TRUSTEES’ REPORT FOR YEAR ENDED 30[th] APRIL 2023
The Trustees present their Report and the Financial Statement for the year ended 30[th] April 2023.
About the Society
Founded in 1992, The Harrogate Phoenix Players is a Musical Theatre society welcoming singers, actors, dancers, backstage crew and people interested in marketing, wardrobe, social events and fundraising of all ages and abilities. The Society has operated as an Unincorporated Association since its inception in 1992. However, during the course of last year, the Society became a Charitable Incorporated Organisation (CIO) under the UK Charity Commission rules. Therefore, as of 15[th] September 2022, the assets of Harrogate Phoenix Players (UA) were ported to Harrogate Phoenix Players (CIO).
Summary of Activities
The Society has a main production each year and, in the past (up to 2017), has also held a summer event which is more light-hearted in nature. The main show is performed at The Harrogate Theatre and the summer concerts or shows have taken place at a variety of venues in and around Harrogate. They always aim to produce shows of the very highest standard. The Society is fully inclusive and, except for the main roles in their productions, no auditions are held, and members of all abilities are welcome. The most important thing is to have an enjoyment of Musical Theatre and learn from the experience. This year’s production was All Shook Up, which took place at Harrogate Theatre from 23[rd] to 25[th] March 2023.
Review of the year
For the year 2022-2023, the Society had 33 members, 17 Adults, 7 Juniors, 1 Lifetime, 3 Honorary and 5 non playing members. This varies from year to year depending on the mix of performers in the annual production.
Cash in the bank at the start of the financial year is £21450 and at the end of the financial year is £17765.
Credit must be given to the Management Team for having clear goals and expectations, record keeping is accurate and detailed, this combined with budget planning has meant the society is in a good position on all levels. These figures are supported by the bank statements. A set of accounts has been prepared to accompany this document.

Independent Examiner’s Report to the Committee of the HARROGATE PHOENIX PLAYERS
I report on the accounts of the Harrogate Phoenix Players, for the year ended 30[th] April 2023, which are set out on pages 1 to 3.
Respective responsibilities of the Trustees and Examiner
The charity’s trustees are responsible for the preparation of the accounts. The charity’s trustees consider that an audit is not required this year under section 144 of the Charities Act 2011 (the Charities Act) and that an independent examination is needed.
It is my responsibility to:

examine the accounts under section 145 of the Charities Act,
-
to follow the procedures laid down in the General Directions given by the Charity Commission (under section 145(5)(b) of the Charities Act, and
-
to state whether particular matters have come to my attention.
Basis of the independent examiner’s report
My examination was carried out in accordance with the General Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from you as trustees concerning such matters. The procedures undertaken do not provide all the evidence that would be required in an audit and consequently no opinion is given as to whether the accounts present a ‘true and fair’ view and the report is limited to those matters set out in the statement below.
Independent examiner’s statement
In connection with my examination, no matter has come to my attention:

which gives me reasonable cause to believe that in, any material respect, the requirements:

to keep accounting records in accordance with section 130 of the Charities Act; and

to prepare accounts which accord with the accounting records and comply with the accounting requirements of the Charities Act have not been met: or

To which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.

1 Statutory information
Harrogate Phoenix Players (CIO) is a charitable incorporated organisation, registered in England and Wales, registration number 1200385. The registered office is Flat 1, 9 Langcliffe Avenue, Harrogate, North Yorkshire, HG2 8JQ. The principal place of business is Harrogate Theatre, Oxford Street, Harrogate, North Yorkshire, HG1 1QF.
2 Average number of employees
During the period the average number of employees was 0.
For the period ending 30 April 2023 the company was entitled to exemption from audit under section 477 of the Companies Act 2006 relating to small companies. The members have not required the company to obtain an audit in accordance with section 476 of the Companies Act 2006.
The committee acknowledge their responsibility for complying with the requirements of the Act with respect to accounting records and the preparation of accounts.
These accounts have been prepared in accordance with the micro-entity provisions of the Companies Act 2006 and FRS 105, The Financial Reporting Standard applicable to the Micro-entities Regime.
