Objectives and activities

 Sheffield Area Kidney Association (SAKA) was established to offer help and assistance to renal patients and their relatives, and to promote and encourage research into renal disease and kidney failure; and to disseminate the results thereof.

Summary of the main activities undertaken for the public benefit in relation to these objectives

 In planning our activities for the year we kept in mind the Charity Commissions guidance on public benefit at our trustee meetings:

 The focus of our activities remains advancing grants and assistance to renal patients in difficulty (following the advice of the renal social worker) and in awarding grants to the medical profession for studies into renal disease.

 In addition we help to keep Renal care at the forefront of the minds of the various Hospital trusts through our attendance of Directorate Management Team meetings.

 Finally, we continue to keep Renal patients informed with news and updates through our quarterly newsletter. We are grateful to Margaret Tupling for continuing the role of editor.

Achievements and performance

 SAKA Performance and Achievements 2023-24 During this period, the Board of SAKA CIO has met regularly to maintain oversight of the affairs of the charity, meeting six times in all, either face-to-face or virtually, to conduct business as appropriate, and provide the focus necessary to ensure that our charitable objects are being met. As ever, all meetings have been formally recorded in minutes that were subsequently approved and filed for easy access if required. These include a note of discussion topics and decisions taken, not least in respect of grant aid for patients, and other expenditures.

 The standing agenda includes an activity report from the Chairman and, as required by our Constitution, a financial update from the Treasurer, as well as regular reports on relevant medical and social work issues, including grant applications. Issues of interest or concern are considered on an ad hoc basis, with any necessary action delegated to (a) named individual(s) who subsequently report back to the Board on progress to ensure that actions are carried through as well as possible.

 From a governance point of view, we were pleased to welcome Victoria Broadley to the Board. This year Board members have, in particular, addressed the protocols around grant aid to patients, and have updated policy and procedures, taking care to ensure fairness and equality across the different categories of grant support. We revisited and confirmed arrangements for our meeting cycle, dates and venues, and considered possible changes to the SAKA website. The necessary steps in securing shell-company status for the original entity that was SAKA were agreed and adopted, but have not yet been finalised.

 The long-awaited letter to all renal patients was eventually sent out via the hospital service to (re)introduce them to SAKA CIO, and remind them of the services that we offer to them, their families and carers. Similarly, we carried through our investigation of the possibilities offered by local authority roadside signage and large retail centres, but negotiations with the local authority have proved protracted through changes of policy and personnel, and we still await a positive outcome. Arrangements are now in hand for supplementary promotional displays at Meadowhall Shopping Centre subject to final agreements being concluded with NHSBT. Latterly, as a different promotional initiative, we began to consider the possibility of installing a feature in a prominent position in the Northern General Hospital which will pay tribute to local organ donors and invite onlookers to consider donation themselves.

 To assure ourselves that our funds are being appropriately managed, we maintained our contract with Hebblethwaites of Sheffield to serve as Independent Examiner of SAKA's accounts, retained Mr Steven Dilks, of RPG Finance, Rotherham, as our Financial Adviser, who attended Board meetings on three occasions to update all trustees, and Brewin Dolphin as our investment managers. The appointed sub-group of Trustees, guided by advice from RPG Finance, have received quarterly reports on the performance of of our £1 million investment portfolio, and have shared this with colleagues as appropriate. Changes in the market suggested that we should review our investment arrangements, and appropriate steps were taken to review a range of fund managers during the following year.

 Also at the end of the reporting period, SAKA was pondering a significant change in its investment strategy, as we considered an invitation to support Kidney Beam, a national digital physiotherapy platform designed exclusively for renal patients. Such an investment would require funds to be placed outside the normal market, but offers the possibility of benefitting not only patients in the Sheffield area, but also across the UK.

 The Board has continued to receive and consider requests for grant aid from patients in need, with more applications this year, perhaps as a reflection of the increasing cost of living. Such requests are presented by a member of the specialist Renal Social Work team, who have a standing invitation to join committee meetings, and who supply evidence and background information in support of each request, after which trustees decide on the amount of grant aid to be given. encountered some difficulties this year when it has proved problematic for social workers to acquire all the relevant information from patients, who may be experiencing chaotic lifestyles while living with their condition. Additionally, and unusually, cases were presented on behalf of asylum seekers, which brought an extra and unfamiliar dimension to our consideration of their requests.

 However, during the year, a total of £7,600 was expended on direct grant aid to nineteen individual patients. This included awarding hardship grants for living costs, shopping vouchers, clothing, grants towards holidays, the purchase of furniture, including a dialysis chair, domestic appliances, and holiday dialysis. Additionally, the Board provided £300 to the Social Workers' fund for emergency situations. Also patient-facing, as is customary, SAKA once again sponsored the Sheffield Adult Team at this year's British Transplant Games at a total cost of £6,875.

