Letter from the Chair of Trustees:

As Chair, I am pleased to report another year of progress for our charity.

This year, we developed targeted training programs for trustees, enhancing our governance skills and strategic insight. The trustee board are proud of the impactful music therapy projects that have been delivered, transforming lives and broadening access for people of all ages. A particular highlight was the national exposure we received through Comic Relief, which helped bring our mission to a wider audience, raising awareness and support for the life-changing power of music therapy.

The charity continues to go from strength to strength.

WAVES MUSIC THERAPY TRUSTEE ANNUAL REPORT.

Year ended June 30th 2024

The Trustees present their report and financial statements for the year ended 30 June 2024.

The financial statements have been prepared in accordance with applicable law and United Kingdom Accounting Standards (United Kingdom Generally Accepted Accounting Practice) and comply with the charity’s governing document, and the Charities Act 2011.

WHO WE ARE

Waves Music Therapy is a West Sussex based team of HCPC-registered, experienced, and friendly therapists and music practitioners who endeavour to provide the highest standard of music therapy provision. We are musicians who use our therapeutic tool kit, clinically recognised psychological interventions and creativity to connect and communicate with our service users in the way that is appropriate for them and their needs.

Waves provides music therapy sessions to individuals with a range of complex additional needs including social, emotional, mental health, trauma, physical, communication and learning needs. Our work provides opportunity for meaningful relationship building, self-expression, creativity and communication, reduces stress and anxiety, all of which leads to improved confidence and self-esteem, emotional well-being and growth.

Our mission

OUR MISSION:

Our mission is to enable any person, with any additional need, who seeks to engage in clinical music therapy with our qualified, HCPC registered therapists, to be able to do so. The charity will work across the county of West Sussex to ensure that there are no barriers to accessing the service and will use our funds to support our clients to engage in music therapy.

Waves Music Therapy provides individual and group clinical music therapy sessions for any person with any additional need who will benefit from a safe, accessible therapeutic space. Music therapy supports the social, emotional, mental health, communication, learning and physical needs of our service users with the objective of improving well being and quality of life.

The Trustees are aware of Charity Commission guidance on public benefit reporting as set out in Section 17 of the Charities Act 2011. They believe Waves Music Therapy fulfils a fundamental public benefit by:

“For the public benefit, the relief of those in need by reason of physical and mental health, ill health, disability or social disadvantage through providing clinical music therapy by HCPC registered therapists with the overall objective of improving quality of life.”

A look at 23-24

• An increase of 75% in number of music therapy 1:1s, groups, immersive music and rap workshops delivered.

• Our income saw a significant increase this year, rising from £132,000 in 2023 to over £200,000 this financial year.

• We secured over £84,000 in grants to support our work.

• Over 90% of our services were delivered free at the point of contact .

• The Toby Project raised over £12,000 in support of our mission.

• Our team welcomed new practitioners: Music Therapists Lori Standen, Kitty Cooper, and Lizzy Coulson; Art Therapist Kerry Kinnell; Community Musician Mike Fry; and Rap Artist Ed Hallwood.

• We proudly hosted our second annual conference in October 2023

• We celebrated the official opening of our music therapy studio.

• We were honoured to be chosen as the Lady Captain’s Charity of the Year at Ham Manor Golf Club.

• Our work was featured in a BBC film , with the BBC Education team creating lesson plans for primary schools nationwide through rap workshops, and online our wider reach is over 24,000

• Waves Music Therapy also had the privilege of running a workshop at

10 Downing Street.

BBC Comic Relief

In 2023, Waves Music Therapy made significant strides in expanding our rap and spoken word workshops, thanks to funding from Youth Music and BBC Comic Relief . With this support, we launched the innovative "Rapper in Residence" program at several local specialist schools. Designed to engage at-risk young people who are outside of mainstream education, the program uses music as a powerful tool to promote self-expression, foster positive peer relationships, enhance confidence, and ignite creativity.

In February 2023 The BBC contacted Waves wanting to make a BBC feature film of the work showcasing its impact. The film followed students Jacob and Riley, highlighting how their experience with music-making, guided by artist Louie, transformed their school life, friendships, and learning journey. The film is available for viewing on both our website and the Comic Relief website.

