Annual Meetng - Cylch Meithrin Llanfechell 2024/5

Chairman’s report

As a new Charitable Independent Organisation (1202964) this complete year has been a year of consolidation and development. Our revised Constitution was approved, and our annual reporting programme completed a full cycle. Our newly aligned Annual Meeting, end of year accounts and Charity Commission returns have taken place, with some slight delays in reporting due to our requirements to submit one full year and one part year. All reporting has now taken place and confirmation has been received. All future annual returns will take place in January each year. All Annual Meetings will take place within April each year.

With all regulation activity completed, we continue to look forward to our inspections to consolidate our CIO development. We have managed our financial obligations this year as seen in our Annual Accounts.

We continue to use the Community Rooms with the support of School and the Community Council. The rooms continue to be ‘lent’ to us under annual licence and we continue to work in partnership with School and act as a feeder into the school system. We are very grateful for all the encouragement, support and joint working.

The number of children we currently have (April 2025) is 25 children on our register, we are registered to take up to 18 children at any one time.

The registration under the ‘30 hours scheme’ continues to provide us some much-welcomed income. We currently have 12 children registered and this delivers £6.40/hour for each child through the scheme. We continue to encourage all eligible parents to apply for this support.

We have continued to develop our offer within the Wales Curriculum and we have worked closely with both Mudiad Meithrin and Early Years team at the Council who have offered support and guidance as needed.

2024/2025 has seen the addition of a IOACC owned Caban placed on the school site. The purpose of this Caban is to afford the Llanfechell community access to childcare from age 2 years to 11 years, 5 days per week including Breakfast/After School Clubs and some School Holiday Clubs. This offer is to include Flying Start services also.

As a group of Cylch Meithrin Trustees, we have been invited to tender for a contract to deliver these servces and we are currently in the process of such.

It has been indicated that Contract will be awarded to the successful applicant in June 2025 for 2 years.

We await the results of our application.

Our Volunteer Scheme, lead by Sally Thomas, is going from stregth to strength and offers opportunities for parents, family members and our community to get involved in the sessions at Cylch. We now have 5 volunters from a range of backgrounds and ages, enabling our childcare offer to be increasingly diverse, dynamic and fresh. All of our volunteers have had the necessary DBS checks undertaken, one of our volunteers is aiming to undertake a Playworker course, supported by us. Our thanks extend to Sally for her continued advise, support and hard work.

We thank all staff for their continued hard work, flexibility and dedication to the children at Cylch.

We have used FaceBook for the majority of our communications, sharing notices, information and activities. We have had a variety of super Cylch generated window displays in the Caffi, and we have had Art /Craft competitions that have had sponsored prizes along with art displays in Church too. Thank you to all who publish and support these activities. We have continued to apply for financial support from various other bodies and fundraised through a range of activities such as - raffles, tombolas and events. We were successful in obtaining a Early Years grant which supported the purchase of outdoor play items, nappy changing station (to support staff moving and handling) and IT equipment.

We do not have any proposed new Trustees for the coming year, but continue to look for potentials.

I would like to say a huge heartfelt thanks to all the current Trustees, who perform their duties willingly and with due diligence on all aspects of the required governance, and as volunteers, give up their own time to continue to support the children of our locality. One of our Trustees is planning to undertake a Playworker course to support our offer, one of our Trustees has undertaken the Safeguarding Group C training and all others have happily undertaken training depending on requirements. Through this high level of support, we continue to develop as a much regarded and well used local childcare provider.

I would also like to thank all other supporters, past and present, in helping the Cylch to continue to serve our next generations.
