Objectives and Activities
Summary of the purposes of the charity as set out in its governing document
The promotion of community participation in healthy recreation, primarily but not exclusively, for the benefit of the inhabitants of Gateshead and the surrounding areas by the provision of teaching / development / competitive activities swimming and associated activities.
Summary of the main activities of the charity in relation to those purposes for the public benefit, in particular, the activities and services identified in the accounts.
The charity provides swimming lessons and coaching of competitive swimmers which are open to all equally, irrespective of difference. We offer swimming lessons for the Swim England stages from stage one to stage six and swimming coaching for junior swimmers in five competitive squads. We provide coaching and team management to our junior swimmers when they compete in swimming competitions. We are committed to ensuring these activities are delivered in a professional, safe environment and comply fully with the requirements of Swim England, our NGB, with governance provided through our Swim Mark accreditation.
We want to ensure our members continue to swim for as long as they wish to do so and offer an alternative, non-competitive, squad provision for our older swimmers who might otherwise leave the sport, including a masters section which currently has swimmers aged from 16 to 78. We promote swimming as a healthy, inclusive activity which becomes a lifestyle choice for many of our members.
We encourage and develop skill and talent not only within the pool but also poolside, by encouraging and supporting many of our members (both swimmers and parents) to take on other roles within the club. This includes volunteer support roles such as team managers at swimming galas, squad reps, competition management and child welfare. It also includes encouraging and supporting swimmers to achieve qualifications in lifeguarding, teaching and coaching of swimmers. We then provide opportunities for swimmers to develop these skills by delivering these services at club sessions
Statement on public benefit
The trustees confirm that we have had regard to the guidance issued by the Charity Commission on public benefit Contribution made by our volunteers
The charity operates on a not-for-profit basis with only our coaches and lifeguard team renumerated. In addition, we have some coaches who provide their services on a voluntary basis.
The charity could not operate without the invaluable input and volunteer time of our committee, officials, and the trustees. Fundraising, membership records, gala planning and delivery, Swim mark accreditation, welfare provision, risk assessing, financial management,

negotiating pool time and many more tasks are covered by our volunteers. We recognise that without their skill, experience and invaluable time the charity would be untenable. The trustees would like to record their thanks to everyone involved in a voluntary capacity within the club.
Achievements and Performance

We have faced another challenging year in terms of managing the financial viability of the club whilst maintaining the service provision our swimmers expect and deserve. We continue to have to source pool time outside of the Gateshead area to ensure we can offer the number of hours needed, particularly in our competitive squads. We are grateful to swim providers at the Elswick and Washington pools who are able to offer pool time and provide reasonable payment terms to the club.
During the first half of the year our coaching was led by our Head Coach, Ross Bradley, who coached the senior squads and was supported by our Director of Swimming, Ken Nesworthy who coached the younger squads. They were supported by four other coaches, two of whom left the club during the summer of 2023.
In August 2023 our Head Coach, Ross Bradley, had to resign due to family circumstances. Our Director of Swimming, Ken Nesworthy took on the Head Coach role for the remainder of the year, coaching the senior squads. Ken was supported by the two remaining coaches, who have both been with the club for some time, and by two additional coaches who were brought in to replace the two coaches who left.
Our Junior Masters section continues to be popular and has successfully prevented a number of our older swimmers from leaving the sport by providing them with an optional competitive environment with less focus on attendance levels.
As always we try and provide a social side to the club and in 2023 we held a number of popular events including our annual awards night a Christmas party and an inflatable pool party.
During the year the Executive Committee attention has been very much on a longer-term plan for the club, focusing on key strategic activity to help secure the financial sustainability of the club and enhance our position as one of the leading clubs in the North East. To secure that future:

We welcomed nearly 20 swimmers from Washington Swim Club which had to close in April 2023, and also took on their water time at Washington Leisure Centre, thereby ensuring the continuity of junior competitive swimming in Washington.