Following this, the BBC Education team further recognised the importance of our work by creating lesson plans based on the film, which were distributed to every primary school across the UK reaching over 2,400 schools. This initiative sparked nationwide conversations about the role of music therapy and the impactful work of Waves Music Therapy.

Funded over 500 hours music therapy and rap workshops

10 Downing Street

It was an incredible honour to be invited to 10 Downing Street to lead a music workshop for 35 young people from across the UK as part of Mrs. Akshata Murty’s "Lessons at 10" initiative. To be placed alongside esteemed contributors such as The Victoria and Albert Museum, Vogue Magazine and The Girls' Network speaks to the significance of Waves Music Therapy’s work.

This remarkable opportunity not only allowed us to showcase the transformative power of music therapy on a national stage, but also provided a vital platform to engage directly with key leaders on the pressing mental health crisis affecting young people . The workshop exceeded all expectations, with Mrs. Murty praising our rap artist, Ed, as a “genius.” The event culminated in an incredible spoken word performance by the children, delivered as they ascended the historic staircase of No.10, under the watchful gaze of Winston Churchill, Margaret Thatcher, and Prime Minister Rishi Sunak. This moment powerfully highlighted Waves' expanding influence and the significance of our work within such a prestigious setting.

New posts & partnerships

• We expanded services into new school settings: Palatine, Chesswood, Oak Grove College, Bohunt, Angmering High, and Three Bridges Primary School.

• Fully funded a Ukrainian choir, offering community and music making opportunities for Ukrainian guests.

• Launched the "Rapper in Residence" program at LittleGreen Academy and Cornfield School, empowering young people through music.

• Used Worthing CIL funding to bring together young people from Oak Grove and Durrington for collaborative music projects in spoken word. Delivered brand new, innovative immersive music experiences at Palatine and Oak Grove schools.

• Hosted rap workshops with new groups at Audio Active, Worthing Children’s Homes, Chichester Boys Club, Maybridge, and Aspens. Delivered training in engaging young people with additional needs in music at the West Sussex Music annual conference.

• Continued delivering impactful music therapy sessions with Momentum Children’s Cancer Charity in Sussex.

• -Partnered with VAAC for training, leading to new partnerships and volunteer introductions.

Waves Conference 2023

On October 7th, 2023, Waves Music Therapy proudly hosted its second annual conference at Creative Heart, Littlehampton, welcoming 27 Creative Arts Therapists and students. The event was designed to be inclusive, accessible, and affordable while maintaining the highest standards of experiential learning, professional development, and networking opportunities.

Attendees benefited from 6 hours of Continued Professional Development (CPD), featuring a diverse range of presentations:

• Tina Warnock : An Introduction to Vocal Psychotherapy

• Louie LeVack & Ruth Spencer: Loops for Songwriting

• Micro-vignettes from Waves therapists

• Jeni Gill : Experiential: 6-Part Storytelling

The feedback from participants was overwhelmingly positive, with many highlighting the quality of the presentations and the welcoming atmosphere. Attendees praised the experiential nature of the sessions, noting the practical insights they gained. Several therapists shared that the networking opportunities were invaluable, and they left the day feeling inspired and equipped with new techniques to integrate into their practice.

In addition, 240 young people attended one-off rap workshops. These were for ongoing mental health support, and for transition support from primary to secondary school.

2023-24 has been an extraordinary year of transformation and growth for Waves Music Therapy, and we are incredibly proud of all we've accomplished. We've expanded our team, welcoming new therapists and practitioners to ensure we continue delivering exceptional, high-quality music therapy and music workshops to children, young people, and adults with complex needs. Our focus remains steadfast on being accessible to all, breaking down barriers to reach those who need us most.

A standout moment was our invitation to Downing Street, where we proudly showcased the transformative power of music therapy and its incredible impact on a national stage. We are excited to build on this momentum in the year ahead!

Financial Review

Total income for the year ended 30 June 2024 was £207,670,

made up of 48% from therapy sales, 41% from grants and 11% from donations.

