Review of the year
The society was formally registered as the charity “Shap Allotment Society” on 29 November 2023, following four years of successful operation. The Society holds a lease on the allotment grounds until 14[th] November 2029. The primary aim of the Society is to promote the interests of members in their gardening activities, with regard to the proper cultivation and enjoyment of the allotments.
Following demand for plots, additional spaces have been added and there are now 26 plots on the site. Membership has fluctuated over the period, but most plots are actively managed and productive. Plot holders have continued to develop their facilities on what was, just a few years ago, a simple field.
The Society has established routines of maintenance, management and seed ordering, and has held occasional social events. There are several ideas under development to increase our profile in the community, to draw in new members, and to assist those who are new to allotmenteering.
I wish to express my appreciation to all those who have helped to grow the society, and who continue to contribute towards its success; to Sandy and Vera Carr, who have generously made the land available to us; to Vera Turnbull, whose vision enabled the formation of the allotments; to the Trustees, who put in great effort to ensure the smooth running of the allotments, and especially Billy Dawson, who works tirelessly to maintain the site; and not least, to our community of allotment holders – helpful, friendly and enthusiastic, a great bunch of people.

Treasurer’s report
The charity received income of £818 in the year ended 31 October 2024 and incurred expenditure of £1,189, ending the year with a bank balance of £154. The shortfall of income against expenditure results from timing differences and the Society currently generates sufficient funds on an ongoing basis to meet its commitments.
At the Annual General Meeting on 31 October 2024 it was agreed to bring forward the due date for payment of membership fees for the following year to 30 September, to better match incomings and outgoings, and to enable the Society to improve its forecasting of cash flow.
The Society reviews its income and commitments on an annual basis to ensure that membership fees are sufficient to cover its outgoings. The most significant risk facing the Society is that vacant plots may result in a shortfall in income against expenditure. To this end, the Trustees are actively seeking ways to encourage membership and aiming to establish a waiting list to ensure full occupation. As part of the risk management process, the Society is currently in the process of establishing a Reserves Policy to ensure it maintains sufficient liquid resources.
Grounds and maintenance
As noted, thanks to the efforts of Billy Dawson, the area surrounding the allotments has been maintained in good order. Allotment holders are encouraged to ensure the borders of their allotments and the spaces in between allotments are kept trimmed and tidy.
Future Developments
The Trustees continue to seek ways to ensure all allotment holders are actively engaged with the Society and that allotments are actively managed,
