Trustees are appointed or reappointed atthe Annual General Meetlng
in the third year following their election and may be elected for a
further three-year term. with the exception of the Club President who
is elerted annually.
Should a casual vacancy arise among the position of trustees, the
remaining trustees will seek to fill it; the person appointed will then be
in place until the person they replaced was due to stand down but will
be eligible for re-election at the relevant AGM. In accordance with the

Membershlp of the Club is open to young people aged between 4 and
18 years, as well as adults. There is a Safeguarding Policy in place bv
both the Club and our governing body• the RFU. All volunteers are
required to undergo DBS checks and annual Safeguarding training.
Checks are carried out again in line with statutory requirements.

registration database- GMS system- and checked at the beginnlng of

The trustees seek the vlews of volunteers in the executlon of the day
to day running of the Club artivities regarding rugby and other sporting
provlsion. Commlttee meetlngs are held monthly and are open to all
volunteer members who wish to attend.
The Club Is regulated by the RFU and follows all RFU re8ulations,
policies and procedures, as well as ensuring that our own Club policies
and regulations are In place as per the RFU guidelines.

Newmarket area, by providing facilities for playing rugby union

The Club is run solely with the help of volunteer5.
Ourvolunteer5 include the Trustees, committee members to aid in the
day-to-day running of the club. team coaches. team flrst aiders and
team managers.

We are grateful for the many hours volunteers, includlng member
volunteers. have spent encouraging and supporting our players.
Without this valuable ¢ontribution of time, energy and expertlse we
would not have been able to achieve as rnuch as we have.

We continue to grow and provide regular training and games for both
adult5 and Age Grade {4yrs to 18yrs) by providing the use of grounds,
floodlights and other facilitles to our members.
We also contlnue to facilitate and provlde opportunitles for our local
secondary and primary school settings and some of our volunteer
coaches have given f reely of thelr time to run extra<urricular rugby
sessions in these schools. We agaln supported and a5SiSting in the
iunning of the area Schools, Tag Rugby Ski115 Festival for Key Stage 2
chlldren which was well attended by over 20 local schools. We'd like
to thank the Forest Heath Sports Partnershlp Manager for continuing
to engage with the Cluband sharingour love and enthusiasm for rugby
activities.

Our partnership with Northampton Saints Rugby Club has also
continued to grow and we have agaln provided both the facillties and
grounds, as well as coaching silPPOrt to run school holiday camp
activities and skills development courses.
Our youth teams have had great success in their leagues across the
season as have our senior team, who werewinners of County Cup. Our
girl's section is also expandingi and we have formed an alliance with
local clubs to ensure that they get plenty of game tlme too.
We continue to supportthe local rugby community. Ourquallfied First
Aid Tralner is able to provide many first ald courses as well as the
necessary Level 3 Emergency First Aid COLsrses. These have been well
attended by our Club members along side local Rugby Clubs and rugby
clubs from the surrounding counties, other sport5 clubs, local Schools
and buslnesses. The Club also benefrts financlally from the reasonable
charges for the service.
Thls year has seen yet another cohort of older children114yrs+l access
coaching courses to further improve their education outside of the
scope of the Natlonal Curriculum provided by their schoo15 as well as
being sUPPOrted in their Duke of Edinburgh Award. We have given our
young coaches the support to involve themselve5 in community-based
activitie5 Via the coaching of younger players, that were not previously
available.
Financial Review
Review of the charity's financial
position al the end of the period..
Our maln source of income remains that from membership and
sponsorshlp payments.
We would like to express our deepest thank5 to our Club Sponsorshlp
and Marketing Director, who ha5 worked tirelessly to ensure that our
sponsorship remains constant. The cost-of-living crisis has hlt hard this
year and consequently sponsorship opportunitie5 have decreased.
There are some sponsorship payments that are due within our playing
season whlch, however, fall outssde of the financial year and will be
reflected in the next yearfs accounts.
We would also like to send a big thank you to our sponsors without
whom many of our children Could not continue to play sports. Their
sponsorship allows us to keep the cost of our membership low and in
some cases, (fully} subsidi5e their membership payment to the Club;
allowing many famllles who struggle financially to access our activitles.

The social* physical and mental benefft5 of what we provlde for our
players is irnmeasurable, and our sponsors are a part of this.
Despite several obstacles and rlslng costs our kltchen sales have
increased this year and agaln a btg thank you to our Kitchen Co
Ordinators and parentvolunteersforbeingln the kitchen every Sundav
throughout the season and some mid-week.
We continue our dlscussions wlth Suffolk County Council, and more
recently West Suffolk Council. to try to negotlate a lease {or shared
lease) for ground5 in the Newmarket area which will have the added
benefit of allowing u5 to access the available funding and grants we
very much need to improve our facilities and equlpment and ensure
our players get the best of what they need.
Our major fundraislng event for the year usually takes place in the off-
season months. This is a very important event that usually raises
thousands in much needed revenue for the Club's following season.
Unfortunatelyi last year we were locked out of the grounds we use,
from the beginning of May to the 31 August (training restarted on 1st
Sept) and our summer fundraislng event was cancelled. Sadlyi
missed opportunity forthe Club to raise much needed funds. The hard
work on fundraising at this yearfs end of season events will be refletted
in the accounts for our next flnanclal year (Cash at bank sits at just
under £18k- early May 2025}.
Our costs have Increased greatlythis year. The majority of our income
is used to pay for use of the grounds, changing rooms and toilet access,
with other costs to cover training equipment and food- the RFU place
upon us a duty to provide post-match food for both home and away
teams (with the added benefit of providing a warm meal for those
children whose familie$ struggle to provide thlsl.

We do not hold funds In reserve but seek to keep funds at such a level
so that we are able to continue to pay for our annual costs including
use of the grounds, electric blll for the floodlights. food, annual
replacement of kit and other occaslonal costs.
We have had two projects this year.. one to replace the goal post
protertor5 to improve safety for our players which we have achieved,
and the new protectors have been very welcomed by both our
membershlp and the referees society.
Our second and third, on goin& projects are to replace the goal posts
and update ourtralning equlpment, both expensive costs and we have
several fundraising avenues in place to help us achieve these providing

our other costs do not increase to such a level that we will need to use
the Club tunds to payfor those.
