## **Trustees’ Report**
The Trustees present their report together with the Accounts of the charity for the period ended 30 June 2025. The Trustees have adopted the provisions of ‘Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2019)’.
The Trustees of Reigate and Redhill Music and Drama Festival (RRMDF), an unincorporated charity, registered number 1034060, decided in June 2024 to amend the structure of the charity from an unincorporated charity to a Charitable Incorporated Organisation (CIO). This required registration of a new CIO, Reigate and Redhill Festival (RRF), which was duly registered with the Charity Commission on 17 July 2024. RRMDF and RRF have the same charitable objectives and following approval by the Trustees and members of RRMDF at an EGM in September 2024, approval was sought from the Charities Commission to transfer the assets of RRMDF, comprising cash held in a bank account, to RRF. This was granted on 26 February 2025, and all assets were transferred to RRF. An application was made to the Charities Commission to formally merge RRMDF and RRF and after this was granted, RRMDF was duly struck from the register of Charities on 20 May 2025. RRF undertakes all activities previously undertaken by RRMDF.
## _**Objectives and Activities**_
The Charity’s Objectives are the advancement and education of the public in Arts, and in particular the Arts of Music, Speech and Drama. To that end it organises and runs an annual music and drama festival in Reigate which includes both competitive and non-competitive classes, providing entrants with performing opportunities and constructive feedback from experienced adjudicators or mentors.
## _**Achievements**_
Having taken over the day-to-day operations of RRMDF, as detailed above, the Charity ran the Centenary Festival in May, celebrating 100 years since the first music festival was held in Reigate and Redhill.
The Centenary Festival was a resounding success once again with over 900 entrants for the second year in a row, taking part in 13 Sections over the festival fortnight culminating in a Gala Showcase, featuring some of the many highly talented performers who took part in the Festival. The Trustees were particularly pleased with the continued success of the Rock, Pop and Urban Section and Organ Section, both of which were introduced last year. In addition, there was significant growth in the number of entries to the Guitar Section this year.
A range of Centenary Merchandise was developed and sold during the Festival and although this didn’t make a profit this year, it provides good publicity in the wider community and remining stock will be sold or used in future years to promote the Festival.
A Strings Day is being held in the Autumn to facilitate and encourage participation in group music making and further such events will be considered in future years to encourage such activities in other Festival Sections.

## **Trustees’ Report (continued)**
The Trustees were pleased to establish the Fred Harrison Scholarships with a legacy left to the Festival by the estate of the late Fred Harrison. These are training bursaries to be awarded annually to several outstanding performers in the Festival.
Three bursaries were awarded during the Festival this year, with recipients being able to claim up to £100 towards a lesson with a renowned teacher in their field.
The Trustees will continue to look for further ways to promote the arts of Music, Speech and Drama in the local area alongside the running of the annual festival
## _**Financial Review**_
The result for the year and the current level of reserves are considered by the Trustees to be satisfactory in view of the Charity’s commitments and future plans.
## _**Reserves Policy**_
The Charity hold sufficient reserves to enable it to meet its commitments as they fall due in the short and medium term and to continue to carry out its charitable work.
## _**Principal Sources of Funds**_
Albeit the participants pay a small entry fee in order to take part in the annual Festival, the activities of the Charity are not self-funding: the Trustees wish to express their gratitude to the donors listed in notes 7 and 8 of the Accounts whose kind support ensured the continued financial stability of the Charity.

I report to the Trustees on my exarninalion of the Accounts of the above charity for the period
ended 30 June 2025.
As the charity's Trustees. you are responsible for the preparation of the Accounts in
accordance with the requirements of the Charities Act 2011 ('the Act, ).
I report in respect of my examination of the Charity's Accounts carried out under section 145
of the 2011 Aci and in carrying out my examination, I have followed all the applicable
Directions given by the Charity Commission under section 145{5)(b) of the Act.
I have cornpleted my examination. I confirm that no material mallers have corne to my
attention in connection with the examination which gives me cause to believe that in. any
material respecl..
The accountin8 records were not kept in accordance with section 130 of the Charities
Act; or
The Accounts did not accord with the accounting records, or
The Accounts did not comply with the applicable requirernents concerning the form
and content of accounts set out in the Charities (Accounts and Reports) Regulations
2008 other than any requirement that the Accounts give a 'true and fair, view which is
not a matter considered as part of the independent examination.
I have no concerns and have come across no other matters in connection with the
examinalion to which attention should be drawn in this report in order to enable a proper
understanding of the Accounts to be reached,

