Under the Indenture rules the Committee shall consist of a minimum of 7 elected representative Members. One representative shall be appointed by each organisation using the Village Hall. All members of the Committee shall retire from office at the Annual General Meeting following their appointment, but may be re-elected. Votes may be cast by all inhabitants of South Milton who are 18 years or older. 

## **Objectives** 

The Village Hall and equipment therein, insured value £424,252 (2019/20 =£419,361) is held in trust for the enjoyment of the inhabitants of South Milton. 

## **Review of the period** 

Although, due to covid, the hall has been closed for most of 2020, we are fortunate enough to receive over £18,000 in grants from SHDC and this, along with Daphne's walk and Nick's run and other sizeable donations during the year, as seen in the accounts, show that there is great support for the hall. Hopefully in 2021 will be able to move on and think about  the future. 

The committee and I have been so appreciative of all the support during these dark times.

## **Notes to the Accounts** 

Accounting Policy 

The trustees resolved in 2004, to present the annual accounts using the simpler receipts and payments accounts basis, instead of accrual based income and expenditure accounts. This means that receipts are recognised on the date that cash or cheques are received- not when they are banked or cleared. Similarly payments are recognised when the cash is paid over or when the cheque is written. 

Receipts from the electricity meters for the year under review were split as follows: Main Hall £46 (previous year £345); Snooker £114.10 (previous year £476.60).

|**Basis of examiner’s statement**|My examination was carried out in|
||accordance with General Directions given by|
||the Charity Commissioners. An examination|
||includes a review of the accounting records|
||kept by the charity and a comparison of the|
||accounts presented with those records. It|
||also includes consideration of any unusual|
||items or disclosures in the accounts, and|
||seeking explanations from the trustees|
||concerning any such matters. The|
||procedures undertaken do not provide all the|
||evidence that would br required in an audit,|
||and consequently I do not express an audit|
||opinion on the accounts.|
|**Independent examiner’s statement**|In the course of my examination, no matter|
||has come to my attention:|
||(1) which gives me reasonable cause to|
||believe that, in any material respect, the|
||trustees have not met the requirement to|
||ensure that proper accounting records are|
||kept (in accordance with section 41 of the|
||Act) and accounts are prepared which agree|
||with the accounting records and comply with|
||the accounting requirements of the Act; or (2)|
||to which, in my opinion, attention should be|
||drawn in order to enable a proper under-|
||standing of the accounts to be reached.|
