## **CHAIR’S REPORT (Peter Ingelbrecht) 28 April 2025** 

Welcome to this year’s AGM. My first year in the Chair seems to have flown by. 

First of all, I must offer hearty congratulations to our Head Coach, Chris Hollands for winning the Kent Coach of the Year award. Achievements like that increase the profile of the club immensely. 

It’s been another great year for the club with plenty of tennis played from mix-ins, tournaments, league matches, coaching, social play and fun events. Also, we had the introduction of walking tennis which has its regular core group of players. 

In its first full year the TigerTurf surface has been particularly well received. It’s rare to see a group of players choose the hard surface at mix-ins. In the future we may be looking at a different surface on courts 1 to 4. 

Membership of the club increased by around 17%, from 582 to 679 so that in itself shows the popularity of the sport. 

I wish to express my thanks to everyone on the committee for everything that has been achieved in the last year. 

To Tracy who does so much more than just the membership and has her finger on the pulse for all aspects of the club. 

To our outgoing secretary who did a sterling job on revising the CIO Constitution and updating the Management Committee Operating Procedures. 

To Dave and Julian for their work around the club and overseeing the installation of the new fencing by court 5. 

To Fiona, who takes on one of the most complicated jobs, juggling all the fixtures. This is probably the fifth time she’s been on her final year! 

To Andy for keeping the accounts in order.  To Kathy, Malcolm and Karen for arranging so many events throughout the year. 

It’s been a great team effort and don’t forget they are all volunteers. 

In the coming year we are looking to expand the clubhouse which has been a regular subject on our club surveys. Applications have been submitted and I understand have been received favourably. As for the proposals for Padel tennis courts, although gaining the land behind courts 5 to 8 wouldn’t be a problem, other issues may affect the project. 

Although I don’t know everyone at the club, in one way or another I have attended over 170 events in the last year. So that I can meet even more of you I have set myself a ‘Chairman’s challenge’ which will help towards our new charity, The Hythe Dementia Forum. I’ll announce it at the AGM. 

Let’s all be optimistic for the coming year. Hythe is a great, friendly club to serve our local community.

## **Notes for Final Accounts for the year 2024-25** 

These notes highlight the main points of this year's Final Accounts. 

The subscriptions for the financial year 2024/25 were £64,065. This includes early bird payments received this March that relate to the 2025/26 season.  This compares with the previous year's subscriptions of £51,042 

We have repaid a total of £1,800 loans to the LTA. We still have outstanding loans of £3,600 that will be repaid in full by December 2026. 

As a requirement for our LTA loans, we have transferred £30,000 to our sinking fund to prepare for future court replacement. Our sinking fund now stands at £71,220. 

There were no large one-off expenses during 2024-25. 

Major recurring expenses include ground rent (£3,200), electricity (£4,274), insurance (£751), league entry/ match balls (£1,303), affiliation fees (£1,370). 

After expenses, our social activities including supper nights, quiz nights and summer Saturday teas raised a total of £806.  We retain a total of £770 in our social fund. 

Members of the Club made a charitable donation of £1,500 to Cancer Research UK.  Most of this was collected separately and did not form part of HLTC accounts; however, we transferred £150 from the Club account, raising a total of £1,650. 

The outstanding balance on the interest free loan of £18,000 from the LTA for courts 1-4 at 31 March 2025 is £3,600 

I have examined the above statements of accounts, and certify them to be in accordance with the records presented to me and the information and explanations given to me.

## **RETIREMENT AND ELECTION OF CIO TRUSTEE** 

After 3-years in post and as per the Constitution of CIO, Gareth Coombes-Olney agreed to step down this year. Only one person was standing for this vacancy; Dave Hounsell received 40 Yes and 7 Skipped votes.
