Trustees’ annual report
The trustees present their report on financial statements for the year ended 01 May 2025.
Reference and administrative information set out on page 1 forms part of this report. The financial statements comply with current statutory requirements, the memorandum and articles of association, the requirements of a Trustees’ report as required under trust law, and the Statement of Recommended Practice - Accounting and Reporting by Charities: SORP applicable to charities preparing their accounts in accordance with FRS 102.
Structure, governance & management
The organization is a charitable trust, incorporated and registered as a charity on 19 May 2023. The trust was established under a constitution which established the objects and powers of charitable trust and is governed under its articles of association. All Trustees give their time voluntarily and receive no benefit from the charity.
The trustees review the charity's aims, objectives and activities annually to assess performance against its charitable objectives and to ensure that its activities continue to deliver public benefit and remain aligned with its charitable purposes.
The Trustees report the success of each key activity and the benefits the charity has brought to those groups of people that it is set up to help. The review also helps the Trustees ensure the charity aims, objectives and activities remain focused on its stated purposes.
The trustees commenced their ongoing review of the Charity Governance Code in May 2024.
Objectives and activities
Purposes and aims

Activate Community Project was created in response to the growing concern that many children, after school, do not participate in clubs or extracurricular activities. Instead, they often spend excessive time at home, engaging with devices or screens. This lack of structured, enriching activities can contribute to the development of antisocial behaviors and a diminished sense of purpose.

Our vision is to provide children with a safe, engaging, and supportive environment where they can explore new interests, develop social skills, and rediscover a passion for life beyond screens. Through a variety of activities, we aim to inspire creativity, foster positive relationships, and build resilience in the young people we serve.

Mission:
The objective of the CIO is: to advance in life, relieve the needs of and help children and young people aged 8 and over who are resident in Aldenham and Radlett and the surrounding areas, and in particular but not exclusively those from socially and economically disadvantaged backgrounds, by:

a) providing recreational and leisure time activities provided in the interest of social welfare, designed to improve their conditions of life.

b) providing support and activities which develop their skills, capacities and capabilities to enable them to participate in society as mature and responsible individuals.
Achievements and performance
Summary of Key changes in 2024/2025:

No grant income was received during the year.

Expenditure of £15,655 was incurred on activities benefiting children.
2024/2025 Event and training & attendees
During the year, the Chair, Mohan Luthra, successfully completed Designated Safeguarding Lead (DSL) training, strengthening the charity's safeguarding arrangements.
The Trustees are now focused on implementing the associated projects over the coming year.
Learning Journey of the Trust
Over 2024/25, the Trustees began to strengthen their understanding of their roles and responsibilities, maintaining a clear focus on strategic priorities and working to deliver on the Trust’s vision. This has included ongoing reflection and learning around governance, funding, and community needs.
A key part of the Trust’s development this year involved applying for a range of grants to support future activities.
The experience of navigating the grant process has helped deepen the Trustees’ insight into project planning, outcome measurement, and sustainable service development. Looking ahead, the Trust aims to build on this learning by continuing to seek strategic funding opportunities, strengthening monitoring and evaluation, and embedding long-term planning across all areas of work.
Financial review
The trust incurred a deficit of £14,609 during the 2024/25 period, reflecting the absence of grant income together with expenditure incurred in developing and delivering the charity's activities.

Principal risks and uncertainties
Financial sustainability remains one of the principal risks facing the charity. As the charity continues to develop its activities, its future sustainability will depend on successfully securing grant funding, donations, and other sources of income. The trustees have identified the core resources and associated operating costs required to support the charity's activities. Expenditure on new projects and any associated staffing or operational costs will only be committed once sufficient funding has been secured. This approach helps to minimize financial risk while supporting the charity's long-term sustainability.
Ensuring the well-being of a small team to deliver a significant workload is also a key area on the trustee’s agenda. More will be done in the refreshed strategy to address this.
Reserves policy and going concern
The Trustees have examined the charity’s requirements for reserves in light of the main risks to the organization. Trustees are committed to generating sufficient funds to support current organizational activities to meet the following requirements:

Safeguarding the charity’s service commitment in the event of delays in receipt of grants or other income.

Providing a financial cushion against risk and future uncertainties.
-
Resourcing the research and development of services and initiatives.
As the charity is in the early stages of development, free reserves are currently limited. The trustees intend to build unrestricted reserves over time as funding increases.
Although the charity incurred a deficit during the year, the trustees have reviewed the charity's financial position, expected future funding and planned activities. They are satisfied that the charity has adequate resources to continue operating for at least twelve months from the date of approval of these financial statements. Accordingly, the financial statements have been prepared on the going concern basis.
Plans for the future
Summer Camps:
Shortly after the year-end, in Summer 2025, Activate Community Project successfully launched its first summer camp. Building on this success, Activate plans to hold regular camps during school holidays, providing children with valuable opportunities for learning, creativity, and social interaction.
Community Outings:
Activate is also planning to organize regular community outings, including visits to museums, football matches, and other cultural and educational venues. These outings aim to broaden children’s horizons and expose them to a diverse range of experiences beyond their everyday environment.
Weekly Sessions:
Activate will offer weekly sessions, with spaces available for up to 10 children per session. These sessions will offer a mix of engaging activities, including Lego engineering, computer fun, and multisport, designed to promote both creativity and physical activity.
Expanded Activities and Access:
The project aims to offer a variety of activities seven days a week, with after-school sessions running Monday to Friday from 4.30 pm to 6 pm, and additional weekend activities. The Trustees are committed to expanding the service to a full seven-day provision as soon as possible, with progress contingent on securing sufficient volunteers and funding.

