ECA AGM

Welcome and Thanks:

Thank you to Kirsty and Darren who have stepped down.
-
I was interim Chair and have been voted / agreed to hold the position permanently. Welcome to Marianna who has joined the trustees as Deputy Chair and will be helping to drive the fundraising and grant application process.
-
Introduce Jane, Treasurer, Helen, Secretary, and Kim, Safeguarding Lead.
-
Our board are all volunteers, who conduct our role on a purely voluntary basis.
Achievements:
-
Best ever year for fundraising – almost double the amount raised in the 23/24 year
-
Facilitating a wide variety of fundraisers so hopefully throughout the year there will be things that everyone wants to / can be involved in.

Improving the structure and organisation of the charity and putting more procedures in place due to the increase in size of the number of students and amount of funds that we want to raise
-
Providing more updates and more clarity on where the funds are being spent
-
Distinguishing between the ECA fundraising and the DWC fundraising – whilst we facilitate the DWC fundraising with the use of our account and treasurer and team of trustees to help with various required tasks, we are separate to the DWC and it is only a part of what we support in our mission.
Future Plans:

Broaden our reach in community involvement

Broaden the number of parents and community actively involved in the charity

Treasurers Report – 12 months ending 31 Aug 2024
Introduction
This is the ECA’s second full year as a charity.
The Object (i.e., purpose) of the charity is to:
appreciation of the arts, specifically of dance, in such ways as the charity thinks fit, including, but not limited to:

Awarding bursaries to local children to attend dance classes
-
Enabling or assisting children and young people to participate in regional, national and international dance competitions
The trustees believe we have successfully achieved our Objects in this year.
Income and Expenditure Account
Our income for the year was an incredible £27,990 (2023 - £14,814) and our expenditure was £20,235 (2023 - £13,698), resulting in a surplus of £7,775 (2023 – surplus of £1,115). Our bank account is at £13,582 (2022 - £4,722) at the year end, with £2,805 owed to parents/carers as contributions for the Team England jackets and the qualifier fees.
In terms of the DWC income, we raised £470 per young dancer and our costs were £423 per young dancer.
The funds raised for the Dance World Cup have funded the audition fees (excl. solos), totaling £1,575, team kit and flags costing £741 (sponsorship badging) and costuming, totaling £11,758 (2023 £8,213), for 41 children and young adults (aged 7 to 21). This equates to an average of £423 (2023 - £385) spent on each child/young person entering the competition.

Our most successful form of fund-raising is the corporate sponsorship; this has raised £7,500 (2023-£9,050), (26.8% of our entire income). Other successes have been our Ball, which raised £1,699 (2023 - £1,493). Not only did this raise a great amount for the charity, everyone who attended had a lovely evening.
Our seasonal events, organized by the trustees and fund-raisers, have also been a great success, not only in terms of raising funds, but also raising awareness of dance, through bringing members of the general public to the dance school.
The most simple and e�ective fundraiser was the GoFundMe, which was online fundraising, asking for donations. This raised £1,777, with very little e�ort, other than setting up the fundraising page, sharing it and asking parents to share it.
The Cycle to Prague was also a great success, getting children and parents/carers involved, raising £1,302.
We have supported ElliTe Studios by purchasing a new sound system, which has been used successfully at dance competitions and in the studios themselves.
Many parents/carers/teachers/grandparents have kindly got involved through various means, including donations, cake sales, co�ee mornings, sponsored activities, scratch cards, smoothies, jewelry sales, sweet bags sales, reindeer food, bonus ball, bringing in books or bags of old clothes, helping at events and various other activities. Many thanks to everyone who has got involved in whatever capacity, big or small.
Many thanks to the dance teachers who gave up their free time to run boot-camp classes, these were very popular and the children loved them!
Many thanks to Ruth, Helen, Kim, Karina (who kindly stepped in to assist with the planning of the ball) and Kirsty for their contributions throughout the year. Many thanks also to Darren and Kirsty for their contributions as Trustees over the years.
Bursary
We are pleased to say that we have supported 4 individuals attending the ElliTe Studios College who asked for assistance with their funding. This bursary will be reviewed on a school term basis to assess the impact on the child and whether the situation of the parents/carers has changed. The charity has committed to continue with this support over the next 12 months
No-one has come forward with regards to the support scheme to assist parents whose circumstances have changed and are looking for assistance in buying dancewear. However, this may be as it has not been publicised e�ectively. We will look to publicise this across the dance school.
Grants
We have applied for a number of grants, however unfortunately as our scope is not inclusive for anyone to get involved, we have been unsuccessful in our funding applications. We will look to consider how we can remedy this.
Going forward
We start the year in a strong position, with reserves of £10,777. We continually consider how we can improve the dance education of the young people in Wakefield. If anyone has any ideas, please do feel free to get involved with the charity.
