Structure, Governance and Management
The Cylch is made up of 3 volunteer trustees who are elected every 3 years. These trustees are parents of children who are or who have attended the Cylch. We employ one full time Cylch leader and two part time support assistant.
Charitable Purpose & Activities
This annual report is for a fee charging Welsh-medium early years childcare and education provider through Mudiad Meithrin. Cylch Meithrin Tremeirchion’s priority is the happiness and safety of each child – our homely and happy environment offers the best possible care, and the chance for each child to learn and to develop to their full potential. The setting offers toys and resources of the highest standard, appropriate to the children’s needs, development and ages. Children over the age of 2 are introduced to activities which promote age 3-7 Foundation Phase (the national early years curriculum) in order to ensure the best possible start to their education. We plan our outdoor play areas carefully, in order to create learning opportunities and place emphasis on outdoor activities. Qualified and experienced staff are responsible for ensuring that each child receives appropriate, tender care. Each child’s individual needs and development is taken into consideration, including the need to socialise, learn and play.
Achievements & Performance
In September 2024 the Cylch welcomed 12 children into Meithrin Mwy which was fantastic to see Cylch Meithrin chosen as a childcare provider for so many. We also welcomed children from new families this year. Many parents have taken up the opportunity to keep their child at cylch until 16:30 demonstrating that extending the hours catered to a need within the community we serve. We have been running our first monthly raffle since December 2024 which we called ‘Reward Club’ which 49 people signed up to and allowed us to fundraise to get new equipment.
Due to increased numbers, it was a very positive year for the Cylch financially and we succeeded to recover some of the loses from the previous challenging financial year. We have continued to run our Ti a Fi session on a Friday morning which is a session for parents and their babies/toddlers to get to know our community and bring new families to Cylch Meithrin Tremeirchion. This was run initially
by our Cylch leader, and then by parent volunteers. We have run successful fundraising events throughout the year, including a very popular Cheese and Wine night, a Christmas fair, our annual sponsored walk, an Easter Egg hunt and the summer BBQ. These events are well supported by our community.
Financial Review
Total income was £36,076 with total expenditure being £27,660 for the period 5[th] September 2024 to 31[st] March 2025.
The principal source of income is childcare funding and fees, accounting for £31,832 (88%) of income, with support income of grants and fundraising.
Much of our expenditure was on staff salaries and pension, as well as running costs such as rent, phone, electricity meter, staff training, healthy snacks for the children and the Mudiad Meithrin fees. 79% of the expenditure went on staff wages, including pensions. Cost increases across the board affect the Cylch.
As an educational charity, we are exempt for VAT purposed, therefore unable to reclaim VAT on our costs. We pay tax as an employer through national insurance contributions.
We spent £1,630 on equipment and resources for the Cylch. With the main equipment purchase being £1,550 on a playhouse from Prestige Construction.
All expenditure was approved by the committee.
Future plans
Moving forwards, we intend on being a Flying Start provider when we have capacity to do so. We are open to increasing the hours we offer should there be demand for it and it is financially viable. We are working on improving our marketing and updating our approach to social media, as well as a newsletter to communicate with parents so that we can maintain the number of children coming to us. We have discussed a fixed annual fundraising calendar made up of: Cheese and Wine night, Easter Egg Hunt and the Summer BBQ. We have long hoped as a Cylch that when the neighbouring primary school receives funding from the council to modernise and develop a very dated site, that we can be included as part of this development and move the Cylch on to the school site. This has happened locally, e.e. Ysgol Twm o’r Nant, and it would a huge benefit to the children who attend the Cylch and school. We also need to work with the church to make the building that the Cylch use more energy efficient as the heating is a huge cost.
Public benefit
Our charity provides public benefit by delivering Welsh-medium early years education to children aged 2-4 in our local community. We have children that travel from outside of Tremeirchion itself (up to 10 miles) as parents are eager to offer their child the opportunity to begin their journey to learn Welsh ahead of attending the primary school, all within a rural setting. Our service is open to any child of any background should their parents/carers wish for them to attend the Cylch.
Reserves statement
We have agreed as a committee to always have in the current account 3 months of expenditure to cover any periods of financial difficulty. We have a seperate savings pot which we are building up with view to use if for equipment/resources when we hopefully move onto the school site in the future.
