## Structure, Governance, and Management 

- **Governing Document:** The charity is a CIO governed by its Constitution adopted on 14[th] of August 2024 

- **Trustee Recruitment and Appointment:** Trustees are appointed by election of members. New trustees are inducted into the charity’s operations, policies, and legal obligations by election at AGM. 

- **Organisational Structure:** The Board of Trustees meets weekly to manage the affairs of the charity. Day-to-day operations are delegated to a range of committee members, volunteers and contracted coaching staff. 



## Objectives and Activities 

- **Charitable Purposes:** The purposes of the charity, as set out in the governing document, are: 

   - To advance the amateur sport of field hockey for the public benefit, in East Grinstead, West Sussex and the surrounding area, by providing or assisting in the provision of facilities for children and young people to play field hockey ("facilities") means land, buildings, equipment and organising field hockey activities). 

   - To promote community participation in healthy recreation by the provision of facilities for playing field hockey (facilities means land, buildings, equipment and organising field hockey activities). 

   - To advance the physical education of children and young people in East Grinstead, West Sussex and the surrounding area, whether or not undergoing formal education in particular by the provision of facilities for playing the amateur sport of field hockey. 

- **Public Benefit:** The trustees confirm that they have complied with their duty to have due regard to the Charity Commission’s public benefit guidance when exercising their powers and duties. All activities are designed to benefit children and young people from the age of 5-18 in the local area. 

## Achievements and Performance 

This section is the "heart" of your report. Describe the difference your charity made this year. 

- **Main Activities:** Provision of hockey training, coaching and competition for children and young people. 

- **Key Achievements:** 

   - Established the club and grew membership base from nothing to 176 members 

   - Provided weekly hockey opportunity for said members, as well as trials for more 

   - Took part in all area wide relevant hockey competition. 

## Financial Review 

- **Financial Position:** The charity finished its first year with a modest loss of ~£300.Depite the onpaper loss, our cashflow position at the end of the year had a small surplus, putting us in a good position for the following years activity. Hawks received a number of small donations throughout the year to assist in achieving our objectives, by purchasing hockey equipment which might otherwise been out of reach. 



- **Reserves Policy:** The trustees have established a reserves policy to ensure the charity can continue to operate in the event of an unforeseen decline in income. The current target is to hold [£2,000] in unrestricted reserves, representing [4 months] of operating costs. 

- **Principal Funding Sources:** The vast majority of income is from membership subscriptions. The club also charges for certain events outside of the core principle of the club activity. To help make our activities affordable, the club also runs its own clothing shop, making just £2-£4 per item as surplus to cover overheads and hold stock. As a registered charity, the club also seeks charitable donations from individuals and other charities to supplement income and help us achieve financial security. 

## Plans for Future Periods 

- Over the next 12 months we will expand our offering to more children and young people. Our target for this period is to reach 250 registered members. 

- We plan to work even more closely with our facilities provider to secure a plan for future expansion of available facilities, to help us further grow in our mission in the future. 

## Trustees’ Responsibilities Statement 

The trustees are responsible for preparing the Trustees' Annual Report and the financial statements in accordance with applicable law and United Kingdom Accounting Standards. 

The law requires the trustees to prepare financial statements for each financial year which give a true and fair view of the state of affairs of the charity and of the incoming resources and application of resources, including the income and expenditure, of the charity for that period.

I report to the trustees on my examination of the accounts of the above charity for the year ended 30/06/2025 **Responsibilities and** As the charity's trustees, you are responsible for the preparation of the **basis of report** accounts in accordance with the requirements of the Charities Act 2011. I report in respect of my examination of the Trust’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination, I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act. 

**Independent examiner's statement** I have completed my examination.  I confirm that no material matters have come to my attention in connection with the examination which gives me cause to believe that in, any material respect: 

- the accounting records were not kept in accordance with section 130 of the Charities Act; or 

- the accounts did not accord with the accounting records; or 

- the accounts did not comply with the applicable requirements concerning the form and content of accounts set out in the Charities (Accounts and Reports) Regulations 2008 other than any requirement that the accounts give a ‘true and fair’ view which is not a matter considered as part of an independent examination.
