TRUSTEES REPORT

The Trustees present their annual report together with the financial statements for Mina Foundation for year ending March 2025. The Trustees have adopted the provision of the accounting and reporting requirements by Charities, in line with Charity Commission guidance.

SRUCTURE, MANAGEMENT & GOVERNANCE

Constitution

Mina Foundation is as a registered charity incorporated organisation (CIO), incorporated in June 2024. The purpose of the charity is:

Method of appointment or election of Trustees

The constitution of the charity requires a minimum of three trustees. A Trustee is appointed for a term of three years by a resolution passed at a properly convened meeting of the charity trustees.

Charity trustees must have regard to the skills, knowledge and experience needed for the effective administration of the CIO. New trustees undertake initial training as part of role.

Structure and Decision Making

Mina Foundation is governed by its Board of Trustees, who is responsible for its strategies and policies including the approval of budget and the exercising of financial controls. The Board of Trustees meets on a regular basis. Day to day operations is delegated to volunteers including trustees.

Charitable Objectives & Public Benefit

South Asian people have the highest risk of heart disease (BHF 2022), while Kidney Research UK state that Black and South Asian people are more likely to develop chronic kidney disease (2023). The charity achieves its objectives by:

The first 12 months have been a positive and reflective journey since the Foundation was established.

We have seen collaboration and partnership with local community partners, ensuring we add value, while having the reach to target new beneficiaries where there is inequality in service provision, especially those impacted by long term conditions and underserved population. A sincere heartfelt thank you to our amazing volunteers for their dedication, hard work and commitment in making a difference to the community. We look forward to what opportunities lie ahead. Our devotion to serving our carers and community impacted by chronic health conditions and inequalities remains at the heart of what we do. May the work carried out in honour of Mina continue to be a source of blessings and hope for all as we strive to leave behind goodness.

Our Work and Impact

We held a Launch event held in May 2024 with 85 people in attendance. This was opportunity to share experiences of caring role, and to explore local need of the group. Fundraising appeal was organised for Female Hygiene poverty packs. Thanks to local supporters and In-kind Direct, volunteers were able to pack and distribute over 150 poverty packs to vulnerable carers, women and young girls in July.

49-year-old Sadeh from St Peters Ward said, ‘I really appreciate the help. I have type 1 diabetes and kidney disease. Caring got my teenage girls is hard, especially when female products are expensive’.

57 people also enjoyed a day out to Barmouth Beach with their families. This was a new experience for many carers who had not been to Wales.

Health Promotion and Raising Awareness

We were able to share positive messages and raise awareness on several health conditions and issues that impacted our community. They included:

We launched our Carers Connect & Support Project supported by Awards for All to help improve social connections, while supporting carers who were experiencing financial hardship, especially during the winter period.

Carers meet up took place in September with 24 carers in attendance. This was an opportunity to bring people together from various backgrounds. We arranged bowling activity as a means of engagement, ensuring the use of a social recreational activity provided the perfect opportunity in a relaxed environment

Our volunteers established a community WhatsApp group to stay in touch, share information, positive messaging and to provide feedback.

Chai and chat session for 17 carers to take time out of their caring role to switch off and focus on themselves. Alongside this we arranged for therapeutic arts session using canvas and painting to encourage those to bring out the creative side, while other carers were able to develop new skills, have fun.

Badminton sessions took place, indoors at Wolverhampton University. 32 male carers attended 2 sessions while also having informal discussions on their health, caring and balancing family lifestyle commitments.

We shared information about keeping warm, details about Wolverhampton Household Support Fund eligibility criteria, while informing and signposting carers about a West Midlands Charity-Acton Energy who could advise with energy costs and savings.

Support from ASDA Foundation Grant enabled us to purchase much needed baby items for families experiencing hardship during the winter period, and to reduce the risk of illness and take measures to provide adequate warmth. 50 baby packs were distributed, each containing blanket, gloves, hat, and other essentials.

We collaborated with The Refugee and Migrant Centre in, Elms Resource Centre and Wolves Muslim Forum-winter packs. Over 20 volunteers came together as part of family winter warm appeal to pack and distribute 300 care packages for vulnerable families impacted by cost of living and long-term health conditions. Over 700 household members benefited from this support.

