Objects, Organisation and Activities

The object of Merry Hill Open Award is to advance the mental, physical and spiritual welfare of young people, aged 13-25 by promoting the Duke of Edinburgh’s Award at any level to achieve a positive outcome. Thereby develop their capabilities that they may grow to full maturity as an individual and members of society. To enable them to develop themselves and their skills.

We do this by keeping our Charitable objects to: To help young people in the West Midlands (Dudley) area by providing opportunities for them to participate in the Duke of Edinburgh Award and thereby to develop their capabilities that they may grow to full maturity as individuals and members of society.

The charity was started in February 2024 going independent from Dudley MBC as they had to stop running the award in the region. We were donated the existing equipment from Dudley MBC and continued to run using the Merry Hill name but independent rather than under the Dudley MBC umbrella. This was done so that the newly formed charity could continue to train and support local DofE participants that had signed up to the programme in the academic year 2023/24 but could not complete their awards due to the closure of Dudley MBC. Going forward, the charity will continue to make the programme available to participants across the County of West Midlands.

The charity has no employees and is run entirely by volunteers. The programme is managed by an experienced DofE manager appointed by the trustees to manage the day to day running of the DofE programme. The charity occasionally uses other freelance staff to run expedition and residential courses for Gold participants.

1

Finances

The charity received income from Bronze, Silver and Gold participants amounting to £2,298 during the year. All expenditure related to the running of the programme and amounted to £2,246 during the year. We had a normal intake of all levels during the year and both income and expenditure were at usual levels. We expect participant numbers to continue at the same level next year.

The trustees feel that it has been another hard year going independent but we are confident that the charity is in a solid position to deliver the DofE programme going forward.

The charity's trustees agreed that the reserves policy is to keep a minimum of £1,000 in the bank at any given time to ensure that we can continue to deliver the DofE programme in the long term.

The attached financial statements show the current state of the finances which the trustees consider to be sound.

Statement of Trustees' Responsibilities

The trustees are responsible for preparing the Trustees' Report and the financial statements in accordance with applicable law and United Kingdom Accounting Standards (United Kingdom Accepted Accounting Practice).

The law applicable to charities in England & Wales requires the trustees to prepare financial statements for each financial year which give a true and fair view of the state of the affairs of the charity and of the incoming resources and application of resources of the charity for that period. In preparing these financial statements, the trustees are required to:

The trustees are responsible for keeping accounting records that disclose with reasonable accuracy at any time the financial position of the charity and enable them to ensure that the financial statements comply with Charities Act 2011, the Charity (Accounts and Reports) Regulations 2008 and trust deed. They are also responsible for safeguarding the assets of the charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.

MERRY HILL OPEN AWARD

NOTES TO THE ACCOUNTS FOR THE YEAR ENDED 30[TH] AUGUST 2025

1 ACCOUNTING POLICIES

Basis of preparing the financial statements

The financial statements of the charitable company, which is a public benefit entity under FRS 102, have been prepared in accordance with the Charities SORP (FRS 102) 'Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2015)', Financial Reporting Standard 102 'The Financial Reporting Standard applicable in the UK and Republic of Ireland' and the Charities Act 2011. The financial statements have been prepared under the historical cost convention.

The financial statements have been prepared to give a 'true and fair' view and have departed from the Charities (Accounts and Reports) Regulations 2008 only to the extent required to provide a 'true and fair view'. This departure has involved following the Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) issued on 16 July 2014 rather than the Accounting and Reporting by Charities: Statement of Recommended Practice effective from 1 April 2005 which has since been withdrawn.

The financial statements are prepared on a going concern basis under the historical cost convention, modified to include certain items at fair value. The financial statements are presented in sterling which is the functional currency of the charity and rounded to the nearest pound.

Income

All income is recognised in the Statement of Financial Activities once the charity has entitlement to the funds, it is probable that the income will be received and the amount can be measured reliably.

Expenditure

Liabilities are recognised as expenditure as soon as there is a legal or constructive obligation committing the charity to that expenditure, it is probable that a transfer of economic benefits will be required in settlement and the amount of the obligation can be measured reliably. Expenditure is accounted for on an accruals basis and has been classified under headings that aggregate all cost related to the category. Where costs cannot be directly attributed to particular headings they have been allocated to activities on a basis consistent with the use of resources.

Tangible fixed assets

Depreciation is provided at the following annual rates in order to write off each asset over its estimated useful life.

Equipment -15% on cost

Fund accounting

Unrestricted funds can be used in accordance with the charitable objectives at the discretion of the trustees.

Restricted funds can only be used for particular restricted purposes within the objects of the charity. Restrictions arise when specified by the donor or when funds are raised for particular restricted purposes.
