The Committee are recommending no change to the current subscription rates.

All of the above except Maureen Hurst are willing to stand again. The Constitution allows for up to 12 Trustees which means there are vacancies for up to five additional Trustees. Anyone wishing to join the Committee should send their nomination to the Secretary at secretary@eastleake-history.org.uk or telephone 01509 853246 prior to the meeting.

## **Minutes of Annual General Meeting** 

## **Held in St. Mary’s Church on Wednesday 17 May 2023 at 7.30 pm** 

**1. Present:** Chairman Mike Saunders, seven committee members, and 26 members, plus other guests. 

**2. Apologies for absence:** Maureen Hurst; Gilly Murray. 

**3. Minutes of previous meeting:** this being the first meeting under the new charitable status of the Society, there were no minutes to approve. 

**4. Trustees’ reports:** Chairman’s report and Speaker programme report accepted without questions. The Chairman thanked all committee members for their hard work, especially Maureen Hurst and Val Franklin. 

**5. Adoption of accounts for the financial year ending March 31 2023:** proposed by Jen Pearce; seconded by Val Franklin. 

**6. Approval of membership fees for 2023 – 2024** : to be raised to £18 single and £30 joint – proposed by Jen Humpherson; seconded by Peter Lee. 

**7. Election of officers** : all current officers indicated their willingness to stand again, except for Val Franklin. Proposed by Jane Jones; seconded by Vicki Forde. The Chairman thanked Val Franklin for all her work for the Society and her many valuable contributions to committee discussions. He also pointed out that there are vacancies on the committee and invited members to join. 

**8. AOB:** one member asked about the vacancy for a Vice-Chair. Chairman replied that noone has volunteered and should the need arise at a meeting, any member of the committee can take that role.

## **TRUSTEES’ REPORT TO MEMBERSHIP FOR SEASON 2023/24** 

## **Chairman’s Review** 

1. Monthly winter meetings of the Society have been well attended, with membership standing at 77 which makes the present format economically viable. 

2. Alan Hall’s latest book compilation, East Leake Past and Present, was published in the early winter, just in time for Christmas and very quickly sold out, as did the reprint. A third print run was ordered and while sales of this are slower, these will hopefully sell during the summer round of shows. The printers, Adlards are using this book as a display example of their work. 

3. Alan has compiled another book in the East Leake Past and Present series and the committee has agreed that it be published in the autumn. 

4. Unfortunately, a number of persons have stood down from the committee for personal reasons. We thank Maureen Hurst for her 40 years of service to the Society. She still acts as our fount of local knowledge. However this means that the Society can no longer offer services such as family history research, although we try to help if the query is simple. 

5. The committee were very pleased that Jacki Allen took on the task of booking speakers, although she does not wish to join the committee and John Birch has proved invaluable with logistics. We very much welcome this assistance from members. 

6. On the first Sunday in February the chairman and the secretary took a party of approximately 25 members of the Nottinghamshire Ramblers Association for a guided tour around the older parts of East Leake. This was much appreciated by the Ramblers, but the chairman found the noise and frequency of motor vehicles made it difficult to communicate, particularly near The Green and along Main Street. 

## **Speaker Programme** 

The changes implemented last season have proved successful and membership has continued to grow along with visitors whose donations have boosted the coffers. 

1. **Venue** : on most occasions the church has been quite full, justifying the cost of hiring the building.  Another member of the society has been trained to operate the tech. desk which allows the audience to view the visuals that accompany the talk.

2. **Advertising** : Michael Webb-Ingall reports on the talks to the Local News and the Loughborough Echo as well as displaying posters in six locations in the village. The parish council circulates details via the internet. 

3. **Costs** : We make every effort to balance costs and income. The introduction of two inhouse speakers per season helps to keep costs down. Most speakers have had to raise their charges to meet their own increasing expenditure. 

4. **Talks** : The archaeological talks prove very popular and the in-house events have been very well received. We attempt to provide a variety of subjects to broaden the appeal. 

5. **Programme Secretary** : I have had to step down from the role owing to other commitments. Jacki Allen has taken on the role of Programme Secretary and she has already completed the programme for 2024 – 2025. She is currently seeking to organise a summer outing.

Apr 17. Inn signs and local history. Robert Mee. 

May 15. History beneath our feet. Stephen Flinders.

## **Publications** 

The majority of books sold this year have been Alan Hall’s publications East Leake 1830 - 1930 and his new book East Leake Past and Present which have been sold through the Library, Something Special and the Parish Office. 

The Basketmaking book and Farming Families have also been sold through Lowdham Bookshop. 

Outside venues were Sutton Bonington and West Leake.

## **Treasurer/Membership Secretary’s   Statement  for year ending 31[st] March 2024** 

- Surplus for the financial year:  £111.01 

- Bank/Cash balances at the end of the financial year were £6,143.41 

- The Committee are recommending no change to membership subscriptions for the 2024/25 season. 

- I would to thank Ian Lewis of Lewis Accounting Ltd for auditing the Society’s accounts. 

- At March 31[st] 2024 the Society had 77 members (47 single, 14 joint, 2 life).