Funding and Sustainability:
To ensure the sustainability and growth of these initiatives, Activate will pursue additional grant applications, focusing on securing funding to support expanded programming and the recruitment of more volunteers. Continued fundraising efforts will also be a priority to help meet the growing demand for these services and achieve long-term goals.
Statement of responsibilities of the trustees
The trustees are responsible for preparing the trustees’ annual report and the financial statements for each financial year, which give a true and fair view of the state of affairs of the charity and of the incoming resources and application of resources, including the income and expenditure, of the charitable trust for that period.
The trustees and volunteers contributed significant time throughout the year. Their commitment enabled the charity to deliver its activities while minimizing administrative costs.
In preparing these financial statements, the trustees are required to:

Select suitable accounting policies and then apply them consistently

Observe the methods and principles in the Charities SORP (FRS 102).

Make judgments and estimates that are reasonable and prudent.

state whether applicable UK Accounting Standards have been followed, subject to any material departures disclosed and explained in the accounts; and

Prepare the financial statements on a going concern basis unless it is inappropriate to presume that the charity will continue in operation.
The trustees are responsible for keeping proper accounting records that disclose with reasonable accuracy at any time the financial position of the charitable trust and enable them to ensure that the financial statements comply with the Charities Act 2011. They are also responsible for safeguarding the assets of the charity and hence taking reasonable steps for the prevention and detection of fraud and other irregularities.
The trustees are responsible for the maintenance and integrity of the corporation and financial information included on the charity website. Legislation in the United Kingdom governing the preparation and dissemination of financial statements may differ from legislation in other jurisdictions.

Accountant's Report to the Trustees of Activate Community Project
We have prepared the accompanying financial statements of Activate Community Project for the year ended 1 May 2025 from the accounting records and information and explanations supplied by the Trustees.
The financial statements have been prepared in accordance with the accounting policies adopted by the charity and, where applicable, the requirements of the relevant accounting framework, including the applicable provisions of the Charities Statement of Recommended Practice (SORP). The financial statements are intended to assist the Trustees in fulfilling their responsibilities for maintaining proper accounting records and preparing financial statements that comply with applicable charity law and accounting requirements.
This report is made solely to the Trustees of the charity in accordance with the terms of our engagement. Our work has not been carried out in accordance with auditing standards or independent examination standards and, accordingly, we do not express an audit opinion or provide any assurance on the financial statements.
The responsibility for the accuracy and completeness of the accounting records and the preparation of the financial statements rests solely with the Trustees. The Trustees are responsible for ensuring that the financial statements comply with applicable charity law, the charity's governing document, and relevant accounting requirements.

Notes to the Financial Statements
1. Statutory information
The charity is a Charitable Incorporated Organization, incorporated in England and Wales. The members of the CIO are the Trustees named on page one. There is no ultimate controlling party.
The charitable trust is a public benefit entity as defined by FRS 102. The financial statements have been prepared in accordance with the Charities SORP (FRS 102).
2. Accounting policies
2.1. Basis of preparation
The financial statements have been prepared in accordance with Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (Charities SORP FRS 102), The Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (March 2018) and the Charities Act 2011.
Assets and liabilities are initially recognized at historical cost or transaction value unless otherwise stated in the relevant accounting policy or note.
The functional currency of the charity ‘s GBP (Great Britain Pound).
The principal accounting policies adopted are set out below.
2.2. Going concern
Although the charity incurred a deficit during the year, the trustees have reviewed the charity's financial position, expected future funding and planned activities and are satisfied that the charity has adequate resources to continue operating for at least twelve months from the date of approval of these financial statements. Accordingly, the financial statements have been prepared on the going concern basis.
2.3. Income
Income is recognized when the charity has entitlement to the funds, any performance conditions attached to the income have been met, it is probable that the income will be received and that the amount can be measured reliably.

2.4. Expenditure
Expenditure is recognized on the accruals basis when a legal or constructive obligation arises and the amount can be measured reliably. Expenditure includes any irrecoverable VAT and is classified under the headings set out in the Statement of Financial Activities. Support costs are those costs relating to the premises and support functions of the charity. Governance costs comprise those costs incurred in the governance of the charity, including the administration of the charity and compliance with constitutional and statutory requirements. The charity is not registered for VAT. Accordingly, all expenditure is stated inclusive of VAT, as any VAT incurred is not recoverable.

Cash at the bank and cash in hand includes cash and the charity's current and deposit accounts, which are immediately accessible.

The charity is an unincorporated charity and is not constituted as a company. Accordingly, it does not have share capital or members' limited liability.
