Matter Arising from Last Meeting

IW thought that the drawings from the last meeting were signed off, however the design of was not complete and FWP are the design partners for Carefoots, there is concern that they will go for cheaper products.

One being the canopy, there are now 2 drawings and IW will send out a copy to the trustees of the charity.

The other was that PH was to speak to PP about attendance and it was decided that IW

would send him a letter thanking him for all his help and invite him to the opening of a new club. Therefore, we will be looking for a new member to be on the charity committee.

Financial Report

HD gave everyone a copy of the bank’s dealings for the past 4 years. Balance was at £9372.04

Correspondence

Paul Snape has been in touch; he hasn’t visited site much recently as aware of the costs. However, the committee decided that he keeps visiting site as now is the most crucial part of the development, so, IW is going to ask him to visit, maybe an unannounced visit to surprise Carefoots.

Also, Homes England are asking IW instruct Harrison Drury to work on the covenant, IW asked them to clarify what the land trust were specifically asking for, Hannah Jones has been asked about this and we are still waiting to hear back from her.

Relationship Between the CIO Trust and the New Club

IW brought up the subject of insurance regarding the club, the club now pays for the insurance solely for the club, covering the building and contents etc.

AD also mentioned on the subject of insurance as going forward who would pay for the insurance on the football field?

AD mentioned maybe to get some legal advice as PR has mentioned that there will be some CIL money available for this.

IW has asked the bowling club for a copy of their constitution. MC agreed to send him a copy when they have finalized it.

MC is to speak to Community Futures for help with the charity for help on formalising relationships between the charity and the clubs.

HD is to speak to the Insurance Company around June time for a meeting to sort out insurance.

IW is to set up a shared document so all charity members are able to put on questions as to what help is needed.

Business Introduced by Trustees

MC brought in drawing of bowling kiosk that are not now being made from containers as originally thought. IW going to speak to PR about the changes to design. IW explained about the gabions around the bowling green to MC AND MH.
