1 Welcome Anne Graham, Chairman, welcomed all present with a special welcome to new RDA members.

Before the meeting started Pam Westgarth was presented with a lovely bouquet to mark a big birthday, with a thank you from the Chairman for all her past help with RDA.

4 Matters Arising : some points covered later in the meeting.

Elaine Wood spoke about the DBS and volunteers. She was now dealing with a new on line company and was pleased with the way they worked. £12 per voluntary helper was charged to join the RDA and after 6 months those who stayed could have their money returned. There was a discussion at this point and a vote taken about new people paying £12 to join the RDA – would this initially put people off? Majority voted that they thought the fee wouldn’t put interested people off helping the RDA.
Hilary Hindmarch spoke about having a problem with her DBS form. As her date for re-registering was a while away, Elaine offered to help Hilary with it.

Anne Graham reported that Pippa had a new hip and was progressing. Flowers had been sent from the RDA.

Anne thanked Elaine for being our form filler. Volunteers could register to have their DBS automatically updated each year if their circumstances didn’t change.
5 The Coaching Pathway .
Elaine Wood is Lead Coach, she informs us. Two RDA contacts in Yorkshire are endeavouring to make The Coaching Pathway work on line, but Elaine is finding it very difficult to view/print the necessary forms.
The RDA website does give information on The Coaching Pathway, there is a form to fill in, with a coaching training day to follow.
- Currently at our RDA there is Elaine Wood, Mick Swinden, Anne Graham and Ian Roughton who is doing his training at the current time. Sarah Harston is going to help with instruction.
Hilary Hindmarch is better qualified than the rest of the group to instruct, but doesn’t now feel that she can do things as they should be done at RDA.
Anne Graham is looking for younger members to train as Instructors.
Elaine Wood suggested we form a Mounting Group, who do the mounting every week. After some discussion it was decided that this wouldn’t work at our Group.
Anne Graham reported that people are turning up more regularly to our sessions.
6 Election of Office Bearers

Claire Hodgson will continue to be Secretary, Anne Graham will be Chair. Jo Todd wishes to pass on the Treasurer’s post having done this for the past 9 years. The offer was put out to those present. If someone will do the Treasurer’s job, do speak with Jo who will help with the transition. Elaine Wood will continue as Safeguarding Officer and Jayne Lawson will continue with the Rota.

7 Financial Statement This was presented as hard copy at the meeting. A change to another Bank has not taken place as planned. Jo Todd had tried to do this, and the Banks are being difficult with customers who are Charity based.

The pony hire rule is the same: we pay half the fee if School cancel on the morning of the session. If they cancel the day before there is no charge to us.

8 Fund Raising The same format appears to work.

Coffee Morning will be on Wednesday 20[th] November 2024 at Summerhouse Village Hall. Pippa Leech will organise this again. She has already two stall bookings and asked for anyone at this meeting with ideas to get in touch with her.

Volunteers are wanted to set up the afternoon before the event, and to help on the day to tidy away. Pippa will make the final decision on the stalls.

Jo Todd suggested a mailing list be made for the invitation cards announcing the Coffee Morning.

Quiz : Jo organised a very successful Quiz night last time at short notice, and she is willing to run the next Quiz. She has already had 5 table bookings before we set a date! £15 a head will be charged. Date of the Quiz will be Tuesday 11[th] March 2025.
Carol and Tim will be booked via Jo, to provide the food.

It was suggested from the floor that a Bingo night might raise funds, but after some discussion the matter was put on hold. We will discuss the matter again next year.

9 AOB Claire Hodgson had a message from Gill Simms about the Duck Race at Richmond where funds raised were distributed to Charitable organisations. We have missed this year’s race, but Claire will write to the organiser of the Duck Race asking for our organisation to be considered for 2025.

Tricia Woods has stopped helping and has sent a £25 donation as she had not been able to attend today.
10 Date for Next AGM The date is 8[th] May 2025
Anne Graham thanked everybody for coming this morning and for helping. The children do enjoy the time we spend with them.
Jayne Lawson sent some free tomato plants for anyone wishing to grow them on. Sara Vaux thanked the Committee for their help, with a round of applause. Meeting ended at 12.50 p.m.
