## **Trustees’ Annual Report** 

The Trustees are pleased to present their annual report and financial statements for the year ended 31/08/25. 

## **Principal activity** 

Perivale Primary PTFA was formed in 2022 and became a registered charity on 3[rd] Feb 2023, under the number 1201830. The charity was initially an unincorporated association. The Trustees passed the resolution to change the structure of the unincorporated association to Charitable Incorporated Organisation (CIO). The new CIO with the same name, but different charity number 1209440, was registered on the 5th of August 2024. The assets of the existing unincorporated association with value of £2,571 were transferred to the newly registered CIO on the 31st of August 2024. The request of closure of association was also submitted on the 31st of August 2024. The charity commenced it’s activities in 2024-25 academic year with CIO status. 

The Trustees meet on a quarterly basis. Trustees are elected or removed by consensus at a Members’ meeting.

## **Structure, governance and management** 

The charity is governed by a constitution, adopted 5[th] of August 2024. 

## **Objectives and activities** 

The object of the CIO is to advance the education of pupils in the school in particular by: 

- To create a community that enhances the school as a place for a children to experience, engage and encourages parents and children to enjoy their school life. 

- Engaging in activities or providing facilities or equipment which support the school and advance the education and engagement of pupils. 

## **Achievements and performance** 

Perivale Primary PTFA had a successful year. It organised number of events, including One Love Cultural Festival, Winter Fair, Smarties Challenge, Easter Extravaganza and Summer Fair. All the funds raised from those events are being used for charitable activities as set out below: 

## **The Outdoor Play and Learning (OPAL)** 

Trustees designated £3,800 in support of the OPAL programme that was rolled out in June 2025. 

## **Edible Garden Project** 

Back in 2023-24 financial year, with help of the Perivale Primary PTFA, Perivale Primary school turned an unused space on the school grounds into an Edible Garden and outdoor learning space. We successfully grew a variety of vegetables in the garden. Kids were involved in planting and harvesting. The garden will benefit the wider community as well. The first fresh produce was donated to Ealing Soup Kitchen to help homeless and vulnerable people. 

In 2024-25 financial year, , the PTFA ran harvest sales from the crops produced in the school edible garden, this was a great way to showcase to the children and families the results of their planting. We arranged planting workshops in the spring term 2025, so each class had the opportunity to continue to learn how to plant and to farm to fork, encouraging a healthy and eco-friendly lifestyle. 

## **Financial review** 

At the end of the period the charity had funds of £5,831, out of which £150 was restricted towards Edible Garden project and £3,800 was designated towards OPAL programme. The remaining £1,881 are the free reserves and the charity intends to apply these funds for future charitable purposes, as set out below under “Plans for 2025-26 Academic Year”.

## **Staffing** 

Perivale Primary PTFA employs no salaried staff. 

## **Fund-Raising Activities** 

Perivale Primary PTFA raises funds from donors (trusts, foundations, charities and individuals) and by organising fund-raising events. 

## **Plans for 2025-26 Academic Year** 

We will continue raising funds for the school. 

## **Post Balance-Sheet Review** 

The Trustees are comfortable with the charity’s prospects to 31/08/2026. 

## **Risk Management** 

In the absence of non-cash assets and of salaried staff and with the current level of reserves, the trustees of Perivale Primary PTFA feel that Perivale Primary PTFA runs no significant operational risks. Recipients of Perivale Primary PTFA awards must secure themselves against risks arising from their work. 

## **Reserves Policy** 

The trustees seek to maintain unrestricted funds at a level sufficient to enable Perivale Primary PTFA to cover its overheads in pursuit of its objectives for a year. The trustees feel that the current unrestricted reserves of £1,881 meet that requirement.

## **Statement of Trustees’ Responsibilities** 

The trustees are responsible for preparing the Trustees' Annual Report and the financial statements in accordance with applicable law and United Kingdom Accounting Standards (United Kingdom Generally Accepted Accounting Practice). 

The law applicable to charities in England and Wales requires the trustees to prepare financial statements for each financial year which give a true and fair view of the state of affairs of the charity and of the incoming resources and application of resources of the charity for that period. In preparing these financial statements, the trustees are required to: 

- •select suitable accounting policies and apply them consistently 

- •observe the methods and principles in the Charities SORP 

- •make judgements and estimates that are reasonable and prudent 

•state whether applicable accounting standards have been followed, subject to any departures disclosed and explained in the financial statements 

•prepare the accounts on a going concern basis unless it is inappropriate to presume that the charity will continue in business 

The trustees are responsible for maintaining proper accounting records which disclose with reasonable accuracy at any time the financial position of the charity and to enable them to ensure that the accounts comply with the Charities Act 2011 and the provisions of the trust deed. They are also responsible for safeguarding the assets of the charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.

## **NOTES TO THE ACCOUNTS Year ended 31 August 2025** 

## **1. Accounting policies** 

The financial statements are prepared in accordance with applicable accounting standards. The particular accounting policies are described below:- 

**Accounting Convention** – The financial statements are prepared under the historical cost convention 

**Compliance with recommended accounting practice and with Accounting Standards and with the Charities Act 2011** – in preparing the financial statements the charity follows best practice as laid down in the Statement of recommended Practice ‘Accounting and Reporting by Charities’ (SORP FRS102 effective 1/1/15) with Update Bulletin 1 (effective 2/2/16). There has been no change to the accounting policies (valuation rules and methods of accounting) since last year. 

**Fund Accounting** – The charity maintains various types of funds as follows:- 

_Restricted Funds_ represent funds grants, donations and other incoming resources which are allocated by the donor for specific purposes 

_Designated Funds_ represent unrestricted income which the trustees have allocated to a particular award or use, in furtherance of the objects of the charity 

_Unrestricted Funds_ represent unrestricted income which is expendable at the discretion of the Trustees in the furtherance of the objects of the charity, whether working capital or capital investment. 

**Donations and gifts** are accounted for as income when received. Incoming Resources from tax reclaims (under Gift Aid) are included in the Statement of Financial Activities when received from HMRC. 

**Grants Receivable** are recognised in the statement of financial activities when the condition for receipt has been complied with. 

**Gifts in Kind** are services given for use by the charity and recognised as incoming resources at their estimated market value when received, whenever an estimation of their value can be reliably quantified. 

**Tangible Fixed Assets** are stated at cost less depreciation. 

**Depreciation** for fixtures, fittings, tools and equipment is provided at rates calculated to write off the cost less estimated residual value of each asset over its expected useful life of three years (straight line basis) 

**Allocation of costs** – whenever possible expenditure is allocated directly to the activity to which it relates. However where this is not practicable, a percentage of the overhead costs is allocated to certain costs is allocated to certain activities based on the trustees’ estimation of the relevant proportion of these activities in relationship to the whole work of the charity. 

**Charitable Expenditure** includes all expenditure directly related to the objects of the charity. It includes costs of fund-raising, costs of governance as well as project support costs, if any, which represent the staffing and associated costs of supporting, monitoring and evaluating the grants and operational programmes for which the charity is responsible.

In 2023-24, Costco donated £250 and M&S donated £50 towards the costs of fundraising events. Both of those donations are included under Donations heading on the Statement of Financial Activities.
