Annual Report of St Joseph’s PTFA
1[st] September 2024 – 31[st] August 2025 Registered Charity 1203535
Introduction
The PTFA, a registered charity, is proud to present its annual report detailing the progress, activities, and financial outcomes of the past year. This document highlights our dedication to supporting students, parents, and the broader school community while fostering a spirit of collaboration and raising funds to support the educational needs of the children. We are governed by our constitution adopted in 2022. This is reviewed annually along with policies as part of our annual AGM, held at the start of the academic year.
Our Objectives
Our mission is to enhance the educational experience of students, support teachers in delivering quality education, and build a connected community. As a charity, we are committed to ensuring all funds raised directly benefit the school and its pupils and work closely with the school to identify projects/requirements that we can support with. We work hard, particularly during this cost of living crisis, to balance the need to fundraise with ensuring we make our events accessible to all.
Our Team & Governance
Our 2024-2025 team were:
Chair: Jennifer Gray
Treasurer: Alison McLaren
Committee Members: Caroline Ostler, Katherine Francis, Jaqueline Gallagher, Lauren Comer
Teacher liaison (non-trustee role): Helen Thompson
At our AGM in October 2024, Jacqueline Gallagher and Lauren Comer were added to the committee.
Alison Mclaren and Jennifer Gray announced they would step down from the committee (and Chair/Treasurer roles) at the end of year. Resignation of the Chair and Treasurer triggered an EGM which took place on 7[th] July 2025 at which existing committee members remained the same but Emily Cotton was voted in as the new Chair, Jacqueline Gallager takes on the role of treasurer and Lucie Kibbey assumes the role of Secretary. This will take effect at the end of our financial year (i.e. 31[st] August 2025).
We would like to thank the wider core team for their unwavering support.
St Joseph’s PTFA is governed by our constitution adopted on 3[rd] October 2022. Unless specified, all committee members including the treasurer and Chair are trustees of the charity and are responsible for the day to day running of the PTFA and adherence to the legal regulations set out by the Charity Commission. The committee and wider team meet regularly (at least once a term) to discuss fundraising events and governance issues.
Overview of Activities
Fundraising Events
-
Christmas Shop and Christmas cards were extremely popular and raised lots of funds. The children also enjoyed the in school panto we arranged.
-
NEW In and amongst all the other Christmas fun we also did a Santa’s grotto and ran a Christmas raffle which together raised over £1000
-
Summer Fete: A huge success once again, as our biggest fundraiser of the year. We trialled a hybrid raffle which was a great success.
-
NEW We ran our 1[st] parents event with a school quiz, the teachers took home the trophy, everyone had a great time and we raised over £600.
-
Easter Bunny Hunt: The children loved some time out of class to go on an egg hunt and we raised a small amount of money towards our annual targets.
-
Colour run: The children and teachers loved taking part in our 2[nd] colour run, the weather was beautiful, the children we the colours of rainbows and we raised over £1300 (opting not to do a raffle with this one)
-
NEW Dance Showcase: We supported the school with their first Trust Dance showcase where children from schools across the trust came and delivered fantastic performances, including our wonderful St Joseph’s Dance Club! We helped the fantastic Ms Lally who sorted all the logistics with ticket sales a raffle. This raised over £900 which is ringfenced for Dance.
-
Festival: Our Year 5&6s had a wonderful time, dancing, badge making and drinking the juice bar dry at our annual leaver’s festival. We opted for burgers and hot dogs over pizza this year which boosted our returns for the event.
-
Other initiatives included Friday summer ice creams, our 50:50 raffle, sports day refreshments and infant production refreshments and raffle.
Community Engagement
-
Volunteer Program: Mobilised tens of volunteers who contributed their time to school activities and events.
-
Stay and play: Hosted a stay and play event for reception parents as an opportunity to meet teachers and other parents and welcome them to the school
-
Christmas Jumper swap: Arranged a free Christmas jumper exchange to support both sustainable practices and reduce a financial burden at a costly time of year for some of our families. Jumpers were then worn on Christmas dinner day.
-
Father’s day Breakfasts: We reran our breakfasts and invited fathers, grandfathers, stepdads and carers to attend breakfast club with their child. All men received a free hot drink and the children made medals for their Fathers. Thank you to the school catering team for their support with the event
-
We also provided all children with a present at Christmas (a Christmas pencil & sweets), a breakfast for the first day of Year 6’s SATS and all children received sweets on St Joseph’s Day!
-
We supported our brilliant football team in their trip to the final (which they won!) by selling St Joseph’s flags to supporters. Well done boys!!
-
We host weekly coffee mornings after drop off free of charge as an opportunity for parents to come together and continue to provide second hand uniform on a voluntary donation basis. We also attended the new parents’ sessions to support the school and also the parents with some initial connections.
How funds were spent
-
Technology Upgrades: Provision of new tablets for the whole school to use
-
RE Supplies: Donation for a new monstrance, prayer books for year 6 leavers and communion gifts for year 3
-
Funding Science day – which was attended by the Royal Society
-
Reading supplies: Some phonics support for Early years
-
A barbeque for future use by the school and PTFA, current rental costs are c.£600pa so we should see a return after 3 years (assuming it is only used for the same few events currently)
Financial Summary
Overall, we had a fantastic year of fundraising and managed event costs well. We set a target of £10,000 which we overachieved by 20%.