Health and Well-being Officer Grace Kelly from RMC said, ‘Thank you for the muchneeded winter essentials. Everyone who received a pack felt so grateful. We have so many families with children, living in hardship and many of them have chronic illness and winter is a very challenging time for them’.

We held open and group health drop-in sessions at local community learning college during January and February 2025. 12 carers attended who asked for support, advice and guidance relating to their health and housing.

Partnership and Collaboration

Our project connected and collaborated with local community groups, places of worship and other charities to establish rapport, promote project activities, identify suitable beneficiaries, while onward referrals and signposting. These included:

-The Refugee Migrant Centre Wolverhampton- Referral Partner

-Elms Food Bank- Signposting for food pantry and engagement of carers

-Wolverhampton Mosque Trust- Community Asset Space & Partner

-TLC College- Drop-in support for carers and Community Partner

-Wolverhampton City Council HSF- Signposting 126 citizens and carers

-Transport for West Midlands- Bus Scheme for carers

-Wolverhampton Homes- Referral and advocacy for 3 carers

-City Council Adult Social Care- Onwards referrals for 4 carers

- Wolverhampton Baby Bank -Donations of Baby essentials.

Feedback from Beneficiaries

We have been able to gather feedback and have had conversations with people regarding their personal and lived experiences, either as a volunteer or carers and their families who have benefited from support.

‘Meeting other carers and having time to myself was beneficial. It’s hard having to look after my dad who has heart failure and prostate difficulties’, highlighted by 51year-old Miss Tam from Dovecotes.

‘Amazing support provided by the charity. Bringing different people together including carers to share experiences and managing wellbeing. I have been fortunate to be actively involved, volunteering and helping those in need out in the community’ , said 46-year-old Miss Begum from Whitmore Reans.

38-year-old Miss Li who arrived in the UK 4 years ago stated , ‘I’m diagnosed with Anaemia and have a young child with autism. We had support during the cold winter months with warm items and toiletries. We are very grateful for this. It’s hard with cost of everything going up’.

We spoke with our beneficiaries to gain a better understanding of the impact of our work and project activities. We had conversations with carers who had meaningful interactions and involvement with project activities and happy to describe their experiences.

Volunteers

We are grateful for all the commitment and efforts shown by our volunteers over the past 12 months. A total of 27 people took part in supporting Mina Foundation through one off and/or ongoing volunteering.

Risk Management

The trustees have introduced a formal risk management process to assess charity risks and implement risk management strategies. This involved identifying the types of risks the charity faces, prioritising them in terms of potential impact and likelihood of occurrence and identifying means of mitigating the risks.

Financial Review

Total income for charity was £20,142 and total expenditure was £10,737. Mina Foundation is extremely grateful to supporters, donors and wider public who have undertaken fundraising and donated to our work over the past 12 months.

Reserve’s policy

Mina Foundation Trustee’s recognises the importance of income and expenditure streams, and the need to have diverse income. Consideration to allow for the charity to be managed effectively, and to provide a buffer for any uninterrupted charitable activities, a designated reserve of 12 months operational and creditors cost would be appropriate.

Future priorities

We have seen positive progress in our first 12 months. Our future strategic plans include:

-Continue to develop meaningful relationships with stakeholders.

-Ensure our provision meets the needs of carers and communities.

-Work towards securing premises over the next 18 months.

-To recruit new trustees for the charity.

-To diversify our income, projects and explore opportunities for growth.

Statement of trustee’s responsibilities

The trustees are responsible for preparing the Report of the Trustees and the financial statements in accordance with applicable law and United Kingdom Generally Accepted Accounting Practice and in line with Charities Act 2011, and Charity Commission guidelines.

The law requires the trustees to prepare financial statements for each financial year which give a true and fair view of the situation of the charitable trust and of the incoming resources and application of resources, including the income and expenditure, of the charitable trust for that period.

In preparing those financial statements, the trustees have:

- Selected suitable accounting policies and then apply them consistently.

-Made judgements and estimates that are reasonable and prudent.

- Prepared the financial statements on the going concern basis.

The trustees are responsible for keeping proper accounting records which disclose with reasonable accuracy at any time the financial position of the charitable trust and to enable them to ensure that the financial statements comply with the law.

They are also responsible for safeguarding the assets of the charitable trust and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.