A breakdown of our therapy sales revealed that less than 8% was funded by private individuals and families. The rest we helped our service users to access funding – for example from social services, pupil premium, charities, virtual school, direct payments.

Total expenditure in the year was £175,426 . Of this over 83% paid directly for delivery of music therapy/workshops.

As Waves seeks to support people at their point of need, including assisting with financing sessions, we are keen to secure grants for ongoing projects as well as secure grants to enable us to meet our operational costs. We will also endeavour to build up reserves to enable us to finance the charity’s commitments for 3-6 months.

Any funds described as “restricted income” are available only for the specific projects or purposes determined by the funders. In addition, we hold “designated funds” which have been raised for a specific project or purpose.

Financial Review

FINANCIAL REVIEW

As part of the year end process the Trustees reviewed the charity’s Reserves Policy. It was confirmed that the policy was still valid, and that the charity would maintain free reserves because: it has no endowment funding and is entirely dependent on income funding from year to year, which is inevitably subject to fluctuation, and it requires protection against, and the ability to continue operating despite catastrophic or lesser but damaging events.

To this end, Waves Music Therapy aims to accumulate reserves equal to 3 to 6 months unrestricted expenditure. At the end of June 2024 our unrestricted reserves (excluding designated reserves) stood at £49,501; this represents just over 5 months of unrestricted expenditure.

Governance

GOVERNANCE, STRUCTURE, AND MANAGEMENT

Waves Music Therapy registered as a Charitable Incorporated Organisation on 14 June 2021. The charity is governed under its Constitution. The Trustees have a responsibility to ensure that all aspects of the charity’s activities are properly conducted and carried out in full compliance with its Constitution. All Trustees give their time voluntarily and receive no benefits from the charity. No expenses were claimed by any Trustee during the year.

CEO

• Victoria Hartkemeyer. As a music therapist and founder of the charity, she is best placed to continue to drive the charity forward. She reports to the board of Trustees.

CORE TEAM

• Hazel Child takes clinical leadership responsibility, working closely with therapists. Hazel and the core team report to Victoria and the board.

• Ruth Spencer has the role of Finance lead, focusing on the delivery of projects supported by grants and overseeing the spending of each. Anna Macken leads on fundraising.

The Trustees undertook training in trusteeship roles and governance; and the Trustees and Core team undertook training in safeguarding; strategic planning and funding strategy development in this year.

Governance

GOVERNANCE, STRUCTURE, AND MANAGEMENT

The Trustees are appointed under the terms of the Constitution. Each new Trustee is given a copy of the Constitution, details of their responsibilities as a charity trustee, contact details of fellow Trustees and core team, background on the charity’s strategy and current projects and other information useful in pursuing their role. New Trustees are recruited in consultation with the CEO to ensure that the requisite skills are available to support the charity’s activities.

The Trustees provide governance and develop policy for the charity and accept ultimate legal authority for it. The Trustees formulate and regularly review the long- and short-term strategic aims of the charity as well as setting specific goals and priorities. The Trustees approve budgets and are responsible for the good stewardship of the charity’s resources.

They work in partnership with the CEO with a view to furthering the charity’s objectives. The Trustees are responsible for preparing the Report of the Trustees (Annual Report) and the financial statements in accordance with applicable law and United Kingdom Accounting Standards (United Kingdom Generally Accepted Accounting Practice).

Independent auditor

Report to the trustees of Waves Music Therapy CIO on accounts for the year ended 30 June 2024.

I report to the trustees on my examination of the accounts of the above charity (“the Trust”) for the year ended 30 June 2024.

Respective responsibilities of trustees and examiner

As the charity’s trustees are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 (“the Act”). The charity’s trustees consider that an audit is not required for this year (under section 144(2) of the 2011 Act and that an independent examination is needed.

It is my responsibility:

• To examine the accounts under section 145 of the 2011 Act;

• To follow the procedures laid down in the General Directions given by the Charity Commissioners under section 145(b) of the 2011 Act;

• To state whether particular matters have come to my attention.

Basis of independent examiner’s report

My examination was carried out in accordance with the General Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts and seeking explanations from you as trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a “true and fair” view, and the report is limited to those matters set out in the statement below.