 Encouraged by the ongoing excellent returns through our contract for a benefits advice service from Age UK Sheffield, early in the year we progressed our plans to expand this service to areas outside Sheffield. This was not straightforward, as Age UK has different offices in each local authority area. However, in time an accommodation was reached with Age UK Barnsley to provide a similar service for Barnsley and Rotherham patients, although it has proved difficult to introduce the same service to to patients in North-East Derbyshire. The Board conducted its annual review of its contract with Age UK Sheffield in May, and in light of the continued excellent work of our Benefits Adviser, Megan Rutter, and her colleagues, Trustees decided to maintain this contract at the cost this year of £8,000, but agreed that subject to review, this amount should rise to £10,000 for the coming two years.

 The exploration of facilities to underpin the good mental health and well-being of renal patients has continued, and has included conversations with local providers in both the public and charitable sectors, such that the substance of a contract for the provision of a sign-posting service and some direct support has been agreed and is being taken forward. An application was made to the ICB for a contributory grant to help meet the anticipated costs. We looked at a publication - 'The Happy News' as a possible medium for raising the spirits of those attending at dialysis units, and agreed to investigate this further.

 In a departure from historical practice, where the focus has been entirely on adult patients and their families, SAKA this year used its discretionary powers to provide some support to younger patients, particularly those cared for by Sheffield Children's Hospital (SCH). This support initially took the form of a collaboration with Kidney Research UK (KRUK) to make a grant of £2,000 towards the production and purchase of informative age-appropriate books for children with kidney disease, who will undergo transplant surgery at the regional centre in Nottingham. Since then, we have seen a positive relationship developing between SAKA and the SCH Nephrology Team, and we continue to explore areas where our support might be helpful.

 Other topics that attracted the attention of trustees included the on-going problems with Renal Social Workers staffing, local renal transplantation activity, the impact of industrial action on patient care, the availability of lateral flow tests, cardiovascular disease amongst renal patients, and the potential elimination of Polycystic Kidney Disease (PKD) through gene therapy.

 SAKA continued to represent patient interests, notably at the monthly meetings of the Renal Directorate Management Team, but also on an individual basis when necessary. Our collaboration with the Renal Dietitian Team has continued, meeting the cost of their publicity materials and additionally funding the acquisition of more pillboxes for patient use. We also continued our practice of recognising the hard work of renal staff by donating some gifts of chocolate at Christmas time, a small gesture, but, we believe, well-received.

 The Board has continued to make funds available for local research into renal disease and its treatment, although once again during this year we have received no applications to fund such work. However, as usual, SAKA did support hospital colleagues in an event to mark World Kidney Day.

 Although once again fundraising has not featured prominently in our work this year, income has nonetheless been steady if relatively modest. We benefitted from 'Just Giving' donations of £3,350,

'Give as you Live' raised £2,096, and 'Paypal' produced £586, while £3,249 has been received via regular donors and donations in memory of a loved one. £19,000 was received by way of bequests. We were surprised, but delighted, to learn that we have been adopted by a Korean boy band as their chosen charity (one member has renal failure) and local sky divers also lent their support.

 Our database of constituents and supporters has continued to grow, and both our Facebook page and our website have been consistently accessed by patients, with 12,852 website visits in-year (averaging over 35 per day), albeit a slight reduction on last year.

 We look back on a year where we have begun to exercise our ability to act on a bigger scale than ever before, and look forward with confidence to maintaining this attitude for the benefit of even more patients and their families.

Financial review

The continued kind support of members of the association as well as monies received from those associated with Renal disease is vital to SAKA's ability to continue its works.

Overall the association has recorded a surplus for the year of £84,850 compared to a deficit for the 2023 year end of £99,696; however, this is after temporary movements on the valuation of long term investments which recorded a gain for the year of £46,779 (2023 loss £97,171).

At the year end SAKA held £266,930 (2023 £259,101) in various bank accounts and had unrestricted funds of £1,395,708 (2023: £1,310,858). These funds are held to ensure SAKA have sufficient resources to meet current commitments as well as to ensure the charitable works of the association can continue.

SAKA hold £12,000 in a reserve fund, included within restricted funds, to ensure the charity can meet one full year of running costs in the case of financial distress.

Plans for future periods

In the coming year SAKA will continue to carry out it's core objectives of offering help and assistance to renal patients and their relatives, and promoting and encouraging research into Renal disease and kidney failure; and to disseminate the results thereof.

Structure, governance and management

How the charity is constituted

SAKA is a Charitable Incorporated Organisation made up of members and run by it's trustees.

