Beartown Rickshaw – Annual Report 2025

We have had a very successful and eventful year with over 350 trips which means we have carried over 700 passengers. We continue to visit seven care homes and two day care centres in the town on a regular basis which does put quite a burden on our fantastic volunteers given that we prefer to have two volunteers for each trip and we are scheduled to do at least fifteen trips per week. We have recruited more volunteers this year taking us to around twenty-eight, which is very encouraging.

Beartown Rickshaw is run entirely by volunteers, but we do have many expenses to keep the rickshaw in good order. Insurance is our single largest regular cost then maintenance and DBS checks for our volunteers. These costs are entirely funded by our fabulous donors and a few grants which for this year we are incredibly grateful to Astonbury at Glebe Farm and Tesco’s Community Fund for their generosity.

Our rickshaw is now four years old, and we have taken the decision to replace it. We borrowed an alternative style of rickshaw from Chorlton Bike deliveries and invited our volunteers to try out the possible alternative. The majority of volunteers preferred to stick with the rickshaw style we already have and subsequently the trustees approved the purchase of a new rickshaw.

Pride and Green Fayre are two of the community events we attended this year. In September we had a visit from BBC Stoke who did a piece showing us in action with Clayton Manor Care home. It was a great opportunity to get some volunteers involved and for the community to get an insight into what we do.

Also in September two trustees made their way to Weymouth to attend the England and Wales national rickshaw conference along with about 45 other volunteers and 15 rickshaws. The procession along Weymouth promenade was quite a sight.

In October, Ant Bolding and Andy Hamilton gave a presentation to Congleton Rotary at Astbury Golf club about how the Beartown Rickshaw started, what goes on behind the scenes and some of the absolute highlights of volunteering.

The trustees are satisfied that the company is entitled to exemption from the requirement to obtain an audit under section 477 of the Companies Act 2006.

The members have not required the company to obtain an audit in accordance with section 476 of the Act.

The trustees acknowledge their responsibilities for complying with the requirements of the Companies Act 2006 with respect to accounting records and the preparation of accounts.

The accounts have been prepared and delivered in accordance with the special provisions applicable to companies subject to the small companies regime. The profit and loss account has not been delivered to the Registrar of Companies.

1 Accounting policies

Basis of preparation

The accounts have been prepared under the historical cost convention and in accordance with FRS 102, The Financial Reporting Standard applicable in the UK and Republic of Ireland (as applied to small entities by section 1A of the standard).

Turnover

Turnover is measured at the fair value of the consideration received or receivable, net of discounts and value added taxes. Turnover includes revenue earned from the sale of goods and from the rendering of services. Turnover from the sale of goods is recognised when the significant risks and rewards of ownership of the goods have transferred to the buyer. Turnover from the rendering of services is recognised by reference to the stage of completion of the contract. The stage of completion of a contract is measured by comparing the costs incurred for work performed to date to the total estimated contract costs.

Tangible fixed assets

Tangible fixed assets are measured at cost less accumulative depreciation and any accumulative impairment losses. Depreciation is provided on all tangible fixed assets, other than freehold land, at rates calculated to write off the cost, less estimated residual value, of each asset evenly over its expected useful life, as follows:

Debtors

Short term debtors are measured at transaction price (which is usually the invoice price), less any impairment losses for bad and doubtful debts. Loans and other financial assets are initially recognised at transaction price including any transaction costs and subsequently measured at amortised cost determined using the effective interest method, less any impairment losses for bad and doubtful debts.