## **Notes to the Accounts**
- **1 Basis of accounting**
- The Accounts of the Charity, which is a public benefit entity under FRS102, have been prepared in accordance with the Charities SORP (FRS 102) ‘Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland(FRS 102) (effective 1 January 2019)’, Financial Reporting Standard 102 ‘The Financial Reporting Standard applicable in the UK and Republic of Ireland’ and the Charities Act 2011.
The Accounts have been prepared under the historical cost convention and on the going concern basis.
## **Income**
Income is recognised once the Charity has entitlement to the funds, it is probable that the income will be received, and the amount can be measured reliably.
## **Expenditure**
Liabilities are recognised as expenditure when there is a legal or constructive obligation committing the charity to that expenditure, it is probable that a transfer of economic benefit will be required in settlement and the amount of the obligation can be measured reliably. The Trustees have opted to prepare the Accounts using the accruals basis of accounting.
## **Tax**
The Charity is exempt from tax on its charitable activities.
## **Fund accounting**
Unrestricted funds can be used in accordance with the charitable objectives at the discretion of the Trustees.
Restricted funds can only be used for particular restricted purposes within the objects of the Charity as specified by the donor or where funds are raised for particular restricted purposes.
All funds received and held by the Charity were Unrestricted funds.

In 2024 a legacy of £3,000 was received by Reigate and Redhill Music and Drama Festival from the estate of the late Fred Harrison. The Trustees decided to use this legacy to establish The Fred Harrison Scholarships. These are training bursaries to be awarded annually to two or three outstanding performers to have a lesson with a teacher of their choice, a renowned expert in their field.
Three bursaries were awarded during the Festival this year, with recipients being able to claim up to £100 towards a lesson. These amounts have not been paid and are therefore shown as a creditor in the balance sheet.

## **Treasurer’s Report to the Trustees**
## _**This report does not form part of the statutory Accounts**_
Given the change of legal structure during the year, it’s difficult to understand our financial position this year by purely looking at either of the sets of statutory accounts produced for the two charities that have been in existence during the year. I’ve therefore produced a proforma Statement of Financial Activities and related notes which adds together the two sets of accounts and enables a fair comparison with last year’s statutory accounts for RRMDF. These are on pages 16 onwards. My commentary below will relate in the main to numbers taken from these proforma accounts.
The festival had revenues of £25,239 and expenditure of £24,285 resulting in a surplus of £954 for the year to 30 June 2024, compared with a surplus of £2,892 in the year to 30 June 2023.
## **Entries**
Entry fee revenues were 9.4% higher than in 2024 at £6,259. The number of entrants was slightly lower than last year but much of the increase relates to increased fees charged for RPU entrants to reflect the additional costs related in staging this section. If these are excluded fees have risen by around 5% which is the result of an exercise carried out to try to make fees comparable across sections dependent on length of the performance.
Rock, Pop and Urban and the Concerto section, both relatively recent introductions, continued to be popular with 18 and 14 entries respectively, although a number of ‘no shows’ at the Concerto Competition, was disappointing.
Speech and Drama entries were down this year (295 vs 340), and vocal and woodwind were also slightly lower. Classical Guitar entries more than doubled and Harp and Clarsach and Piano and organ also had strong years. Brass entries were disappointingly low this year, but it was decided to go ahead with this section anyway, but it may be something for review next year unless more entries are expected.
Most fees were paid online (90%) with the remainder by BACS (10%). This is the first year that no fees have been paid by cheque.
## **Programme Sales**
Programme Sales income of £2,650 was down from £2,880 in the previous year with the price having been held at £3. We sold a total of 883 which was down from over 900 last year.
Programmes are not sold for RPU, instead entry to watch is by ticket. Last year these were available in advance and sales handled by Reigate College. They couldn’t offer this service this year, so sales were on the door and revenue fell from £993 to £655. We should consider some method of advance sales again next year.
## **Advertising and Sponsorship**
Advertising and Sponsorship revenues of £10,715 were very similar to last year and continue to be around half of all festival revenues. Generous sponsorship was once again received from The Pilgrim Band Trust, The Humphrey Richardson Taylor Trust and the Rotary Club for which we are very grateful. Much of the rest of the income comes from local private schools and Woldingham joined this list for the first time this year.

