Annual Report to the Charity Commission for the period l January 2025 - 31 December 2025 Charity name: THORVERTON MEMORIAL HALL Charity reglstration number., 203778 Objectives and Activltles: to provide & maintain a village hall for the use of the inhabitants of the Parish of Thorverton without distinction of political, reli- gious or other opinions, including the use of meetings lectures and classes, and for other forms of recreation and leisure-time occupation, with the objective of improving the condition of life for the villagers. The Govemlng Document is the Scheme dated 26th April 1977 as amended by a resolutlon dated 13th October 2023. This resolution made a number of minor administrative changes which We accepted by the Charity Commission on 7th November 2023. Thorverton Memorial Hall Committee of Management is comprised of up to ten elected Trustees, plus two co-opted Trustees, as well as one representative nominated by the Parish Council and up to five others nominated by recognSsed local organisations. Trustees are appointed or reappointed annually at the Annual General Meeting held In Aprll. In 2025 our Trustees were the followlng: Penny Wlles, Michael Baldwin, Peter Marshall (until June 2025), Sarah Addicott, Andrew Saunders, Naomi Hepworth, Guy Bracewell, Emmie Payne Cook, Noel Tancock (until April 2025), Carolyn Johnson, Stephanie Gounaris-shannon (until March 2025) Bryony Uglow (Parish Council nominee) Peter Griffiths (from Octo- ber 2025) Summary of the main achlevements of the charity during the year Increasing the use of the hall TMH exists to beneflt all those Ilving in the community of Thorverton & we are lucky to have such a well-appolnted hall In an attractive setting. Focusing on bookings for a minute, much of TMH'S bread-and-butter income comes from regular activities such as Pilates, and from one-off bookings such as parties & weddings. Bookings overall saw a 16010 increase in 2025, down slightly on the previous year. New types of bookings for 2025 included craft workshops, art workshops, a busine55 team building day, plus a crèche. Carrying out a number of improvements to the hall Several capital funding opportunities came our way in 2025. In the summer we applied for & were granted 100 % funding amounting to just over £4000 from Mid Devon District Council under its Community Commercial Hubs programme set up to develop community halls for businesses. The timing was fortunate as we had been conscious for a while of the limitations of the hall's rather heavy and old-fashioned chairs. The work of putting together the application was a true team effort with many Trustees involved in sourcing and selecting new chairs and other equipment. 100 new conference Style chairs were delivered in November and have been judged by our hall users to be comfortable as well as Ilght.
A further grant opportunity presented itself in late 2025, once again from Mid Devon Distrlct Council. We were awarded a grant of £5,000 under the Councll's Green Enterprlse Grant scheme towards the £10,000 cost of installing a solar battery to complement the existing solar panels, together with two new triple-glazed wlndows in the back hall. The work on completing this grant application was undertaken by the Secretary of the Trustees who, as part of this process, also drafted the hall's Carbon Reduction Plan. The works were completed in March 2026.& it is anticipated that TMH will reap the financial benefits of the solar battery through reduced electricity costs. Developing the hall as a business hub The concept of the TMH Business Hub providlng conference, meetlng and workshop spaces for local business and the wider community evolved from the work undertaken to make the hall more suitable for buslness use, and from the realisation that, being in a rural environment but close to transport links, TMH should appeal to businesses. The Hub is as yet in its infancy and promoting & marketing what TMH can offer is an area of work that Trustees are developing. This work has been carried out in tandem with updating and improving the website, which is ongoing. Artivities & events in Thorverton Memorlal Hall In 2025 The activities that take place in the hall continue to bè a mix of classe5 organised by third parties, a space for the school to use for their theatrical performances, as well as a steady stream of bookings for parties of all kinds, and events organised by Thorverton Memorial Hall. The showing of films each month continued throughout 2025 and we also hosted a theatrical performance of 'Last Dance Saloon,, with the support of 'V.illages in Action, which is Arts Council funded and geared to brlng theatrical productions to rural venues in the south west. The performance culminated in a tango lesson for all in the audience. One issue which Vlllages in Action say is common with other venues was the low audience numbers. We have to bear in mind the benefit of brlnging such productions to TMH balanced against the conslderable work, and financial risk, entalled In hosting such performances The monthly Big Breakfasts continue to attract up to 50 villagers every month, & it has been pleasing to see more young families following their park run on the Millennium Green by coming into TMH for breakfast. A well attended community event was a mass plcnic on the hall lawn in May th commemorating the 80 Anniversary of VE Day. Financial Review Our Treasurer passed away following several months Illness in June 2025, which was a great sadness. We were very fortunate to recruit a new Trustee with an accountancy background who was prepared to take on the role of Treasurer from November 2025. Whilst acknowledging the spreadsheet- based financial record keeping was rather outmoded, it was decided to continue for a few months with the spreadsheet and to take time to carefully consider what sort of accounts system should be introduced and address the Issue of whether, and how, to outsource a web-based accounts system.
Encouraged by the posltive Quickbooks experience of one of our Trustees, we decided to opt for this system which so far has proved successful in meeting the specific needs of a small charity such as ours. It is a huge plus that managlng thls system in-house has proved do-able and that we do not need to go down the road of outsourclng the day-to-day accounts management. Throughout 2025 TMH flnances were in robust shape, with the 2025 surplus being more than double that of 2024. Future plans SorrTe specific projects have been Identlfled, as follows: Look creatively at the potential of the hall, & how to boost bookings during quiet periods such as weekday afternoons Continue developing the website Encourage and nurture more buslness use Diversify the craft & produce stalls (In realityi tables) at Big Breakfast, and encourage more food producers to come on a regular basis Encourage a younger demographic to hall events Hold events such as community meals, and draw in. people other than Trustees to help organlse Appoint more Trustees to help Spread the load Investigate moving to an online booking system Review our policies & draft new ones where there are gaps Implement some of the improvements highlighted in the Carbon Reduction Plan Reallstlcally not all of the above will be achleved in the next year, but the above list gives our direction of travel. Whilst individual Trustees take on responslblllty for particular projects such as updating the website, all Trustees made valuable contributions to the work of TMH in 2025.
