MILLENNIUM OAK SCULPTURE & GARDEN WITH COMMUNITY ORCHARD

A.G.M

Pilgrims, Chiddingly 18.09.25

Present : Simon Coxhead ( chair), Jeni Longley (Treasurer), Barbie Harrison (secretary), Noel Hardy, David Harrison, Alan Zeal, Yvonna Yates

Correspondence : Email from Charity Commission requesting annual return

Minutes : Were read and approved

Matters Arising : S.C outlined the benefits of last year’s change to a C.I.O to possible new trustees, Alan Zeal and Yvonna Yates, and stated that our financial situation is good. A.Z asked who are members and who Trustees . Trustees are S.C., J.L., B.H., N.H.

Chairs Report : as attached

Treasurer’s Report : we are in a very good financial state, the main reason for surplus being a reduction in insurance costs, and a donation of £250.00 from Barclays as recompense for their inefficiency and tardiness. As a charity we need to have 18-24 months of forward expenditure, and we need to be seen to be doing something with our fundraising. Our current account could be moved into a deposit account to get more interest. Barclays will move the account to the new C.I.O in November, the old Charity can then be closed, and J.L will deal with the Annual Return before 30.09.25. J.L said that Brenda Longley has donated money to MOSAG in her will, but does not want a seat to be bought for her.

Election of Officers : Following the guide lines of the Constitution, S.C resigned as a Trustee. J.L proposed and N.H seconded that S.C become a Trustee. The Trustees resigned from their offices en bloc , and as all were willing to stand again were re-elected. N.H proposed S.C as chair, seconded by J.L . B.H. proposed J.L as Treasurer, seconded by S.C. N.H proposed B.H as secretary, and J.L seconded.

A.O.B : There was a discussion about fruiting and pollination in the orchard, some trees not having produced much fruit this year, but health of trees generally good. A.Z said that Keepers Nursery provide trees which can be named after someone, and it was thought this would be a good memorial to Brenda.

A.Z will read the Constitution and insurance and Land Registry details, and will then be happy to become a Trustee if all is in order.

He has ideas about broadening out the membership with the intention of helpers feeling more part of a group. He thought that people from the Laughton and Ringmer Community Orchard may be interested in helping.

A discussion followed about providing an apple press, and organising barbecues and a wassailing night - D.H to follow up wassailing.

S.C said there was a possibility of expanding the orchard into Giles’ field, but it was generally thought that we don’t have enough manpower at the moment .

The meeting closed at 8.35
