History and Object of the Ass0¢iation
Alveston Village Association was originally registered as a Charity in 194612239131
In 2023 the Trustees agreed to convert the Charily to a Charitable Incorporated Organisatio
ICIO) which was approved and incorporated by The Charity Commission on 22" November
2023.
A Special Resolution was passed by th8 Members at the AGM on 15th April 2024 to accept the
formation of the CIO and agree to the closure of Charity No 223913 once all the assets had
been transferred. All assets weie transferred by 151 February 2025.
The Object of the CIO is to improve the conditions of the life of the inhabitants of Alveston by
the provision and maintenance of a village hall Ithe Malt House). recreation land including river
frontage Iswiffen Bank) and the field next to the War Memorial (The Memorial Field).
Trustees and Members of thg CIO
All the Trustees of the CIO were appointed at the AGM on 7th April 2025 and at ea¢h
subsequent AGM a third of the trustees will retire by rotation and can be re-appointed for a
maximum of three cons8CUtive terms.
The Constitution rules allow for up to a minimum of 8 and a maximum of 14 Trustees.
All residents of Alveston aged over 18 years of age and listed on the current electoral role as
permanently resident in the village of Alveston for a continuous period of 12 months can
attend and vote at the Annual General Meetings.
Th8 Chair is selg¢ted by the Trustees and usually serves a term of two years. The Chai r is
responsible for the induction of any new trustees, whiGh includes awareness of the
Association's responsibilities, the rules of the CIO. financial statements and an understanding
of the responsibilities of a charity trustee.
Review of activitias
The Malt House was used extensively throughout the year providing a venue for numerous
village activities.
The Memori81 Field was open to villagers for 364 days of the year between dawn and dusk and
is enjoyed by villagers for recreational purposes.
Swiffen Bank was 21so open for 364 days of the year and is available for use by villagers and
Alveston Angling Association during the fishing season.
Review of Financial Position
Income from Malt Hous8 lettings, this year. amounted to £15,611 and this is the major source
of income for the CIO.
In addition to income from the Malt House bookings a Grant from BUPA of £2.500 was received
together with £300 f rom Alveston Angling Association for fishing rÈghts on Swiffen Bank.
The total income for the CIO this year was £19,230
Expenditure on the hall was £9,135 with just over £IOOO being spent on replacing the chairs.
Work on Swiffen Bank cost £3,079, 213"'s being spent on restoring the bank with willow
spilings.
Work on the Memorial Field this year amounted to £1,024 covering general maintenance such
as mowing and water irrigation.
The charity at the end of the financial year had net incoming resour￿ of £3,523 which has
been added to the charity's reserves.

The CIO ended the period with unrestricted funds of £51,295.
The policy of the Trustees is to regularly review the risks faced by the CIO. These knclude the
ongoing need to maintain sufficient reserves to cover major repairs to the Malt House and the
trees and public safety along Swiffen Bank and in The Memorial Field.
Reserves current siand at £51,295 and with the three signif icanl assets having differing risk and
expenditure profiles, the Alvestori Village Association Trustees consider that th¢se funds are
appropriate to fund future activities and li8bilities. The Trustees decide on the allocation of
bank reserves between the Gurrent account and interest earning accounts based on a review of
the forecast cash requirements.
Merger accounting
The trustees of the Alveston Village Association agreed to change its legal form to a Charitable
Incorporated Organisation. The transf8r of assets was effective from l February 2025. The
trustees have adopted merger accounting for the year ended 31 January 2026 to incorporate
the results of both charities in this period.
Publi¢ benefit
The Trustees are satisfied that the CIO'S aims are charitable, and that its operations are
consistent with these aims. The Trustees have referred to the guidance contained in the
Charity Commission's general and supplementary guidance on public benefit in its decision
making throughout the year. The Trustees are satisfied that the opportunity to benefit from the
charity's a¢tivities is not unreasonably restricted.
Statement ol Trustees. responsibilities
Charity law requires the Trijstees to prepare financial statements for each financial year which
show a true and fair view of the state of affairs ol the CIO and its financial activities for that
period. In preparing those financial statements, the Trustees are required to..
Select suitable accounting policies and then apply them consistently
Make judgements and estimates that are reasonable and prudent
State wheth&r applicable accounting standards and statements of recomTnended practsce
have been followed. subject to any departures disclosed and explained in the financial
statements
Prepare the financial statements on the going concern basis Ltnless it is inappropriate to
presume that the charity will continue in operational existence
The Trustees are responsible for keepin9 proper accounting records which disclose with
reasonable accuracy at any time the financial position of the CIO arkd to enable them to ensure
that the financial statements comply with the Charities Act 2011. They are also responsible for
safeguarding the assets of the CIO and hence for taking reasonable steps for the prevention
and detection of fraud and other irregularities.
Independent examineT
As the income for the CIO is less than £25,000 the Charity Commission rules do not require an
independent examination of th8 accoLSnts this year.

Basis of preparation
The financi81 statements have been prepared in accordance with Charities SORP IFRS102)
{second edrtion - October 20191.

Incoming resources
Incoming resources are included in the Statement of Financial Activities when the charity is
legally entitled to the income and their amount can be measured with reasonable certainty.
Resources exponded
All expenses are accounted for on an accruals basis. Wherever possible costs have been
charged directly to the activity to which they relate.
Costs of generating funds inelude fundraising costs incurred bythe charity in seeking to raise
income for the charity.
Costs of charitable activities include the costs associated with the running of the Mah House
ènd maintenance of Swiffen Bank and the Field_
Governance cost5 arethose costs incurred in conn8Ction with Complian￿ with constitutional
and statutory requirements.

Fund accounting
Unrestricted income funds include the income from general fundraising which the Managing
Trustees may apply at their discretion in pursuit of the obje¢ts of the charity.
The cost of the original renovation and refurbishment of the Malt House is included as a
Capital Fund.

Freehold Land includes Swiffen Bank and the Memorial Field. Th8 Malt House is valued at the
original refurbishment cost. Swiffen Bank was donated to the Alveston Village Association a
number of years ago and is includod in the balance sheet at nil value. A 50°A interest in the field
was donated to the Alveston Village Association in 2005.. this is included at the valuation at the
date of the donation. The remaining interest in the Memorial Field was purchased in 2010- this is
included at the purchase price.

The capital fund r8presents the original cost of renovating and refurbishing the Malt
House, the donated value of the interest in the Memorial Field, and the purchase price of
the remainder of the Memorial Field.
