1 Welcome Anne Graham Chairman opened the meeting at 11.55 a.m. and welcomed everyone, especially new members Ian and Ann Roughton and Simone Barta

3 Minutes of 2022 AGM
Chairman enquired if everyone had received their copy and was it a true record of the meeting. Proposed by Sue Haynes and seconded by Pam Westgarth. The Chairman signed the minutes.
4 Matters Arising not covered elsewhere
Again the matter of lack of helpers came up. There are 28 names on the books and it’s a struggle to get people to the riding sessions.
Claire Hodgson informed us that the facebook page generated a few new helpers initially, but a recruitment drive needs to happen.
- Suggestions from the floor included contacting Catterick Group to see how their recruitment drive operated, contacting Riding clubs and the Zetland ride at the end of May and the local livery yard in Eppleby
Hilary Hindmarch is a qualified AI and offered to help with some teaching to help the RDA out. Claire Hodgson spoke about a meeting she is attending next week, with the first item on the Agenda being recruitment.
Item 5 on those minutes: Is everyone happy with our venue for the sessions? Anne Graham said the place is much better now.

5 Volunteers Elaine Wood spoke on the DBS forms. New helpers’ DBS cost us £9 each. This year we spent a few x £9 and then people haven’t attended.

Pippa Leech suggested that new helpers be given a choice of whether they paid £9 to be refunded to them after 6 months if they continued attending riding sessions, or this Branch paid the fee.

New helper Simone Barta volunteered to pay her £9, quickly followed by Ian and Ann Roughton.

6 RDA Website Elaine Wood informed us the site was very comprehensive. The email address is myrda.org.uk
7 Election of Office Bearers
As there was no movement here, all Office Bearers were re-elected on block. Proposed by Pippa Leech and seconded by Deborah Morgan.
8 Financial Statement We have made a loss this year. Claire Pope’s expenses were queried. This is thought to be a one off request as the next RDA inspector may not ask for expenses. These checks happen once every three years.

- Pippa Leech spoke about Christmas Cards. Normally in the region of £150 is profit, this year it was £50.
Pam Westgarth suggested an increase in the entry fee for the Coffee morning.
Jo Todd gave us a run down on the past year’s tussle with the Bank in changing our name to Zetland RDA. She still is not in receipt of a cheque book bearing the correct details.
- This week the Bank gave her an apology for the problems she has had and hoped we would accept their apology bolstered with a £100 amount going into our account and a hamper of food. As Jo has had the hassle with the Bank, Anne Graham suggested that she keep the hamper and she could choose what to do with the contents. Those present agreed. It was decided to give the Bank a chance to prove themselves, and we would give them a 6 month period in which to do this. Jo was thanked by Anne Graham.
Elaine Wood spent a moment explaining to the new helpers the £10,000 gifted to our RDA group.
Pony Hire has increased to £125 a session from September 2022, by our agreement.

9 Fundraising Coffee Morning will be held on Wednesday 22[nd] November 2023 at Summerhouse Village Hall. Pippa Leech will run the event and Claire Hodgson will book the hall. Pippa also said she will order the Christmas Cards and will liaise with Claire Hodgson.

Entry fee will be £3.50 this year.
Quiz will be held on 12[th] March 2024 at Eppleby Village Hall. Jo Todd to book the hall.

Last year £5.50 per person was charged by Game Cart. 100 meat portions and 10 vegetarian options were ordered.

£20 donation given to the Quiz Master towards the paper used for the quiz. Quiz Master to be invited to attend.
10 Any Other Business
Claire Hodgson reported on a meeting last week with two visitors, Julie Frost and Melanie Parry, both in the Yorkshire area and new into their roles of charity work, together with Anne Graham, Elaine Wood and Claire. All agreed that a recruitment drive is needed and the required skills are working with children and working with ponies. After Covid things changed dramatically. Julie and Melanie both suggested we build a relationship with the school to find out what the school wants from our liaison. Currently the arrangement is not working to our advantage. There is only one bus driver within school probably because of the cost of £2,000 to train a teacher to drive a mini bus. Today’s riding session couldn’t take place because the bus driver was ill. Anne Graham suggested a small group got together and visited the head teacher in an attempt to make this work for them and us. Feed back from parents is well received by us, though there wasn’t any last year. We may think about a third session of riding on the same day. Over a period of time our riding children have gone from physical disabilities to autistic.
A suggestion from the floor was that parents could be invited at the end of each term, rather than once a year.
Hilary Hindmarch spoke about her friend Jen, a helper, who used to work with autistic and other disabled children. Hilary will suggest a date at the beginning of the winter period when Jen will meet with the other helpers before the sessions start, without the children, to talk through how to communicate with autistic children.
Claire Hodgson spoke about the disarray at RDA HQ and reported that 3 new people had been appointed to the board.
