Welcome to our Annual General Meeting. I am the Chair of Cycling Without Age Chester.
Firstly I’d like to thank our two other trustees Brendan Harrington and Andrew Foster for the invaluable work they have done over the previous year. We manage to share our responsibilities alongside other commitments and we should be proud of the work we continue to do in the community. Both the trustees commitment make a difference to the volunteers we engage with and the lives of the beneficiaries that we support.
This past year we have continued to build on relationships within the communities where the trishaws are stored. We have had particular success with delivering regular rides from Upton Dene Care Home, Grosvenor Villas Care Home, The Here and Now Club in Blacon and additionally in Blacon supporting Florence Grogan House and Lauren Court Residential Home. The feedback is always positive and regular rides are now part of the weekly/monthly schedule. Particular thanks to Andrew Foster and Paul Wrigglesworth who commit to this weekly schedule and provide rides as often as they can.
Our challenge continues to be finding individual beneficiaries who would enjoy the experience we offer. This is partly due to communication (as many of the elderly rely on their family/carers/ friends to arrange the ride) as well as logistics. We have had to make it a rule that private rides have to meet the trishaw and pilot in a designated place and this means that the elderly have to be transported, usually with a carer or family member to the designated meeting place and this can be difficult to organise. We had a handful of very successful private rides last year and this is what the Charity would like to deliver more of.
With this in mind I have been in contact with social prescribers Phillipa Dove, Charlotte Blythen and Fern Quilliam about how we may be able to support their residents in the community. I have also been in contact with James Ibell from Bouncing Back regarding regular rides from their dementia cafe meet ups. Nate Foulkes volunteers at the Western Avenue Medical Practise and he is trying to arrange an initial session for us to introduce the trishaws. Whilst the initial conversation regarding working relationships is well received what we are finding is that it is extremely difficult to make these rides happen, it is probably a combination of lack of resources and time as well as the Charity not having enough volunteers to provide a flexible service.
I am continuing to be optimistic that we will become more engaged within the communities but it is apparent that being visible on the trishaw and attending events is one of the best ways to promote our service.
Brendan will summarise the volunteer numbers and we are eternally grateful to our volunteers who regularly donate their time. It can be isolating volunteering for this type of Charity and I think the experience can be underwhelming for some which is a shame and something that we need to work on to improve. We need to make our volunteer experience more social and inclusive and I have had some thoughts on how we can achieve this.
Two additional administration volunteers have joined us this year and we are extremely grateful to Jon Dayton and to Sarah Carden. Jon has been very effective in pursuing grants and we are in a far more stable financial position because of his efforts. Sarah has been crucial in working alongside me to develop how we use Better Impact and she also uploads all our opportunities onto the calendar and liaises with volunteers to help them get set up with the system, once again we couldn’t manage without her help.
I must also thank Rachel Humphries who does such a lovely job of creating social media posts. This is our only form of marketing and she continues to build up our following.
For the following year we have plans we hope will strengthen our Charity and it’s work:
Better Impact
The software system works well for us but we still waste some time with elements which BI didn’t address so during these past few months we have been making changes to the system to make it more user friendly and inclusive for both volunteer pilots and buddies. Everyone who feels they would like to become a pilot is going to be encouraged to be a ‘buddy’ for a few rides so they can experience what we do and have an understanding of what a ride may entail. Once they have done that we can direct them to Brendan for their training and we hope this will be less overwhelming for new volunteers and relieve them of any stress to become a pilot before they feel ready which in turn won’t waste Brendan’s time. We have adapted the BI system so that buddies and pilots can see all opportunities and buddies are able to sign up where there is already a pilot in place.
We have also simplified the sign up process and application form so new volunteers are enveloped within Better Impact meaning a more seamless sign up and less chance for miscommunication.
“Buddies’ need to be encouraged, they not only provide reassurance and companionship to the pilots but they also don’t require any training. We have discussed in previous meetings making buddies compulsory on every ride and whilst I don’t think that is
necessary I do believe they have a vital role in retaining our existing volunteers as they will improve the experience by providing companionship and support.
Open ride sessions
To improve our visibility and promote what we do I would like to suggest combining our socials with taking the trishaws out. It’s always a welcome sight to see the 3 trishaws being used and it would give us the opportunity to ride together and for those that couldn’t ride we could just meet them at a designated coffee shop to have a catch up. If we could manage to do this 2 or 3 times during the summer season I think it would greatly benefit the exposure of the Charity as well as making it more inclusive for the volunteers and an opportunity for them to get to know one another.
The rides could still be promoted via Facebook on those days so we could offer introductory and/or supervised rides to those who may want them.
Promoting CWAC
Last year we attended as many events as we could including summer fetes, Beating the Bounds, Chester Critical Mass rides and more regular groups such as The Here and Now Club. These are a fantastic way to promote us and for our volunteers to get together and we should make every effort to continue to attend these this year.
Finally we must remember and acknowledge everything that is good about CWAC. It is a wonderful and fulfilling experience to ride in the trishaw and connect with your community and nature and the benefits of it are clear for everyone to see so we must continue to expand our reach, increase and engage with our volunteers and help bring positive change to all those involved.
