## **Structure, Governance and Management** 

The charity is managed by a group of trustees.  The names of the trustees are set out above. The governing document of the charity is its Constitution adopted at a meeting held in January 2022. Amongst other things, the Constitution provides for the appointment and election of trustee members. 

## **Objectives and Activities** 

## **Summary of the purposes of the charity** 

To promote for the benefit of the inhabitants of Lambourn and the surrounding area the provision of facilities for recreation or other leisure time occupation of individuals who have need of such facilities by reason of their youth, age, infirmity or disablement, financial hardship or social and economic circumstances or for the public at large in the interests of social welfare and with the object of improving the condition of life of the said inhabitants. 



## **Summary of activities** 

In our first year of activity, we have been focused on forging relationships with the local community and looking at methods to raise funds for the charity.  Another key milestone has been to secure access to a disused local building to run the charity’s activities from and agree with the buildings current trustees a process for gifting it as an asset to the charity. The CIO trustees have had several meetings to discuss and agree on a roadmap for a renovation project, busily engaging with local planners, builders and architects on how the building could be used and restored to become an asset for the community. Significant effort has been put into clearing and making the building watertight so inspections can be carried out. 

## **How our activities have delivered public benefit** 

During this initial year our charitable activities have been focused on acquiring and maintaining the disused social club with a view to making the centre suitable for public access and achieving one of our charitable aims ‘providing facilities for recreation’. The trustees consider the guidance issued by the charity commission and discuss how the charity can plan to provide public benefit with the available resources at regular meetings throughout the year. 

## **Contribution made by Trustees and volunteers** 

The local community have been very supportive of the charity and its project to renovate the social club with several pledges of time and labour to help with the works. We would like to thank all the volunteers who have helped secure and clear the centre. In particular we would like to mention the tree surgeon DD&S services, who gifted their time and equipment in clearing the grounds of shrubs and trees and the trustees families who gave up their valuable time to under-taken the majority of the clearance jobs, making safe and tidying the internal spaces. 

As the current buildings trustees were not able to maintain the building and lacked the means to pay for the mains services, the trustees of the charity have provided financial support to ensure the electrical and water supplies remain connected and serviceable. 

## **Plans for 2023** 

We aim to secure stewardship of the Lambourn social club and begin raising funds to renovate the building.  We will also build momentum and support for the charities aims from donors and volunteers. 



## **Financial Review** 

Against the backdrop of limited resources and funding, it has continued to be difficult to develop and plan our services in 2022. Nevertheless, the charity through the aid of loans from trustees’ and the tireless support of volunteers now have access to a building to undertake the charities objectives. 

The Statement of Financial Activities shows an available balance of £11 for the 2021/22 financial year, with £1150 of unsecured interest free loans provided by trustees. 

## **Reserves policy** 

The Trustees have agreed to maintain reserves within the general fund at such a level as would enable it, in the event of a sudden loss of income, to cover ongoing direct expenses of running the charity for a period of about 3 months. 

## **Risk management** 

All the trustees work closely in planning our actions to reduce costs and to offset the impact of any income shortfall. Whilst we will have not received any donations in 2022 and have been required to take loans from trustees, we are confident that we are well placed; the gifting of the social centre is being processed and feedback from potential donors regarding funding and the future of the centre has been positive.

1. Unsecured interest free Loans have made to the charity to cover running costs of the centre and the external contractor costs for site clearance. These loans will be repaid if/when the trustees agree the charity has the funds to reimburse them

3. Electricity supply, a contract for supplying electricity to the centre has been prepaid to ensure standing charges are covered for the year. 

## **Trustees' responsibilities for the financial statements** 

The trustees are responsible for preparing the Trustees’ Annual Report and the financial statements in accordance with applicable law and regulations. The Charities Act 2011 requires the trustees to prepare financial statements for each financial year. The trustees have to prepare the financial statements in accordance with United Kingdom Generally Accepted Accounting Practice (United Kingdom Accounting Standards and applicable law). The trustees must not approve the financial statements unless they are satisfied that they give a true and fair view of the situation of the charity and of the incoming resources and application of resources, including the income and expenditure, of the charity for that period. In preparing these financial statements, the trustees are required to: 

- select suitable accounting policies and then apply them consistently. 

- observe the methods and principles in the Charities SORP. 

- make judgments and accounting estimates that are reasonable and prudent. 

- prepare the financial statements on the going concern basis unless it is inappropriate to presume that the charity will continue in business 

The trustees are responsible for keeping adequate accounting records that are sufficient to show and explain the charity’s transactions and disclose with reasonable accuracy at any time the financial position of the charity and enable them to ensure that the financial statements comply with the Charities Act 2011, the Charity (Accounts and Reports) Regulations and the provisions of the trust deed. They are also responsible for safeguarding the assets of the charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.