Trustee meetings

The committee of trustees meet monthly to discuss developments in renal care at local hospitals as well as to consider grant and funding requests from patients and the medical profession.

Cash book summaries are produced every month by the Treasurer to enable the committee of trustees to make informed financial decisions that are in the best interest of the charity.

A scheme of delegation is in place and day to day responsibility for the administration of the charity rests with the officers, namely Chairman, Vice-Chairman, Treasurer, Secretary and any such officers as the Annual General Meeting shall determine from time to time.

Recruitment and Training of Trustees

Trustees are appointed based on them having an interest in, and being able to contribute positively to, the objectives of SAKA.

New trustees are inducted to the charity via the monthly meetings held and formal training is available to all trustees where this is deemed appropriate.

Risk Management

SAKA reviews its risk profile each year prior to renewing its insurance policy and, where appropriate, systems and procedures have been established to mitigate the risks that SAKA faces.

I report to the trustees on my examination of the financial statements of Sheffield Area Kidney Association ('the charity') for the year ended 31 May 2024.

Responsibilities and basis of report

As the trustees of the charity you are responsible for the preparation of the financial statements in accordance with the requirements of the Charities Act 2011 (‘the Act’).

I report in respect of my examination of the charity's financial statements carried out under section 145 of the 2011 Act and in carrying out my examination I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.

Independent examiner's statement

I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination giving me cause to believe that in any material respect:

  1. accounting records were not kept in respect of the charity as required by section 130 of the Act; or

  2. the financial statements do not accord with those records; or

  3. the financial statements do not comply with the applicable requirements concerning the form and content of accounts set out in the Charities (Accounts and Reports) Regulations 2008 other than any requirement that the accounts give a ‘true and fair' view which is not a matter considered as part of an independent examination.

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.

1. General information

The charity is a public benefit entity and a registered charity in England and Wales and is unincorporated. The address of the principal office is 7 Talbot Place, Sheffield, S2 2SS.

2. Statement of compliance

These financial statements have been prepared in compliance with FRS 102, 'The Financial Reporting Standard applicable in the UK and the Republic of Ireland', the Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (Charities SORP (FRS 102)) and the Charities Act 2011.

3. Accounting policies

Basis of preparation

The financial statements have been prepared on the historical cost basis, as modified by the revaluation of certain financial assets and liabilities and investment properties measured at fair value through income or expenditure.

The financial statements are prepared in sterling, which is the functional currency of the entity.

Going concern

There are no material uncertainties about the charity's ability to continue.

Judgements and key sources of estimation uncertainty

The preparation of the financial statements requires management to make judgements, estimates and assumptions that affect the amounts reported. These estimates and judgements are continually reviewed and are based on experience and other factors, including expectations of future events that are believed to be reasonable under the circumstances.

In the opinion of the management and trustees, there are no judgements or key sources of estimation uncertainty that have a significant impact on the financial statements, other than those highlighted below.

Fund accounting

Unrestricted funds are available for use at the discretion of the trustees to further any of the charity's purposes.

Designated funds are unrestricted funds earmarked by the trustees for particular future project or commitment.

Restricted funds are subjected to restrictions on their expenditure declared by the donor or through the terms of an appeal, and fall into one of two sub-classes: restricted income funds or endowment funds.

Incoming resources

All incoming resources are included in the statement of financial activities when entitlement has passed to the charity; it is probable that the economic benefits associated with the transaction will flow to the charity and the amount can be reliably measured. The following specific policies are applied to particular categories of income:

Resources expended

Expenditure is recognised on an accruals basis as a liability is incurred. Expenditure includes any VAT which cannot be fully recovered, and is classified under headings of the statement of financial activities to which it relates:

All costs are allocated to expenditure categories reflecting the use of the resource. Direct costs attributable to a single activity are allocated directly to that activity. Shared costs are apportioned between the activities they contribute to on a reasonable, justifiable and consistent basis.

Financial instruments

A financial asset or a financial liability is recognised only when the entity becomes a party to the contractual provisions of the instrument.

Basic financial instruments are initially recognised at the amount receivable or payable including any related transaction costs, unless the arrangement constitutes a financing transaction, where it is recognised at the present value of the future payments discounted at a market rate of interest for a similar debt instrument.

Current assets and current liabilities are subsequently measured at the cash or other consideration expected to be paid or received and not discounted.

Debt instruments are subsequently measured at amortised cost.

17. Related parties

On the 10th November 2021 the new CIO status of the Sheffield Area Kidney Association was recognised by the Charity Commission. On 4th May 2022 the assets of the old charity were transferred to the new charity using merger accounting. The two parties to the transaction were as follows: -