We successfully applied for charitable status for the club allowing us to access more funding opportunities and ensuring enhanced financial governance and compliance. This was achieved in July 2023

Our treasurer, supported by our chair, led the project to reopen Birtley swimming centre as a Community pool in September 2024, following a Community Asset Transfer from Gateshead Council which closed the pool in July 2023. The club is now a main user of this pool which has provided us with much greater security around our pool time and pool hire costs.

Our chair, supported by our treasurer and other exec team members, led the project to merge Gateshead and Whickham Swimming Club with Derwentside Swimming club. They worked very closely with the Head Coach and the Exec Committee of Derwentside swimming club to develop the detailed plan and other required deliverables for a merger

of the two clubs, following the Swim England methodology. This included engaging the members of both clubs in the rationale for the proposed merger and how the merged club would be structured. The members of both clubs voted for the merger in March 2023 and the merger was approved by Swim England in July 2024
Head Coach Report
This year we have seen real success across all our squads in the skills development practice sessions and the competition arenas around the country pool. This has been achieved despite some coaching recruitment issues and our skeleton coaching staff have done an excellent job developing the athletes this season.
Our younger swimmers regularly attend the NST Shrimp galas and Level 3 and 4 meets which provide an early opportunity for competition in a fun and relaxed environment. The one-day galas have been well attended this year and are the ideal way to build up confidence and the foundations for successful future competition. Our Junior League team competed in the exciting Division 2 FINAL this year and despite several of our team members being unable to attend, the athletes finished in a very respectable fourth place.
Our older swimmers have also had a very successful year. We had strong representation at the Scottish Winter Nationals in Edinburgh last year with 25 athletes qualifying, many for the first time. One of our swimmers, Conan Swinney, won two bronzes and a silver medal
Eleven of our age group swimmers then went on to compete at the Regional Long Course Champs at the end of April 2024 (compared to just 3 in April 2023) quickly followed by Twenty one Youth/Senior swimmers competing the following weekend. (compared to just 4 In April 2023)
During the 23/4 year, one of our youth swimmers, Tia Johnson, also competed in the Winter Para Series and her solid performances were recognised with selection to attend GB performance Camps
Three of our Masters swimmers competed at the British Masters championships in June 2023, winning two gold, two silver and three bronze medals between them. Joan Edwards also broke two new British records in the 400m and 800m when winning her gold medals. Our ladies 260 years relay team broke two British records (in both 4 by 100m relays) and a European record (in the 4 by 200m freestyle relay) when winning these relay races
Four of our masters swimmers competed at the Swim England national championships in October 2023, winning 3 gold and 3 silver medals between them. Our ladies 260 years relay team broke the British record in the 4 by 100m freestyle relay and also won the gold medal in the 4 by 200m freestyle relay and a silver medal in the 4 by 100m medley relay.
At the masters world championships in Doha in February 2024, our ladies 260 years relay team won silver in the 4 by 50m freestyle relay and bronze in the 4 by 50m medley relay
A number of our athletes also enjoy success out of the pool, with the discipline and overall fitness levels they gain from swimming standing them in good stead in other sports. We have a number of multi-sport/triathletes in our competitive/Masters squads competing at GBR level and in Age Group. In other sports we have swimmers representing their county in hockey and cricket.

Achievements against objectives set
The Chairs report above outlines the steps taken to secure the long-term future of the club which was a key objective of our business plan for this year. Post COVID we need to ensure we are financially viable without reliance on previous local authority funding opportunities which are no longer available. The Chairs report together with the detailed financial information provided outlines what we have achieved in that regard.
The Head Coaches report details our achievements in the pool and the progress made against the objectives of growing our competitive squads in terms of experience and skill at galas, maximising the number of swimmers qualifying for County and Regional competitions and advancing swimmers with the potential to do so to national level. Improving our inclusivity and affordability
We remain committed to extending the service we offer to as wide a range of the inhabitants of Gateshead and the surrounding area. This year we have reinforced existing fees arrangements and introduced some new measures to help keep our prices competitive and accessible to as many families as possible. We have:

Kept our annual membership fee (£25) at one of the lowest in the Northeast

Continued to offer a sibling/family discount on monthly fees of 5% for each additional family member who swims with us
-
Introduced some flexibility on fees/attendance for athletes on an elite pathway sponsored by another recognised Sports Governing Body

Continued to consider individual circumstances of existing members if they encounter unexpected financial difficulty and need short term assistance with fees
-
Continued to offer a reduction of up to 50% monthly fees for any athlete with a long term injury which prevents them from swimming
-
Introduced our hardship fund where we can offer a 50% reduction in fees for new members if they meet certain criteria – this is limited to up to 10% of our competitive membership
A number of these measures are unique to our swim club and enable us to offer our services / enjoyment of the sport to a broader range of participants than would otherwise be possible, particularly as Gateshead has lower than average levels of household income.
Performance of fundraising activities against objectives set
The club raised additional funds from the following sources during the 23/24:

A donation of £10,076 from the club treasurer, which enabled the club to continue to hire pool time at the Gateshead Council pools in April and May 2023, after Gateshead Council changed their credit terms to all clubs in March 2023 and no longer permitted clubs to owe more than one month of pool hire invoices. This money was used to pay the pool hire charges from Gateshead Council between April 3[rd] and June 4[th ] and enabled the club to return to a one-month credit term.

A donation of £8132 in July 2023 from Washington Swimming club. This was the remaining bank balance held by Washington Swimming club following the closure of the club in March 2023. The members of Washington swim club had a special general meeting on March 13[th] 2023, in which they voted unanimously in favour of these funds being transferred to Gateshead and Whickham Swim Club once it had become a registered charity.

A donation of £1000 received from a local charitable fund towards the cost of purchasing backstroke starting wedges.

Financial Review
Review of the charity’s financial position at the end of the period
The club reported a small operating surplus of £4,563 for the year to 31.03.24, a significant improvement of £5,801 on the previous financial year which reported a deficit of £1,238. This was mainly due to the following favourable improvements:

An increase of £15.4k in monthly membership fees due to growth in the number of swimmers and an average 11% price increase in January 2024

An increase of £1.7k from annual membership fees due to growth in swimmers and an increase in the annual fee from £15 to £25.

An increase of £1.8k in income from donations and grants
These favourable improvements were partially offset by these main cost increases:

An increase of £9.8k in pool hire costs, due to a 25% increase in the hourly rate for pool hire charges from Gateshead Council

An increase of £0.9k in coaches expenses and gala attendance, reflecting participation in more galas
-
A reduction of £1.9k in the profits generated from the three galas we ran in 23/24 which generated £14.2k, compared to £16.1k generated by the three galas in 22/23. This was due to an increase in the pool hire costs
At the end of the 31.03.24 financial year, the club had net current liabilities of £17.7k, £4.6k lower than the £22.3k net current liabilities at the previous year end.
Statement explaining the policy for holding reserves stating why they are held The club’s reserves policy is as follows:

Our objective is to maintain an amount of money in reserve which equates to three months of operating costs, which is currently £33k.

This amount would be held in reserve to meet unexpected changes which have an adverse impact on the club’s financial position. Thes would include significant cost increases, significant reductions in our swimmer numbers, or external impacts such as another pandemic closing the swimming pools

