## **TRUSTEES' REPORT** 

## **PERIOD FROM 23 MAY 2022 TO 31 JULY 2023** 

## **OBJECTIVES AND ACTIVITIES** 

Our principal objective is to support dachshund and dachshund cross breeds and their owners whilst their dogs are suffering pain from IVDD, recovering, disabled or elderly. As well as providing equipment to aid their recovery/enrich their lives in their senior years, we also guide and support owners to make informed decisions with regards to emergency referral and treatment which may be needed.  We are also committed to educating the public in matters pertaining to animal welfare and responsible ownership in general. 

The Trustees confirm that the activities of the charity are undertaken to achieve the charity’s aims with regard to the public benefit guidance issued by The Charity Commission. 

## **ACHIEVEMENTS AND PERFORMANCE** 

2023 was extremely challenging for us in terms of the volume of owners approaching us for guidance and support.  In January 2023 to help with this, Sharon O’Neill joined the team as secretary to assist with the organisation of the meeting, minutes, newsletters, auction, and fundraising. 

**Office Procedures** – We have set up new working office procedures to streamline processes, the charity is run more efficiently on a day-to-day basis and has helped with the collation of data. There is an office guidance manual which is updated regularly with amendments where we have found better and easier ways of working.  New spreadsheets have been set up and shared, this enables some of us to work on them at the same time, the spreadsheets have helped us move away from most paper working processes and has enabled the team to access data and update much more easily when required. 

**Newsletters** - In January 2023, we wrote our first Newsletter which has been sent out across many Dachshund Facebook groups as well as our own official page. During the current year we have covered topics, Meet the Team, Signs & Symptoms of IVDD, Insurance and Neutering. 

**D2D Mission** – We have produced an information poster to email out to all vet practices in the UK. The aim is for all vet practices to display our poster, to take note and be informed of up-to-date signs and symptoms of IVDD and the risks of neutering our Dachshunds too early. We have promoted our poster across social media channels, and we are grateful to everyone who has helped us by contacting their vets to display this for us. During 2023/24 we will continue our campaign to distribute our information to as many practices as possible. 

**New Bank Account** – D2D opened a new Lloyds bank account in July 2023, this was to enable us to have an IBAN number which Cashplus couldn’t provide us with, the new account will enable D2D receive incoming donations from abroad as well as set up a donation button on our Facebook page to use with PayPal. 

**InnoPet Strollers** – D2D has secured an account with purchasing strollers direct from the InnoPet suppliers.  We can purchase these at cost price giving us a good discount on what we used to pay from other sources.  The strollers are sent out direct from InnoPet to the owner saving us time getting them out in an appropriate time.

**Postal Services** – We had been using a third-party Parcel Monkey for equipment being sent out and returned to us, the reason was that booking in with Parcel Force via them was a cheaper option than booking directly with Parcel Force.  Unfortunately, the service was unreliable and many times the collections weren’t being picked up, making extra work for us rebooking and for the owner having to wait in for a second day.  We put a complaint in with Parcel Force who have set up a business account direct with them for booking in, this is now a much cheaper option and a more reliable service, this has also made it easier for admin as we are now billed monthly for services and enabled us to get some help booking in with other team members. 

**Sympathy Cards** – We looked into producing our own sympathy cards to send with a packet of forgetme-knot seeds, these would be sent to owners who have lost their much-loved family dachshund, we need to get this right for our charity and is still under review, currently we are sending shop bought cards, but we do have our own designed seed packets to send. 

**Team Tactics** – D2D has been contacted by a company called Team Tactics who organise Team Building event days for corporate companies, one of their charity events is called Wheels -for -Walkies in which D2D has been chosen as one of their charities to receive the wheels at the end of the day’s session. We have now been invited to 2 team building days and were kindly gifted equipment from the days. 


## **Fundraising** 

**Sausage Dog Walks** - Our team of volunteers organise Sausage Dog Walks through our Sausage Dog Walks South Wales Facebook Group. The walks are held across South & West Wales which include, Aberavon, Abergavenny, Barry, Cardiff, Carmarthen, Cwmbran, Monmouth, Newport, Porthcawl and Swansea Bay. These events are well attended by owners and dogs who very much enjoy the walk and socialisation, all walks are fundraisers for the charity. 

**Auction** - On the 1st of each month, the team launch a new online auction through our FB Dedicated to Dachshunds Auction Group, all items listed have been kindly donated to us to raise funds for the charity and is very popular, we are thankful for all donations and those who bid and are lucky to win. This year with a new spreadsheets and procedure in place, our process is now easier to let the winners know how much is owed in total, this has made it easier to log the payments as they come in.

**Aberavon Event** - In February 2023, the team started work on our "All Dachshunds Great & Small" fundraising event which took place at the Aberavon Beach Hotel on 22nd October 2023. We started with emailing companies, asking for prize donations from companies for our raffle, we had a very good response, and were so grateful for the generosity of the prizes donated.  We launched our online raffle in April across social media channels, the number of sales in the first few days exceeded our expectations, we continued to sell online, in person and at our event where the raffle was drawn. We secured some indoor market stalls selling a variety of products and were delighted that Dachshund Health were able to attend to give owners advice and information on IVDD.  As well as the indoor market we held a Dachshund show, had a choir and held a mass walk on the beach with races.  The event was well attended and enjoyed by all. 

As well as the above Fundraisers, we are so grateful for donations and fundraisers organised by the dachshund community and groups across social media. 

## **FINANCIAL REVIEW** 

Total income for 2023 was £109,532 and total expenditure was £88,675. This left a total period end cash balance of £20,857. All funds are unrestricted. 

## **Reserves Policy** 

The reserves balance was £20,857 as of 31 July 2023. The Trustees consider this to be sufficient to meet current commitments. 

## **STRUCTURE, GOVERNANCE AND MANAGEMENT** 

Dedicated to Dachshunds with IVDD is a Charitable Incorporated Organisation and is governed by its constitution dated 23rd May 2022. 

New trustees are appointed by a resolution passed at a meeting of the existing trustees. In selecting individuals for appointment, the trustees have regard to the skills, knowledge and experience needed for the effective administration of the CIO. The trustees make available to each new trustee, on or before his or her first appointment: 

- A copy of the current version of the constitution; and 

- A copy of the CIO’s latest Trustees’ Annual report and statement of accounts

I report to the charity trustees on my examination of the accounts of the charity for the period ended 31 July 2023 which are set out on pages 6 to 7. 

## **Responsibilities and basis of report** 

As the charity’s trustees you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 ('the Act'). 

I report in respect of my examination of the charity's accounts carried out under section 145 of the Act and in carrying out my examination I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act. 

## **Independent examiner's statement** 

I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination giving me cause to believe that in any material respect: 

1. accounting records were not kept in respect of the charity accordance with section 130 of the Act; or 2. the accounts do not accord with these records. 

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable proper understanding of the accounts to be reached.
