## **[13. ] Appointment of charity trustees** 

(eg. appointed by, elected by) 13.1 **Retirement by rotation** 

- (a) At the first annual general meeting of the members of the CIO all the charity trustees shall retire from office. 

- (b) At every subsequent annual general meeting of the members of the CIO, one-third of the charity trustees shall retire from office. If the number of charity trustees is not three or a multiple of three, then the number nearest to onethird shall retire from office, but if there is only one charity trustee, he or she shall retire. 

- (c) The charity trustees to retire by rotation shall be those who have been longest in office since their last appointment or reappointment. If any trustees were last appointed or reappointed on the same day those to retire shall (unless they otherwise agree among themselves) be determined by lot. 

- (d) The vacancies so arising may be filled by the decision of the members at the annual general meeting; any vacancies not filled at the annual general meeting may be filled as provided in clause 13.1(e). 

- (e) The members or the charity trustees may at any time decide to appoint a new charity trustee, whether in place of a charity trustee who has retired or been removed in accordance with clause **Error! Trustees Report - FY23 

**Summary of the main achievements of the charity** The committee has worked well together to examine what we do as a **during the year** club and how we can make things better for all our athletes regardless of their event or ability. 

Some examples: 

- Reviewing competition opportunities for our young athletes to ensure the club can support the

We have grown! 

New coaches and assistants have come forward to support our established coached on a regular basis. 

New athletes – we have a steady stream of new athlete enquiries, in some areas more than we can currently accommodate. 

New volunteers have stepped up to take on vital roles in the club, most recently Anita French is joining Sarah Samuel as our 2ndWelfare officer as required by EA. Claire Duck has taken up the mantle of the women’s team manager role for the senior harriers. 

But we can still do more: 

Goals for the coming year: 

- Build our squad! 

- · Do better with our senior T&F team – restore our position in the Northern League, and then beyond! 

- · Encourage competition within our young athletes section · Better provision with Throws coaching · Work with the council to improve the quality of the facilities · Celebrates our successes together more 

As ever, I can’t thank our coaches and volunteers enough for what they do to support the club on an ongoing basis. And we continue to improve and review what we do with a better structure to our coaching provision put in place this year. We have welcomed new coaches and volunteers, some bringing expertise from other clubs with them, we hope more

people will continue to get involved, in particular around officiating at club matches. 

The club is fortunate to be in a strong financial position, and a key focus for 2023 will be to develop a financial plan to agree key areas where investment may benefit the club. We are expecting our hire costs of JCCS to increase in April 2023, and following several years where both membership and training fees have been frozen, this year we are increasing membership fees by approximately £3 per person. 

Work to improve our communication with club members and followers has delivered a new website, with updated content, policies all online. Work in progress is further development and release of club rankings and club history. Please also like our public Facebook page and keep an eye out for any updates and messages on there. 

Next steps will be to make the leap to centralise all our club admin in the cloud and reduce the admin burden on our volunteers using an app called Coacha. This will ensure that the right people get the right information, and coaches, team managers and committee can see relevant information easily, you can sign up for races, pay training fees etc all in one place! Watch this space. 

Treasurers Report - FY23 

FY23 marks our first full financial year since we became a Charitable Incorporated Organisation (CIO) having transferred to the CIO on 31st August 2021. 

Membership Subs & Training Fees continue to be our main source of income, and these have fallen slightly versus last year. Included within this figure is an £1850 contribution from Leeds University Athletics Club to allow for joint use of JCCS on our Tues & Thurs club nights. 

Competition entry support continues year on year with the club contributing to entry fees for the major XC and road championships across all age groups, along with entry into both the Yorkshire Development League for our Young Athletes and the Northern Track & Field League for our u-17, u-20 and Senior athletes. 

The club has been invited to compete at the European Clubs XC Champs in Spain in February, with both a Men’s Team and a Mixed Relay Team. On top of a £1000 grant from the English Cross Country Association towards travel and accommodation costs, the club is matching this with a further £1000 of support. 

Prize money was received during the financial year from both the English Cross Country Association for our Ladies victory and Men’s 2nd place at the English National XC Champs in February 2022, and also from

London Marathon Events for the Men’s 1st place at the Vitality London 10km in May 2022. These monies have been reimbursed to the contributing team members. 

EA Grant for Parasport support has rolled over from FY22, with an additional £500 raised by Paul Moseley from the hire of a wheelchair to EA for the Commonwealth Games. Paul continues to oversee the reinvestment of these grant monies back into the Para-section of the club. 

The club continues to invest in equipment for its members with pole vaults having been purchased for our young athletes at an overall cost of £999.68. 

We are very grateful for the two donations received during the year from Martin Roscoe and through Alison Varley’s superb efforts with the annual Boxing Day Handicap held at Harehills Park. 

Additionally, we have received a £500 grant from England Athletics which the Committee is using towards hosting an Annual Awards Evening at JCCS on Sat 18th March, which will also be subsidised from our cash reserves. 

Looking ahead the Committee is monitoring closely proposed increases from Leeds City Council in relation to JCCS hire for club nights. We remain in an excellent financial position and the Committee will look at establishing a transparent budget for FY23 and plans to reduce down our cash reserves by investment back into the club.
