explanations from you as Trustees concerning such matters. The
procedures do not provide all the evidence that would be required in an audit, and consequently,
I do not express an audit opinion on the view given by the accounts.

In connection with my examination, no matter has come to my attention:
which gives me reasonable cause to believe that in any material respect the
requirements
*to keep accounting records in accordance with section 41 of the Charities Act 1993;

to prepare accounts which accord with the accounting records have not been met.
