## **APPOINTMENT, INDUCTION AND TRAINING OF TRUSTEES**

Trustees are appointed by Members in a General Meeting. The Chair of the Trustees is responsible for the induction of any new committee member; this involves awareness of responsibilities, of the governing document, of administrative procedures and of the history and activities of the Association.

## **ORGANISATION STRUCTURE**

Although the trustees have overall and ultimate responsibility for the governance, management and operation of the charity, they may receive guidance and non-binding advice from honorary governors, who are drawn from the community. The trustees may appoint secretaries or officers to support the delivery of the charity’s activities and to assist with financial, administrative and operational matters. Each secretary shall be responsible for overseeing specific activities or functions as delegated by the trustees and shall be accountable to them. Secretaries are required to report regularly to the trustees on the progress of activities, the use of resources and any matters relevant to the effective running of the charity.

## **RISKS AND INTERNAL CONTROL**

The Trustees have overall responsibility for ensuring that ID:MK has appropriate systems of control, both financial and operational. These systems should be designed to provide reasonable, but not absolute, assurance against material misstatement or loss. The Trustees have recognised that there were some financial and operational risks and implementing an action plan to ensure that, as far as is reasonable, controls are in place to protect ID:MK, its members, the general public and other stakeholders.

## **OBJECTIVES AND ACTIVITIES**

The ID:MK promotes mainly for the benefit of the public particularly and not exclusively the Indian Community in the United Kingdom, in particular:

To advance public education in and appreciation of the arts, culture and heritage of India for the public benefit, in such ways as the trustees may determine, including but not exclusively through the organisation of cultural, educational and community events and festivals in the United Kingdom.

the promotion of equality and diversity for the public benefit by:

- promoting activities that foster understanding and good relations between people from different racial, cultural and social backgrounds; and

- cultivating a sentiment in favour of equality, diversity and social inclusion within the community and the wider public.

- to provide facilities in the interests of social welfare for recreation, leisure-time occupation and cultural participation for individuals who have need of such facilities by reason of youth, age, disability, financial hardship or social circumstances, with the object of improving their conditions of life.

## **WHAT WE DID**

During the year ending 31 March 2025, ID:MK was newly established, having been formed on 25[th] September 2024. During this initial period, the charity did not deliver any major events or programmes. The trustees focused on organisational set-up activities, including establishing governance arrangements, administrative systems, compliance processes and planning future charitable activities in line with the charity’s objects.

Although no public events or services were delivered during the period, the trustees consider that the preparatory work undertaken was necessary to enable the charity to operate effectively and to deliver public benefit in future periods. In planning its activities, the charity intends to provide educational and cultural initiatives that will be open to and accessible by the wider public.

The trustees confirm that, in exercising their powers and duties, they have had due regard to the Charity Commission’s guidance on public benefit and have complied with their obligations under section 17 of the Charities Act 2011.

## **FINANCIAL REVIEW**

## _**Financial Results For The Year**_

The financial statements cover the period from incorporation on 25[th] September 2024 to 31[st] March 2025. During this period, the charity did not undertake any trading or charitable expenditure, as activities were limited to initial set-up and planning. Consequently, there was no income or expenditure for the period and the charity reported neither a surplus nor a deficit.

At the reporting date, the charity held no funds and had no cash balances. The trustees consider the financial position at the year-end to be appropriate for a newly established charity. Full details of the charity’s financial position are set out in the accompanying accounts, which have been prepared in accordance with the Charities Statement of Recommended Practice (FRS 102).

## _**Reserves Policy**_

The trustees aim to maintain an appropriate level of reserves to ensure that ID:MK can continue to meet its charitable objectives and operate effectively. In setting the reserves policy, the trustees have considered that the charity has no paid staff, no lease or premises-related commitments, and that future activities are expected to be self-funding.

On this basis, the trustees consider that a reserve of £nil would be sufficient to meet the charity’s foreseeable obligations and to provide a reasonable level of financial stability. As of 31 March 2025, total reserves stood at £nil. The charity has no designated or restricted reserves, and any excess funds will be retained and applied in future periods to support activities that further the charity’s objectives.

## _**Plans for Future Periods**_

During the next reporting period, the trustees intend to commence the delivery of the charity’s planned cultural, educational and community-based activities in line with its charitable objects. The focus will be on developing a sustainable programme of events and initiatives that are accessible to the wider public.

The trustees also plan to continue strengthening the charity’s governance and financial management arrangements. This will include further development of internal controls and administrative systems, as well as the introduction and expansion of online payment methods in order to improve efficiency and reduce reliance on cash transactions.

## **Independent Examiner's report**

I report on the accounts of the charity for the year ended 31 March 2025, which are set out on page 8.

## Respective responsibilities of trustees and examiner

The charity's trustees are responsible for the preparation of the accounts. The charity’s trustees consider that an audit is not required for this year under section 144 of the Charities Act 2011 (the Charities Act) and that an independent examination is needed. It is my responsibility to:

- examine the accounts under section 145 of the Charities Act,

- to follow the procedures laid down in the general Directions given by the Charity Commission (under section 145(5)(b) of the charities Act, and

- to state whether particular matters have come to my attention.

## Basis of independent examiner’s statement

My examination was carried out in accordance with general Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts and seeking explanations from the trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently I do not express an audit opinion on the view given in the accounts.

## Independent examiner's statement

In connection with my examination, no matter has come to my attention other than that disclosed above which gives me reasonable cause to believe that in, any material respect, the requirements to prepare accounts which accord with the accounting records and comply with the accounting requirements of the Charities Act have not been met; or to which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.