The club had negative reserves of £11.4k at 31.03.24, a reduction of £4.6k on the previous year’s balance
Reasons for holding zero reserves
The club had negative reserves at 31.03.24 due to incurring a significant deficit of £27k in the financial year to 31.03.22. partially offset by the surplus of £4.6k made in the current year. This was the first year after COVID, when swimmer numbers had reduced significantly (by nearly 40%) following the extensive period when pools were closed and £10k funding from the Community Foundation grant was discontinued.
Explanation of any uncertainties about the charity continuing as a going concern Since the end of March 24, the club has made a significant change to improve its financial position:
In late July 2024, the club merged with Derwentside Swimming Club to form Derwentside and Gateshead swim team, following approval of the merger by Swim England. The constitution of Gateshead and Whickham Swimming Club Charitable Incorporated Organisation has been amended to become the constitution of the merged club, Derwentside and Gateshead swim team CIO. Two new trustees were added who were formerly on the Executive Committee of Derwentside Swimming Club. Two of the trustees of Gateshead and Whickham Swimming Club CIO resigned. The trustees of Derwentside and Gateshead Swim Team now include representatives from both former clubs.

The rationale for the merger was to create a larger and stronger club with a significant increase in swimmer numbers and increased resources available for:

There is also a good synergy in coaching capabilities, as the former Derwentside head coach has great expertise and experience in coaching and developing the senior performance squad and the former Gateshead and Whickham head coach has great expertise and experience in coaching and developing the younger swimmers. The other coaches also have the necessary experience and expertise to cover all the other swimming squads.
The merged club now has access to three more pools for training, compared to the former Gateshead and Whickham swimming club which mainly used the Gateshead Council run pools. The hourly pool hire charges at these additional pools in Birtley, Consett and Stanley are significantly lower than the hourly pool hire charges from Gateshead Council, which has significantly reduced the average cost of pool hire for the merged club.

Structure, Governance and Management
Description of charity’s governing document
Our constitution content and format is the one required for a Charitable Incorporated Organisation with voting members other than its charity trustees How is the charity constituted? Charitable Incorporated Organisation Trustee selection methods
Trustees are appointed in line with Section 15 of our constitution with nominations required in writing 21 days before an AGM (proposer and seconder) and an acceptance in writing from the nominee. Trustees retire by rotation of not less than one third and vacancies are then duly filled by the decision of the members. The constitution includes provision to appoint at any time due to retirement. In addition, the Charity appoints a nonExecutive trustee position of Welfare officer who is entitled to attend Committee meetings but does not have the power to vote.
Charity’s Organisational structure
The Charity is operated day to day by the 5 trustees who hold the following executive offices – Chair, Vice Chair, Treasurer, Secretary and Operations Manager. The Club Welfare officer is a Non Exec member of the trustee board. In addition, we have a committee of volunteers who have delegated responsibility from the Exec to manage specific tasks/roles within the club – e.g. fundraising manager, competition secretary, members secretary, gala coordinator etc.
The Exec officers are answerable to the committee for the day to day management matters of the club. Wider than the committee, we have other members which include any volunteers at the club, such as coaches or officials, and all swimmers over the age of 16, who have voting rights on any constitutional or governance matters within the club. Our national governing body Swim England oversees the clubs compliance with propriety and - governance matters, through our bi annual Swim Mark accreditation process.

GATESHEAD AND WHICKHAM AMATEUR SWIMMING CLUB CIO INDEPENDENT EXAMINER'S REPORT TO THE TRUSTEES For the year ended 31 March 2024 I report on the financial statements of Gateshead and Whickham Amateur Swimming Club CIO for the year ended 31 March 2024, which are set out in the attached financial statements which have also been submitted to the Charity Commission along with this document. Respective responsibilities of trustees and examiner The charity's trustees are responsible for the preparation of the accounts. The charity's trustees consider that an audit is not required for this year under section 144 of Ihe Charities Act 2011 {'Ihe Charities Act) and that an independent examination is needed. Having satisfied myself that the charity is nol subject to audit under company law and is eligible for independent examination, it is my responsibility lo.. examine the accounts under section 145 of the Charities Acl, to follow the procedures laid down in the general Directions given by the Charity Commission (under section 14515){b} of the Charities Act), and to state whether particular matters have come to my attention. Basis of independent examiner's statement My examination was carried out in accordan with general Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from the trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a 'true and fair view, and the report is limited to those matters set out in the slatement below.
