FRIENDS OF GREENHILL GARDENS 2024-25 TRUSTEES ANNUAL REPORT
The Trustees have pleasure in presenting their Annual Report together with the Accounts of the Friends of Greenhill Gardens for the period from 1 June 2024 to 31 May 2025
The accounts have been prepared in accordance with the accounting policies set out in the notes to the accounts and comply with the charity's governing document and the Charities Act 2011.

STRUCTURE, GOVERNANCE AND MANAGEMENT
GOVERNING DOCUMENT
The governing document of the Friends of Greenhill Gardens (FOGG) is its Constitution adopted on 11 July 2022.
TRUSTEES ELECTION
The normal term of office for new Trustees is three years; Retiring members may be re-elected up to a maximum of 3 consecutive terms. All new trustees are elected by the trustees, with a minimum of three trustees and a maximum of eight.
BOARD OF TRUSTEES
The Trustees together form the Board of Trustees. The major business and decisions of FOGG are conducted at meetings of the Board of Trustees, normally held twice a year at which all trustees have a vote (chair only has a casting vote).

ACTIVITIES TEAM
The Board of Trustees have delegated the implementation of the strategy set by the Board of Trustees, and day to day activities, to the Activities Team which consists of trustees and volunteers.
RISK MANAGEMENT
The Trustees have assessed that there are currently no major risks to which the charity is exposed and are satisfied that systems are in place to mitigate exposure to new major risks.
OBJECTIVES AND ACTIVITIES
OBJECTS
“For the benefit of the public the provision, maintenance, improvement and promotion of facilities for recreation or other leisure time occupation in Greenhill Gardens as a public park and open space in Weymouth, Dorset in the interests of social welfare and with the object of improving their conditions of life.”

To work independently, but collaboratively, with Weymouth Town Council, the owners of Greenhill Gardens, to maximise all aspects of the quality of the gardens and benefit to the public.

To fund or support capital projects for the provision, improvement, or maintenance of physical assets that would not otherwise happen.

To promote the gardens in general, and also activities within the gardens, to increase usage of the gardens in the interests of social welfare.

To ensure that there are the financial and people resources to achieve the above aims.
PUBLIC BENEFIT
All activities are agreed and reviewed by the board of trustees to conform with the public benefit guidelines. This includes fundraising activities, new spending projects, and the use of publicity, advertising, and social media to promote the gardens,
GRANT MAKING POLICY
Grants may be made for maintenance and construction work where this results in more effective use of the charity’s resources.
REVIEW OF ACTIVITIES 1 JUNE 2024 TO 31 MAY 2025
FLORAL CLOCK PROJECT - GRAND OPENING
Believed to be the last remaining working floral clock in Britain that retains its original mechanical clockworks. From local donations, including a single donation covering the clockhouse, FOGG has completed the floral clock project including the new clockhouse, the complete restoration of the clockworks, and the cuckoo call bellows and pipes.

The floral clock has attracted many visitors, many of whom fondly remember the cuckoo from the time it was last working over 40 years ago, and who were delighted that the clockworks could now be seen.
The cuckoo call is made by these two restored organ pipes mounted inside the clockhouse.
The clockworks operate a pair of bellows that produce two short puffs of air that are led to the cuckoo pipes via the small tubes at the bottom

Problems with ground movement and high water table caused intermittent problems with the underground connection between the clockworks and the floral clock. This had to be dug up and re-laid early in 2025 together with a new automatic water pump in order to pump out the water that seeps into the bottom of the clockhouse
SUMMER OPEN-AIR LIVE MUSIC – FREE TO ALL
During the summer of 2024, FOGG continued to organise and run a series of 14 Sunday afternoon concerts in the Greenhill Gardens bandstand. The concerts are free for all those who wish to attend. Voluntary donations are collected for FOGG and other local charities.
An open-air concert of Christmas carols and songs was held in December 2024
FUTURE ACTIVITIES
The current bandstand was constructed in 2014 to test the idea of live music on summer Sunday afternoons. It has proved its popularity and hosts the best of Weymouth’s vibrant music scene to relaxed audiences who fill the benches and grass amongst the flowerbeds. Now showing its age, and needing a larger stage area, FOGG decided to start planning the replacement. After public consultations, initial ideas were presented to the Weymouth Town Council Environment and Services Committee who gave their approval to proceed.
FUNDRAISING
Fundraising income totalled £14,754 . Over 60% of this came from personal voluntary donations, and £1500 was received from Dorset Gardens Trust. The remainder was received from fundraising activities including quiz nights, summer fayre, and miscellaneous sales.
ACHIEVEMENTS AND PERFORMANCE
Greenhill Gardens is beautifully planted and maintained by Weymouth Town Council, managed by Paul Bird who joined WTC in the spring of 2025. Supported by FOGG, the quality of the gardens was recognised by the Green Flag award, which Greenhill has retained since 2009.
The Dorset Gardens Trust recognised the historic and cultural value of the gardens, awarding FOGG with a grant of £1500 for the floral clock project. They will also be including Greenhill Gardens in their upcoming Gazetteer of important Dorset gardens.
TRUSTEES
We are very pleased that Dr. Jonathan Orrell became a FOGG trustee this year. Jon has spent his life in Melcombe Regis, is a frequent performer in our bandstand, has extensive knowledge of running charities, and is a local Councillor. The saddest moment of the year was the death of Trevor Lindley who had been a trustee for 3 years. He was a great supporter of Greenhill Gardens and had a remarkable career including a number of years in the army and in politics as an early organiser of the Lib-Dem Party.

VOLUNTEERS
As required by the Statement of Recommended Practice, the value of services provided by volunteers is not included in the financial statements.
A core team of 7 volunteers support FOGG with the organisation and running of the fundraising events. The activity team can rely on a further 8 volunteers to assist.

SOCIAL MEDIA
Our website was rewritten and relaunched in 2024, giving more information and news. Over 100 subscribers have signed up to automatically receive notifications of new or changed events.
On Facebook, Greenhill Gardens Weymouth also posts events and news and has over 1000 followers.

Restricted funds
Restricted funds are funds that can only be used for a specific purpose within the objects of the charity.
The Floral Clock restricted fund relates to the rebuilding of the clock house including the underground parts between the clockhouse and the floral clock.
