## **Notification of Annual General Meeting to be held at St. Marys’ Church on Wednesday 17[th] May 2023 at 7.30pm**

Incorporarted Organisation status there are no minutes to approve.

5. Adoption of accounts for financial year ending March 31[st] 2023 

6. Approval of membership fees for subscription year September 1[st] 2023 to August 31[st] 2024. 

Following increased cost of speaker fees/travelling expenses and meeting venue hire the Committee are recommending the Single subscription rate should be increased from £15 to £18 and the Joint subscription rate increased from £25 to £30. 

8. Election of Officers, Committee and Independent Accounts Examiner.  Present holders:

All of the above except Val Franklin are willing to stand again. The Constitution allows for up to 12 Trustees which means there are vacancies for five additional Trustees. Anyone wishing to join the Committee should send their nomination to the Secretary at secretary@eastleake-history.org.uk by Sunday May 14[th]

**TRUSTEE’S REPORT TO MEMBERSHIP FOR SEASON 2022/23** 

## **CHAIRMAN’S REPORT** 

This year has been a very mixed one for the Society. 

1. The Society had a presence at three local shows last summer, these being East Leake Carnival, West Leake Village Show and Sutton Bonington Show. Much interest was shown in the displays and a number of the Society’s publications were sold.   There were however problems in manning the stall at the larger events and additional help from members would be very welcome. 

2. Last July, the chairman took members of the Sutton on Trent Local History Society, for a walking tour of the historic sites in West Leake. 

3. In September, James Wright, the Buildings Archaeologist from Nottingham visited East and West Leake churches, to give his opinion on the dates of the oldest remaining parts of the structures, later alterations and the early monumental effigies at West Leake. 

4. The new season of talks last Autumn saw a change of venue to St. Mary’s Church, which, although more expensive to hire had the benefit of under-floor heating, a dedicated audio/visual system, allowing talks to be recorded and far more comfortable seating, which did not have to be stacked away following meetings. 

5. This year’s talks have been very interesting and varied. The two talks on archaeology were particularly well attended. The Rutland Roman Villa Mosaic had featured on the BBC television series,” Digging for Britain”, while the other talk, on the finds at Rempstone Quarry, was of considerable local interest. The latter was very well attended, with one hundred and ten people, both members and visitors, present. This demonstrated that the change of venue had been a very good idea. 

6. Sadly, in late December one of the founder members of the Society, Keith Hodgkinson, died. Keith was chairman of the Society for a number of years. He knew a great deal about the history of the village and was the “go to” person for information. He had written or co-authored a number of books about the village and was regarded as” Mr History”. He will be greatly missed, not least by the Chairman. 

7. Re-appraisals of the Conservation Areas in both West and East Leake have commenced and the Society has been assisting with these. The Chairman has taken part in both consultations and for the East Leake review has been supported by Louise Lee and Alan Hall.  As part of the re-appraisal, the Chairman re-wrote the history of West Leake, while the East Leake working party have suggested that the houses from the railway Bridge 0n West Leake Road to the boundary of the village be included, as was suggested by Keith and Alan at the previous review.  There are suggestions that a small number of buildings in East Leake be designated as Community Assets. 



8. Unfortunately, Val Franklin has to stand down from the Committee, due to ill health. She has been a great asset to the committee and her concise and precise thoughts will be greatly missed.

## **PROGRAMME SECRETARY’S REPORT** 

A number of changes to the presentation of talks were put into place this year: 

## 1. **Venue** : 

- The talks now take place in St. Mary’s Church which allows for a potentially larger audience. 

- Comfortable chairs are already in place and can easily be reconfigured if the need arises. 

- The audio/visual technology is superb which gives us the potential to record and livestream talks if required. The drop-down screen is so much more convenient. Two members of the committee have been trained to use the machinery. 

- The use of the pulpit allows the audience to see the speaker clearly. 

- The flexibility of the lighting in the church facilitates the highlighting of exhibits, screen, speaker etc. 

- Refreshments are easily organised and delivered via the hatch in the kitchen at the back of church where coffee tables and comfortable seating afford social interaction between visitors. 

## 2. **Advertising** : 

- Michael Webb-Ingall has increased advertising opportunities. Nine posters are now displayed in various parts of the village. The talks are advertised in the church notices, and the “Leake News” as well as the “Compass” magazine, thanks to Val and Mary. 

- Also, talks are advertised on the East Leake and Costock Facebook page, curtesy of the Parish Council. 

## 3. **Members and visitors** : 

- The number of visitors has increased enormously along with an increase in donations. This prompted Val and David to introduce a welcome sheet for visitors outlining the procedure of becoming a member, suggested donations, forthcoming talks etc. 

- We are pleased to report that the number of new members has increased substantially. 



## 4. **Costs** : 

- Understandably, speakers’ costs are rising, particularly for those speakers who travel some distance. If we attempt to stick to our usual budget, we are very restricted in choosing speakers. 

- We are exploring the possibilities of two in-house speakers per season to bring down costs. 

## 5. **Talks** : 

- Sadly, Keith Hodgkinson, a founder member of the society, passed away on 30[th] December 2022. To honour his memory, we have introduced “The Annual Keith Hodgkinson Memorial Talk” as the October talk. This will be an in-house speaker as Keith was passionate about nurturing the talents of people in the local community. 

- Next season’s talks will reprise the society’s “show and tell” event. (This will act as one of our in-house events.) People will be invited to bring along items of archaeological/historical interest for display and discussion. 

- Following the enormous success of Richard Parker’s talk on the archaeological discoveries at the Cemex quarry between East Leake and Rempstone, we are attempting to have an annual local archaeology talk/event in February. 

## 6. **Programme secretary** : 

- Val Franklin passed on the role of programme secretary to Pam Webb-Ingall in 2022. Val is a much-valued member of the society. Her clear-sightedness and intuitiveness have proved invaluable over the years. She has decided that, owing to ill-health, it is also time for her to step down from the committee. She will be greatly missed. 

- On a personal note, as I produce this report for members, I am extremely grateful to Val for her instruction and support.

## **PUBLICATIONS REPORT** 

The bookstall was represented at the East Leake Carnival, West Leake Fayre and Sutton Bonington Show. 

Over the year a total of 68 books have been sold through these events and also through postal sales and sales though the Library and‘ Something Special’  the card shop in the village . 

The Top sellers were ‘A Place of Greater Safety ( _The Evacuees book)_ , 200 years of Basketmaking and Alan Halls book no.3 East Leake 1830-1930  ‘Family Life and Schools’. 

Our thanks to the staff of the library  and the card shop for their interest in selling our Local history publications. 

Thanks also to those committee members and society members who helped man the stall at the above events as their help is essential.

## **Treasurer’s Statement  for year ending 31[st] March 2023** 

- Attached are audited accounts for the financial year ending 31[st] March 2023 

- Deficit for the year was £468.19.  This was largely due to the purchase of a replacement laptop and associated software. 

- Cash balances at the end of year were £6032.40 

- Following the recent increase in speaker fees/travelling expenses and hire of our meeting venue the Committee is recommending that the membership fees for the 2023/24 season be increased from £15 to £18 for single membership and from £25 to £30 for joint membership. 

- I would to thank Ian Lewis of Lewis Accounting Ltd for auditing the Society’s accounts. 

- At March 31[st] the Society had 70 paid-up members
