Structure Governance and ement .1 Governln Document The CIO is governed by a Constitution dated 25th April. 2024. 2.2 Or anlsatlonal Structure TheTwst88s listed in 1.3 were appoinled under the CIO'8 Con611tution. The Trustees a responsible for the general control, management and day to day admlnistration of the CIO. The Trustee Treasurer oversees the completlon of the Annual Report and Financial Statements. The Trustèes meet regularly and are responsibl8 for all decisions taken in relation to runnlng the CIO. During the period 25th April 2024 to 31 st July, 2025, the Trustees held a total of eight fomal trust86 (board) meetings which are documented with minutes and signed off by the Chair, Geraldine Feehally. In seaking to re-appoint retlring charity trustees. the trust88s will give full consideration in r8- appointing an individual for a fvrther term as to whether such appointment is in the best interests of the charty. 2.4 Mana ement The Trustees hold a minimum of three meetings a year at which they develop strategy and agrae and review areas of activity for the GIO induding programme and activities for the year. markets'ng and fund-raising, budgeting, bursary applications, policy-making and performanGe. All of IheTrustees glve of their lime freely and are not remunerated and do not receive any other financial benefits. Detsils of any Trustee expenses and r&laled party transactions are disclosed in the notes to the accounts. Trustees are required to disdose all relevant interests and register thèm at the start of every meeting, and in accordance with the CIO'S policy. must withdraw from decisions where confllct of interests arises. The day to day proce&8ing and administration of donations and grants is currently handled by the Tr8asurer. 2.5 Rlsk ana ement The trustees are responslble for managing and mlnimising the risks faced by th8 CIO and have given conslderation to the m8Jor risks to which Ihe CIO is exposed, satisfying themselves that systems or procedures are established in order to manage those risks through formal policies and procedures which all volunteers and staff are expected to have read. The CIO maintains trustee indemnlty insurance for the Trustees. 2.6.Grant-Makl and Burs Pollcle The CIO does not currently make any grants and d08s not havo a Grant-making Policy. This is som8thing th8 Trustees may nSider in the future once the Clo is more established in Its field and the Trustees Consider there is a need in the local area. Th8 CIO does, however, have a Bursary Pollcy. As part of its activities, the CIO seeks fijnding lo assist individuals by way of bursary enabling all, or a proportion of, the fees for some young people who meet specific criteria to take part in the choirs, activities where they mTrght not otherwise have been able to afford to do so. The Trustees approach is to ensure that any child who wants to participate can do so and they believe that no one should be preduded on grounds of financial hardship. In awarding bursaries, the Trust80s give due consideration to eligibility of the prosp8CtIV8 applicant based on a series of criterla agreed by the Trust88S. ardln Pollc The CIO malntslns a Safeguarding Policy and the Charity's Safeguarding Lead is appointed from amongst the Twstee8. Currently thi8 is Derek Cullen. The policy is reviewed at least annually. All Trustees 8nd Volunteers have Enhanced DBS checks arbd tralnlng is conducted annually. 2.8 Volunteer Poll The CIO depends greatly on volunteers and maintalns a Volunteer Pollcy. Susle was raised and educated in Rutland and went on to study Modem Languages at Trinity College. Cambridge where sh8 held a Choral Scholarship between 2015 and 2020. She now enjoys a busy career as a secondary teacher and Ghoral sing8r, including in the professional thoir of the Chapels Royal HM Tower of London. She works regu18rfy with the National Youth Cholrs of Great Britain and 58 particularly passlonate about the benefits of Ghoral singing for young people. The seeds of Rutland Youth Choirs were sown in mid-2023 and tria first recruitrnent of young people took place for the start of the new school year in September, 2023. An enthusiastic response meant we were able to recruit for bolh Young Voices Choir and Junior Choir and rehearsals bagan weekly on Wednesdays after school during tem Ilme. A welcomlng and inclusive space is provided for the young people in the Parish Church of All Saints in Oakham where they can develop their musical interests and create friendships with other budding musicians. There is no audition process or need to have prior expenence; everyone is welcome; enthusiasm abounds. Slowly ov8r the last nearly two years the numbers in the choirs have Increased and wlth greal enthusiasm too, we are now at the point where some of our singèrs are growing a brt older and their experience Is such thai we are able to announce the launch, from September, 2025, of a separate Senior Choir for singers aged 11-18. Re ort of the Trustees 4.1 Admlnlstratlon The CIO is a registered UK Charity and is also registered with HM Revenue and Customs for tsx purposes. This enables the Charity to redaim Glft Ald in relation to donations mad8 by UK resid8nt individuals vla tha Gift Aid scheme and giv8s thè CIO UK tax exemptions in relatlon to Income and capital gains arising in the course of its Gharitsble activities. 