Gallery of Living History

Trustees’ Annual Report

For the year ended 31 May 2025

Objectives and Activities

The Gallery of Living History exists to preserve, interpret and promote social and cultural history through exhibitions, artistic collaborations and community engagement. The charity seeks to increase public understanding of diverse histories and lived experiences by creating accessible exhibitions and educational opportunities.

The trustees have had due regard to the Charity Commission's public benefit guidance when planning the charity's activities and are satisfied that the work undertaken during the year furthered the charity's charitable purposes for the public benefit.

Achievements and Performance

During the year ended 31 May 2025, the Gallery of Living History focused its resources on the delivery of Black Sound Coventry, a major heritage project exploring more than a century of Black British music and its contribution to the social and cultural history of the United Kingdom.

The project was delivered in partnership with Coventry University and curated by Scott Leonard, founder of the Gallery of Living History, together with music historian and author Lloyd Bradley. Building on the success of previous exhibitions in London, Black Sound Coventry represented the first presentation of the exhibition outside the capital, extending its reach to new audiences and creating a model for future regional partnerships.

Hosted in Coventry University's Delia Derbyshire Gallery between January and February 2025, the exhibition explored over 100 years of Black British musical innovation, from the arrival of the Southern Syncopated Orchestra in 1919 through to contemporary artists. The Coventry edition was expanded to include material documenting the city's own internationally significant contribution to Black British music, sound system culture and the development of Two Tone.

In line with the charity's mission to recover and share overlooked histories, Black Sound Coventry celebrated musicians, promoters, producers, venue owners, community organisers and audiences whose contributions have often been absent from mainstream historical narratives. The exhibition demonstrated how Black music has shaped Britain's cultural, social and creative life and encouraged visitors to view this history as an integral part of the nation's shared heritage.

The exhibition formed part of a wider programme of public engagement including panel discussions, film screenings, question-and-answer sessions and live performances examining Coventry's sound system heritage, pirate radio, the underground Black recording industry and the importance of community spaces in nurturing musical innovation.

A particular highlight was the Heritage Collection Day, where members of the public brought photographs, records, concert tickets, posters and other objects connected with Coventry's Black music history. These items were digitally captured together with the personal stories behind them, creating a lasting digital archive for future generations and enabling local communities to play an active role in preserving their heritage.

The project attracted significant public and media interest, raising awareness of the Gallery of Living History and demonstrating the value of collaborative partnerships between charities, universities, cultural organisations and local communities. Trustees believe the project successfully advanced the charity's objectives through education, heritage preservation and community engagement.

Financial Review

The charity's income during the year was applied principally towards the planning, production and delivery of the Black Sound Coventry exhibition together with the administrative costs required to support the charity's operations. The trustees monitored expenditure carefully to ensure that charitable funds were used efficiently and in accordance with the charity's objectives.

Reserves Policy

The trustees aim to maintain sufficient unrestricted reserves to meet ongoing governance and administrative commitments while providing flexibility to develop future projects. The level of reserves is reviewed annually.

Plans for Future Periods

Following the successful delivery of Black Sound Coventry, the trustees are reviewing the possibility of developing further exhibitions and collaborative projects that promote underrepresented histories and widen public engagement with living history. However, the lack of sufficient funding to engage any staff have put an undue burden on volunteers to deliver projects and the trustees are also considering the orderly closure of the charity if sufficient funding cannot be obtained.

Trustees' Responsibilities

The trustees are responsible for preparing the Trustees' Annual Report and financial statements in accordance with applicable law and United Kingdom Accounting Standards. They are responsible for maintaining adequate accounting records, safeguarding the assets of the charity and taking reasonable steps to prevent and detect fraud and other irregularities. The trustees confirm that they have paid due regard to adopted policies and to all relevant regulations and legislation.

Approved by the trustees.

2.2 INCOME
Recognition of income
These are included in the Statement of Financial Activities (SoFA) when:
Offsetting
Grants and donations
Legacies
Government grants
The charity has received government grants in the reporting period
Donated goods
Support costs
The charity has incurred expenditure on support costs.
Volunteer help
· the charity becomes entitled to the resources;
· it is more likely than not that the trustees will receive the resources;
· the monetary value can be measured with sufficient reliability.
There has been no offsetting of assets and liabilities, or income and expenses, unless
required or permitted by the FRS 102 SORP or FRS 102.
Grants and donations are only included in the SoFA when the general income
recognition criteria are met (5.10 to 5.12 FRS102 SORP).
In the case of performance related grants, income must only be recognised to the extent
that the charity has provided the specified goods or services as entitlement to the grant
only occurs when the performance related conditions are met (5.16 FRS 102 SORP).
Legacies are included in the SOFA when receipt is probable, that is, when there has
been grant of probate, the executors have established that there are sufficient assets in
the estate and any conditions attached to the legacy are either within the control of the
charity or have been met.
Tax reclaims on
donations and gifts
Gift Aid receivable is included in income when there is a valid declaration from the donor.
Any Gift Aid amount recovered on a donation is considered to be part of that gift and is
treated as an addition to the same fund as the initial donation unless the donor or the
terms of the appeal have specified otherwise.
Contractual income and
performance related
grants
This is only included in the SoFA once the charity has provided the related goods or
services or met the performance related conditions.
Donated goods are measured at fair value (the amount for which the asset could be
exchanged) unless impractical to do so.
The cost of any stock of goods donated for distribution to beneficiaries is deemed to be
the fair value of those gifts at the time of their receipt and they are recognised on receipt.
In the reporting period in which the stocks are distributed, they are recognised as an
expense at the carrying amount of the stocks at distribution.
Donated goods for resale are measured at fair value on initial recognition, which is the
expected proceeds from sale less the expected costs of sale, and recognised in 'Income
from other trading activities' with the corresponding stock recognised in the balance
sheet. On its sale the value of stock is charged against 'Income from other trading
activities' and the proceeds from sale are also recognised as 'Income from other trading
activities'.
Goods donated for on-going use by the charity are recognised as tangible fixed assets
and included in the SoFA as incoming resources when receivable.
Gifts in kind for use by the charity are included in the SoFA as income from donations
when receivable.
Donated services and
facilities
Donated services and facilities are included in the SOFA when received at the value of
the gift to the charity provided the value of the gift can be measured reliably.
Donated services and facilities that are consumed immediately are recognised as
income with an equivalent amount recognised as an expense under the appropriate
heading in the SOFA.
The value of any voluntary help received is not included in the accounts but is described
in the trustees’ annual report.

by floor areas, or per capita, staff costs by the time spent and other costs by their usage.
Grants with performance

Where the charity gives a grant with conditions for its payment being a specific level of
service or output to be provided, such grants are only recognised in the SoFA once the
