Yoxall Village Hall for the use of organisations and indiwduals in the aTea of Haslinglon. Cheshire. They work in
line with the charity's constitution. registered wrth the Charrty Commission. and subject to various agreed poli¢*s
wh￿h are published on the YVH websrte at yoxalfvillagehall.co.uk.
The Charity was set up as a Charitable Incorporated OTganisalion on 13 Novembef 2023. to take over the Tunning
ol the YVH from the Yoxall Haslinglon Village Instrtute Icharily # 2218591. introducing limited liability for the
Trustees and a modem conslrtution with up-ttsdate policies.
The Trustees normally meet six limes a year. on the 4th Monday of January. March. July. September and the 2nd
Monday in June. The AGM Pfecedes the final Trustee Meeting of the year on the 4th Monday in November.
Running the YVH involves Trustee and Volunteers in the followng roles..
Chairnian A figurehead for the YVH. running meetings in ac￿rdanCe vAth the Constitution. ch￿king that
Committee5 are working within guidelines & keeping overall track of the charty.
Secretary Organi5ing Trustee Meetings & AGM. deals with correspondence & keeps records for the charrty.
Treasurer Keeping track of YVH income & expenditure. book-keeping. online banking. preparing reports for
the Trustee meetings & AGM, & planning the YVH finances with the Finance Committee.
Regular Liaising wrth groups & individLtals hiring the YVH on a regular basis (weekly. monthly, annual￿1.
Booking Clerk selling up hire agreements. populating the YVH web5rte calendar. sending out payment invoices.
Castjal Liaising with groups & individuals hiring Ihe YVH on a casual or one-off basis. setting up hire
Booking Clerk agreements. populating the YVH Y*bsrte calendar. taking payments. refunding cancellations.
Maintenance A small group of Trustees & Volunteers looking after the fabric of the YVH building. contents &
Committee grounds. ensuring everything is well maintained. Organising contractors for repairs, afTanging
regular slalulory inspections & replenishing consumable rtems used in the YVH. Researching &
planning improvements lo the YVH before reporting lo the charity Trustees for approval.
Finance A small group of Trustees who concentrate on the finances of the YVH. They a￿ often also
Commrttee signatorTes of the YVH bank & investment accounts. They keep an eye on financial planning.
review hire charges & advise the Trustees regarding financial decisions.
Safeguarding Acting as the contact point for any Safeguarding issues & checking that Trustees. Volunteers &
Team certain Hiring Groups are aware of their Safeguarding responsibilrties.
Advertising Maintaining the YVH social media page on Facebook & dealing wrth advertising for events al the
Team YVH including the AGM as well as Trustee recnJrtment.
Website Team Maintaining the YVH websrte with information about the YVH facilrties. the booking calendar, hirer
infomiation. details of regular hiring groups as well as information about how the YVH is run.

Some further progress has been made in the work of taking over fully from the YHVI Chanty, including adopting
new policies and updating Tems of Reference. Work has begun on engaging Hibberts Solicitors to help wtth the
f1rsl Land Registry application.
There are currently around 26 communrty and eommercial groLFPS that hire the YVH hall or use the grounds on a
regular basis and the venue is often tssed at the weekends for parties and celebrations by lo¢al families. We lost

some Home Education Groups this year. bul gained some others including Spanish, baby development and
ommunily well-being groups. The field is used by the k)cal allotment Society and lo store equipment owned by a
local scout group. The b¢al amateur dramatics group puts on two perfomiances a year and runs summer youth
workshop5.
The buildings and grounds have been maintained to a high stsndard. The Large Hall Porch roof was repaired in
eady 2025 and the Ladies, Gents and Disabled toilets were repainted al the beginning of May. A company ha$
been engaged to do regular grounds maintenance which has improved the appearance of the car part¢ and
children's garden. Excess growth of border with Haslington Surgery and Holly Hedge Is being addressed (subject
Its the T￿e Preservation Order in place in certain a￿aS).
Financial Review 202&25
The charity's financial year ends on 30 September each year.
Receipts from Regular Hire were £17.070. with £5,352 fgr Casual Hire1£816 down on last yearfs combined YHVI &
YVH CIO accounts. desprte 8 1 Ooh fee increase in January 20251.
Outgoings for the period We￿ £24.037 which included over £10K in repairs and maintenance. including £2830 for
the roof repairs and £3700 for Grounds Maintenance.
Overall thi5 resulted in a surplus of £2512 for the period1£546 more than last year's combined accounlsl.
Investments were hrt by the stock market turmoil in earty 2025..