4.5 Our Focu8 Our focus is on promdlng a welcomlng and inclusive space and 8nvironment for young people vtho would like to develop their musical interests and to creat8 friendships with other budding musicians. As well as provldlng weekly rehearsal time encompassing wami-ups, music th80ry tuition and exposure to a wide variety of songs in different stylès we f681 its important the young people have the opportunity to sing wlth professional and amateur cholrs and In musical events in Rutland and beyond. It Is Important that young peoplè ar8 not m8t with imp8dim8nts to th8lr daslre to take part and so there is no audition process or need to have prior musical exPerten. In additlon bursaries coverfng all or part of choir membership fees are availabla subject to application and a child mèoting tha approved criterfa. 4.6 Acllvltl•s In the period April 2024 to July 2025, our membership ha8 grown across1)oth th8 Young Voices and Junior Choirs, and we have a rostor of w0ndar1. dedicated volunteer8 who givè so much to the young singers every week. We were very fortunate to receive a generous grant from the Windmill House Trust for the Summer Temi 2024 which enab18d us to offer an exciting array of events. Junior Choir members spent Saturday together during which they chose their theme, 'Sun, Moon, Sea and Stars, and came up with some ideas for the music. In rehearsals, they worked on lots of different songs - Young Voices loved singing You are my sunshine, and a 80ng about pirates, and Junior Cholr leamt 'Moon Rlve and a piece called 'StsfS' in two parts. They perfonned beautifully in their end-of-y8ar concert in July, nd a180 perfomied their programme in Saxon Gardens Resldential Home In Oakham. In addition to this, singers enjoyed lots of extra opportunits'esl We hosted an 'Away Daw on Claira's fam in Jun•, which included rounders, tractor rides and visiting the goslingsl Junior Choir mombers also had two fantastiG visiting singer workshops and joined professional choir, Ikon Singers, for their concert in Oakham. They learnt a selection of folk songs. induding The Ash Grove. and '0 Can Ye Sew Cushions,. Page-8-
RUTLAND YOUTH CHOIRS a Charltable Incorporated Organlsation Annual Report and Flnanclal Statements for the period 25th April, 2024 to 31st Julyi 2025 In the Michaelmas Tem) of 2024, we were pl6as8d to welcome several new members and we signed a Partnership Agreement with Northamptonshire Music and Perfomiing Arts Trust. who run the Rutland Music Education Hub. Our Director of Music. Susie, gave several recruitment workshops in Ruuand schools. and we started a walking bus for singers from Oakham C of E Primary School so that they can go straight to choir at the end of the school day. Members of our Junlor Choir also attended the new theory club from 4.004.30pm. The Junior Choir join8d the IKON Singers and David Hill in two carols at a Christmas Celebration cOnrt at AEI Saint5. whlch raised over £500 for Rutland Foodbank. In March 2025, our Junior Choir enjoyed p8rfomiing at De Montfort Hall in L81cester In a cn(rt organlsed by Rut18nd Music Hub. In the first half of the concert, there were vanous performances from schools and youth music groups, and w8 were excited to perfomi a set of three pieces on our own. Th8 Bird's Lament, by Richard Rodney Bennett. 'Poor Wayfarin. Strangerf arr. Emerson, and Bob Dylan's'Blowin' in the wind,. It was our fitst perfornance outside of Oakham, and it was really exciting to sing in front of so many people! The second half of th8 concert brought over 300 singers together for a fantastic performance of P8t8r Davis, "Pied Piper of Hamelin" with a band. We were really proud of of our Rutland Youth Choirs members who sang solo parts as narralors. We had a great day and would like to thank Northamptonshire Music and Performing Arts Trust for inviting us. We finishèd the academie yÈar on a high wrth our end of term Summer Ce18bration concert, raislno over £120 for East Anglia Children's Hospice. Young Volces sang three songs on the theme of travel, dèlightlng the audiance with their ènthusiasm and actions! Junior Choir sang a range of songs. starting with 'Summerf and 'Fire' by Jonathan Dove, moving onto We'll gather lilacs. by Ivor Novello, and finishing with Bob Dylanl Our Junior Choir also work8d hard towards a concert with IKON Singers and David Hill in June. performing pieces by Stanford and Howells alongside the professional choir. They sang beautrfully and listened attentively to the rest of th8 concert - the Faure 'R8quiem', accompanled by violin, cello, harp and organ, was a real highlighLI Lots of our members have an exciting summer of singing ahead. Congratulations to Molly end Sasmithu who will be heading off on their firsl summer residential course with Gabrieli ROAR, perforTning Haydn's The Seasons, with an orchestra in Ely Calhedral. Congratulations also to Leand8r, Peter and Lucretia who have all gained places in the National Youth Choirs - they'll be off on week4ong residentials around the county. perforning in Coventry Cathedral and Saffron Hall. We wish them all the best of luckl After the summer, we are pleased to announce that Rutland Youth Cholrs wlll expand to offer three choirs.. Young Voices, Junior Choir and Senior Choir. Sufficlent funds need to be held to enable the CIO to respond to unexpected events. The Trustoos are awa of this need but our income is currently still at a low level and we are working towards establlshlng regular fundlng sources and to raise the profile of the charlty both within schods and within the county generally.
