## **Chairman’s Report. Santon Bridge Village Hall CIO 1194150 Chairs Report - Financial Year 20th April 2024 to 19th April 2025** 

Thanks for coming to the AGM of Santon Bridge Village Hall Charitable Incorporated Organisation (CIO) – particular thanks to members of the local community who have joined us this year – I’ll try and keep this AGM short but it has been a busy year This AGM covers the year up to the 19th of April 2024 so doesn’t  include any activities over the last 7 months. 

Firstly we need to agree the previous years AGM minutes, which were circulated after the meeting last year – is everyone happy to agree the minutes? 

We also need to check that existing committee members are happy to be re-appointed to the committee but I’ll come back to that because at this point I should also say this will be my last chairs report as I stood down as chair at the October Meeting this year after 13 years as chair. I am delighted to say that Chris Swallow has agreed to pick up the baton and I know he will make an excellent chair. 

So, moving on are all the other committee members happy to be re-appointed? All confirmed yes. 

Now, back to the Chairs report - As I mentioned, it's been a busy year **-** As a consequence of warm spaces grants, the previous financial year (2023 - 2024) included a greater number of Committee arranged events than the reporting year to April 2025. However this year we did hold two Art and Craft Fairs, two rummage sales and an excellent Arts out West sponsored event about the life of Gertrude Lawrence. 

All of these events involve a lot of work, not only by the committee but also by members of the community who give to the tombola, cake stalls, donate rummage and their time so I’d like to thank them for their invaluable support 

In December 2024 our longest standing committee member stood down. So I’d like to thank Hazel Pye for forty years of sterling work on behalf of the hall and community. 

A key undertaking in the financial year to April 2025 was the purchase, fitting and testing of an LPG generator to provide warm space facilities for the community in the event of power outages in the area also affecting the hall supply. The project, funded by ENWL Storm Arwen Community Resilience fund, originally envisaged setting up a changeover switch to allow a borrowed generator to be safely connected to the village hall circuits but was expanded to include buying the generator. This may prove invaluable for community resilience as weather events seem to multiply and other issues may well compromise the community’s power supplies and also the availability of fast broadband. 

In February 2025, towards the end of the financial year a building condition survey was commissioned, revealing some expected and some unexpected defects. The original building is now over 160 years old and even the main hall has passed its century so not too surprising that repairs and improvements are needed. The end of the financial year to April 2025 marked the start of a process to learn more about the works required, through various surveys and the preparation of an application to South Copeland GDF Community Partnership’s Community Investment Fund (CIF). 



My thanks to Madeleine Warren for leading on this time consuming process which, assuming success, will lead to even more time commitments in implementing the improvement programme 

In addition to all of the above there has of course been the usual regular users of the hall, all of whom add to our community objectives. The 100 Club continues to be a valuable contributor to the hall’s funds and my thanks to Trak Fryer for managing the process. I would also like to thank Alan and Chris for their team work over the year on various maintenance and other works around the hall and its grounds over the year. So – a busy year – but none of this could have happened without the help and support of the committee and I would like to thank you all for this - and to the many local community helpers who step in to help at our events and are an essential part of the team - my thanks to them also. 

So, many thanks from me again to all those involved over the year and my special thanks to Madeleine for keeping our finances and many other things – except me - in order I now hand over to Madeleine for the treasurers report 

## **Finance report to the Trustees year end 19 April 2025** 

This report covers the financial year from 20th of April 2024 to 19th of April 2025. The hall made a loss on the year of £720 overall. However, this loss was largely due to approximately half of the funding for the generator project being received in the previous financial year and the expenditure being incurred in this financial year. The purchase and fitting of the generator has been included in section B4 “Assets retained for the charity’s own use” as has the cost of the electric heater now installed in the kitchen. 

Excluding grant income and expenditure on assets, the net income to the hall for 2024 - 2025 was £1,363. 

## **Receipts** 

Total receipts for the year, were £10,699. This compares to 14,569 in the previous financial year, a reduction of £3,870. A major reason why income was higher in 2023 - 2024 was the final transfer of £2124, from the Santon Bridge Institute (SBI) bank account. 

Another factor was that receipts from fundraising events in 2024 - 2025 were £1,295 lower than the previous year. The Winter art and craft fair income suffered from poor weather and only one Arts out West event was held. Also some warm spaces events in 2023 - 2024 generated some income in addition to the grant. 

Total grant income was also £476 lower in 2024 - 2025 with £2,019 of the funding for the generator project having been received at the end of the previous financial year. 

A reduction of £223 in receipts for hire of the hall and equipment reflected timing of invoicing rather than a reduction of activities in the hall. 

The reductions were partly offset by a small increase in Hundred club income. In addition interest received was £203 higher in the year to April 2025. 

## **Payments** 



Operating expenses for the hall were £6,788, £1,031 less than the previous financial year. Event expenses and licences reduced by £1,341. In 2023 - 2024 warm spaces events utilised the grant of £1,005. The remaining reduction in expenditure is primarily due to only holding one Arts out West event rather than two as in the previous financial year. 

The above reduction in cost was partially offset by increased heating and lighting costs of £328 due to an increased rate for electricity after the previous contract ended. Repairs and maintenance were £157 higher. These included replacement of the hot water geyser in the kitchen. 

Other costs remained broadly similar year on year. 

Expenditure on fixtures and fittings was £4,631 and included the LPG generator and electric radiator fitted in the kitchen. At the financial year end 2024 - 2025 Santon Bridge Village Hall CIO held £43,237 in cash and bank accounts, vs £43,957 brought forward (-£720). The total value of assets retained for the charity’s own use now stands at £73,767. 

Robert Davi’s has undertaken an Independent examination of the accounts and reports no concerns.
