**Trustees’ Annual Report** 

## **1. Structure, Governance, and Management** 

The Deepings Swimming Club CIO is governed by its Constitution and managed by a board of trustees. Trustees during the year were: 

- Current Trustees: Martine Reynolds, Maria Harrison, Steven Smith - Trustees who stepped down during the year: Georgina Jenkinson, Sophie Beckerton, Alan Tarver 

The board met six times during the year. Trustees receive ongoing training on safeguarding, health & safety, and governance best practice, and declare any conflicts of interest at the start of each meeting. 

## **2. Charitable Objectives** 

The charitable objective of the club is: 

“The promotion of community participation in healthy recreation, primarily but not exclusively, for the benefit of the inhabitants of Market Deeping and the surrounding areas by the provision of competitive activities swimming and associated activities.” 

## **3. Membership** 

As of 28 February 2025, the club had 130 members, including competitive swimmers, masters, learn-to-swim participants, and other supporters. 



Volunteers and Coaches 

The club is supported by 29 volunteers who assist with coaching, officiating, event management, and administration. In addition, the club employs 4 part-time paid coaches, all of whom are qualified to Swim England standards. Volunteers and coaches collectively contribute significant hours to ensure the smooth running of training sessions, competitions, and community outreach programmes. 

## **4. Activities** 

The club runs 11 training sessions per week, totaling approximately 28 hours of pool time. The squad structure includes: 

- Six age-group squads for children and teens 

- A Masters squad for adults 

- A Junior Masters squad for swimmers reducing training load while studying 

These sessions provide opportunities for all abilities, from beginners to national-level competitors. 

## **5. Achievements and Performance** 

The club had a successful year both competitively and in community engagement: 

- Hosted the annual Rob Welbourn Swim Meet on 5–6 October 2024, attracting clubs from across the county. This event is an essential fundraiser for the club. 

- Many swimmers competed at County level, several progressed to Regional competitions, and two swimmers competed at National level. 

- The club continues to provide structured opportunities for swimmers of all abilities, ensuring progression and participation in competitions. 



## **6. Financial Review** 

The club’s finances remain stable, with income derived mainly from membership fees, gala entry fees, fundraising events, and swim meet hosting. Expenditure continues to be focused on pool hire, coaching fees, competition costs, and maintaining equipment. 

Financial year ending 28 February 2025: 

- Total income: £108,516 

- Total expenditure: £106,136 

- Year-end bank balance: £35,299 

- Reserves: £34,291 (equivalent to approximately three months of running costs) 

Accounts are prepared on a Receipts and Payments basis and are subject to independent examination in accordance with charity regulations. 

## **7. Risk Management** 

The trustees actively monitor and manage risks: 

1. Rising pool hire costs – Mitigation: negotiate block bookings, monitor pool usage, and maintain contingency reserves. 

2. Support for Head Coach during competitions – Mitigation: recruit and train additional volunteer coaches to assist during gala weekends. 

3. Limited access to Stamford pool – Mitigation: pursue additional pool hire agreements to establish Stamford as the main training venue. 

Other ongoing risks include safeguarding, volunteer retention, and reliance on fundraising. Trustees ensure policies and procedures are in place to mitigate these effectively. 



## **8. Plans & Objectives for 2025/26** 

The club’s key priorities for the next year are: 

1. Increase membership – attract new swimmers across all age groups and levels. 

2. Recruit and train more officials – ensure sufficient qualified volunteers to support competitions and internal club events. 

3. Enhance support for coaching team – recruit additional volunteer coaches to assist the Head Coach, particularly during gala weekends. 

4. Secure additional pool time at Stamford – aim to establish Stamford as the main training pool for all squads. 

5. Strengthen community engagement –  better communication with local swim schools to raise the club profile. 

6. Recruit more trustees – expand the board to strengthen governance and support the club’s strategic objectives.