## **Gala Showcase**
The Gala Showcase was held at Reigate Park Church this year, which was generally considered a more suitable venue than St Matthews. Costs for this venue are however significantly higher. We reverted to one concert for all ages this year and this resulted in higher ticket sales income with more than double income from advance ticket sales which more than offset the increased costs for this venue.
## **Centenary Merchandise**
To mark our centenary, it was decided to commission a series of branded souvenirs for purchase during the Festival and at The Gala Showcase. These were generally well received, however due to minimum order levels for items, we have quite a lot of stock remaining to be sold or given away in future years as promotional items. All costs have been included in the accounts for this year, so despite sales of over £500, the accounts show a loss of £825.
## **Friends**
We continue to receive strong support from Friends of the Festival and income from this source increased to £1,537 up from £1,122. A relaunch of the scheme with the new charity saw an increase in the suggested donation to £30 for an individual and £45 for a couple. Gift Aid is claimed where possible although generally unless the Friend is also a volunteer at the festival it is not possible to claim due to the value of the benefits received as a Friend.
## **Adjudicator Fees**
Adjudicator Fees continue to be the highest category of expenditure. We follow the BIFF rates which increase year on year, but despite this, overall costs were very similar to last year. RPU costs were significantly reduced by only having two mentors rather than three and this led to the section more or less breaking even this year. Slightly lower entry numbers, but also maybe slightly more careful programming, meant we ran 5 less sessions than in the previous year, with one less session for each of Piano, Speech and Drama and Brass and 3 less for strings, with an increase of 1 in Classical Guitar to reflect the higher entries. Expenses remained high, although a reduction in travel expenses for RPU reduced them in total from £1,761 to £1,601.
## **Hire of Halls and Churches**
Venue hire costs have increased by 11% from £2,865 to £3,203. The local churches have all put up their hire rates significantly as they struggle to make ends meet and we can expect future increases to be significant too. To reduce costs, several meetings have very kindly been hosted by Sonia and Richard rather than in a Church Hall.
## **Printing Costs**
Print costs were slightly increased from last year, the main change being printing of our new rebranded certificates rather than using old stock. These were very well received so well worth the additional cost. We had approximately 300 unsold programmes at the end of the Festival so may need to consider ordering slightly fewer next year. This is tricky however, as we don’t want to run out!
## **RRF Rebranding and set up costs**
As part of the establishment of the new charity a number of one-off costs were incurred. These related to design of our logo, programme, certificates, letterhead etc. and the purchase of new bunting, banners and lanyards. Total costs amounted to £1,683.

## **Piano Hire and Tuning**
The cost this year was reduced due to very generous sponsorship from Kawai who have entered into a new partnership with BIFF. Pianos were still provided by Bonners but at a significant discount to their usual rates.
## **Medals**
The increased cost this year relates to the fact that we redesigned our medal replacing the previous brass and plastic medals with a new, more eco-friendly wooden medal. This meant that any stocks of old medals could not be reused. The cost per medal is £1.97 compared with £2.27 for the old medals.
## **Play and Perform**
Costs were less this year due to a one-off cost last year of £150 in relation to the introduction of RPU

## **Balance Sheet**
As of 30 June 2025, the festival had net assets of £30,524. These comprise cash held at Barclays Bank of £28,480, debtors and prepayments of £2,412 and creditors of £368. The prepayment of £310 in last year’s accounts relating to website hosting and domain name services was written off as this couldn’t be transferred to the new charity. All advertising and sponsorship revenue outstanding at the year-end has now been received. Creditors relate to a late expense claim and money put aside to pay the three Fred Harrison Scholarships awarded this year.
The Reserves of the Festival are now more than sufficient to cover unexpected expenses going forwards and the Trustees need to plan the best use of these excess reserves. A strings workshop is being held in the autumn which will use some of the excess reserves, however we need to plan more such events and consider other ways to best use our accumulating reserves.
