REPORT OF THE TRUSTEES FOR THE PERIOD ENDED 15[TH] AUGUST 2025

The trustees present their report with the financial statements of the charity for the period 11[th] July 2024 to 15[th] August 2025. The trustees have adopted the provisions of Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2019).

STRUCTURE, GOVERNANCE AND MANAGEMENT

Governing document

The charity is controlled by its governing document, the constitution based on NFYFC guidelines. The Club is affiliated to the National Federation of Young Farmers’ Clubs and adheres to their safeguarding guidelines with regular safeguarding training completed by all Club Officials and leaders. All of which have undertaken DBS checks, this is all monitored by the County’s Federation Office.

Membership of the club is open to young people aged from 10 to 28 living in the district of Fishguard and the surrounding areas. The club is run by a committee elected in the AGM held each August with support from its Club leaders and the trustees of the Club, all of which are volunteers and past members themselves of the Club.

All decisions are undertaken in club meetings with any proposals required to be seconded & all minuted in the Club Records by the Club’s Minute Secretary

THE PURPOSE OF THE CHARITY AS SET OUT IN ITS GOVERNING DOCUMENT:

To advance the education of young members of the public at large in their knowledge of agriculture, crafts, life skills, rural affairs & country life. In the interests of social welfare of such members to provide and promote the provision of facilities for recreation and other leisure time occupations, being facilities, which will improve their conditions of life and will assist in the development of their spiritual and mental capacities, self-reliance and individual responsibility so that they may grow to full maturity as individuals and members of the community.

The main activities in relation to the purposes for the public benefit, in particular, the activities, projects or services identified in the accounts

In planning our activities for the year we have kept in mind the Charity Commission’s guidance on public benefit at meetings.

Main activities have included

These activities benefit the members by developing their self-confidence & social skills, their practical skills in stock-judging, farm skills, efficiency with safety, cookery, woodworking, flower arranging, craft and providing opportunities for all young people. Members are welcomed from the age of 10 to 28, regardless of background – you don’t have to be a young farmer to be a Young Farmer.

Election of Trustees

Trustees are reappointed annually at the Annual General Meeting Held in August and adhere to the guidance issued by the Charity Commission on public benefit

Contribution made by Volunteers

The Charity is run exclusively by volunteers. The day to day running of the club is run by a committee elected in the AGM held each August with support from its Club leaders and the trustees of the Club, all of which are volunteers and past members themselves of the Club

ACTIVIES DURING THE LAST FINANCIAL PERIOD AND FUTURE PLANS

Following on from the AGM in August, an opening social evening was held to start the new year and was opening to existing and new members interested in becoming members. It was great to see a host of new faces join in with all the activities & games.

An afternoon tea was held to raise funds for the new Club Hall and also towards Tenovus Cancer care, this was very well supported. A Food Drop evening was held with donated items given to local food banks, supporting NFYFC’s national food bank donation drive. Members then began to train for Eisteddfod competitions and were overall winners of the overall County Eisteddfod competitions with selected members then going forward to represent the County at the Wales YFC Eisteddfod held in Carmarthenshire.

Club trips were held including farm tours go-karting and laser tag shooting which were enjoyed by all members. Members took part in social evenings with other clubs in the County taking part in Quiz evenings & Indoor Sports Competitions. Members then began public speaking training and were delighted to be placed 2nd overall as a club in the County competition, again several members were selected to go forward to compete at Wales level. Members held a concert showcasing their Eisteddfod entries & funds raised from this went towards club hall. Members also undertook fundraising for local charities including the Tenovus Cancer care from carol singing around the local area.

Members took part in the wreath laying ceremony on Remembrance Day and laid a wreath on behalf of members. Members took part in the County Winter Fair competitions and with many members having a successful day, the club came 1st overall. The New Year saw the Club hold its 1st past and present Chairman’s dinner which was well supported by many past chairs and members with a great deal of reminiscing and club scrap books being displayed.

Throughout this, members have also enjoyed speakers at meetings, visits to local farms, bowling trips as well as stock judging evenings, Christmas carol services & a host of other activities. Members then started practicing for the County Pantomime competition which this year they performed in Welsh and were delighted to be placed 1st, they then went on to compete in the Wales Finals in Llanelli.

Members past and present then had the opportunity to take part in the Royal Countryside Funds Farm Resilience Programme, this was 4 workshops designed to understand the farm business including budgeting, future planning, farm safety and mental health as well the farm and the environment.

The annual field day was held with members taking part in a host of competitions including stock judging, the club was delighted to come 2nd overall. Then the annual county Rally Day was held with members taking part in a variety of competitions including cookery, singing, dancing, woodworking skills as well as many other skills and were delighted to place overall joint 1st.

The summer was spent in a variety of community work including running a tent and stewarding at our local show.

Then we completed the final push in our new hall build & were delighted to have the project signed off which meant we were able to hold our 1st event, our end of season dinner in the new Hall, which we were absolutely delighted with.

1. ACCOUNTING POLICIES

Basis of preparing the financial statements

The financial statements of the charity, which is a public benefit entity under FRS 102, have been prepared in accordance with the Charities SORP (FRS 102) 'Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2019)', Financial Reporting Standard 102 'The Financial Reporting Standard applicable in the UK and Republic of Ireland' and the Charities Act 2011. The financial statements have been prepared under the historical cost convention.

Income

All income is recognised in the Statement of Financial Activities once the charity has entitlement to the funds, it is probable that the income will be received, and the amount can be measured reliably.

Expenditure

Liabilities are recognised as expenditure as soon as there is a legal or constructive obligation committing the charity to that expenditure, it is probable that a transfer of economic benefits will be required in settlement, and the amount of the obligation can be measured reliably. Expenditure is accounted for on an accruals basis and has been classified under headings that aggregate all cost related to the category. Where costs cannot be directly attributed to particular headings they have been allocated to activities on a basis consistent with the use of resources.

Taxation

The charity is exempt from corporation tax on its charitable activities.

Fund accounting

Unrestricted funds can be used in accordance with the charitable objectives at the discretion of the trustees.

Restricted funds can only be used for particular restricted purposes within the objects of the charity. Restrictions arise when specified by the donor or when funds are raised for particular restricted purposes.

Further explanation of the nature and purpose of each fund is included in the notes to the financial statements.

Going concern

The accounts have been prepared on the assumption that the charity is able to carry on operating as a going concern, which the trustees consider appropriate.
