Minutes of the CIO AGM held on Tuesday 25[th] November @ 7.30pm

Minutes of last meeting:- BH proposed, IS seconded.
Matters arising:- None.
Chair’s report : - The completion of the change from the East Cowton New Village Hall Association becoming the East Cowton Village Hall CIO (charitable, incorporated organization) has been a long and somewhat frustrating process. It was hoped that the Hall’s solicitor would have had all necessary paper work completed by this time. Unfortunately and unknown to us or communicated to us by his colleagues our solicitor has been away from work due to illness for some time.
We are now in the throws of retrieving our file and we will complete the process. In the meantime a vesting document will be signed by the committee of the East Cowton New Village Hall Association committee, transferring the interests of the hall to the new CIO committee. This document will then be copied to the Charities Commission and they will be asked to place the old entity on their Charities Merger Register until such time as we have completed all other steps to allow us to dissolve it.
All as per The Charity Commission rules and regulations.

There are no accounts available at this moment, due to the continued delay in the transfer of assets.

Representatives of User Groups:-
JC welcomed JY from gardening group and JS from CATS. Their roles were clarified. JY asked if he could bring along other members of gardening group to observe. JC said yes.

Next AGM expected March 2027.
CJ expressed gratitude for all the hard work and progress made by current committee, which was much appreciated.
ES and JS explained about village website progress. To be the village hub, paid for initially by parish council, other user groups to contribute. Expected to be up and running by Jan/Feb 2026, providing different levels of access.
