## **Structure**
We are a charity that manages a village hall and the activities that happen within it. We have a committee of volunteers who meet once a month to organise and run fundraising events. These events financially support the hall and enhance local community life. We have three trustees who meet six times a year to oversee the charity and to make sure it is achieving its objectives.
## **Trustee recruitment policy**
Anybody who meets the criteria of the charity commission is able to apply to become a trustee. The minimum number of trustees is three. If the number of trustees falls below this, the remaining trustees must call a meeting and appoint a new trustee. The maximum number of trustees is 11. The trustees must not appoint a trustee if it would mean that the amount of trustees would exceed this number. Every new trustee must be appointed for a minimum term of 3 years. In selecting individuals for appointment, the current Charity trustees have regard to the skills, knowledge and experience needed for the effective administration of the Charity.
## **Objectives**
To raise money to maintain The Village Hall for the public benefit of the residents of Michaelston-y-Fedw and the surrounding areas.
To provide events, activities and entertainment to boost community morale and to enhance the mental health of the local residents in difficult times.
To make sure The Village Hall and the community of Michaelston-y-Fedw are inclusive to everyone who wishes to take part in village events and activities.
To maintain The Village Hall carpark for the use of ramblers and the local church.
To provide a safe private area for the police to run local clinics to liaise with the residents of Michaelston-yFedw.
To provide a space for Local Councillors to host their Ward Surgeries.
## **Activities**
1. The CIO events/amateur dramatics team arranged for 52 local self funded people to go to Corfu for 10 nights to recreate the songs from Mamma Mia the film. The purpose of this was to create a film that could be shown at the village hall to raise funds for the maintenance and running costs of the village hall.
2. The stage was modified further to be able to convert the hall into a skittles alley.
3. A local group of critical thinkers utilised the village hall for their monthly meetings.

4. The hall provided rehearsal space for the local young farmers group to rehearse for their annual production.
5. A quiz and curry night was put on by a committee member. Curries were made and donated by local
6. A number of private events were hosted in the newly refurbished hall including children's birthday parties, christenings, weddings and thanksgiving.
7. A local group used the hall for their band practice and went on to do a performance raising money for Parkinsons disease.
8. The space was made available for the continuation of training for community first aiders.
9. The space was made available for a young lady from the community to teach line dancing classes as part of her gold Duke of Edinburgh award.
10. The CIO events team arranged their annual Christmas crafting event for adults and children. A local resident brought his homemade sleigh through the village pulling Father Christmas and his elves, bearing gifts for the children who attended the event.
11. A member of the community put on a musical lyric quiz and raised over £2,400 for the hall. The CIO liaised with Dominos Pizza who kindly donated pizzas for all the attendees during the evening. A great time was had by the organisers and the community members who took part.
12. The village hall supported the church by hosting events free of charge and donating the bar profits to the church.
13. The village hall events team put on a Ceilidh on new years eve for the local community.
## **Achievements**
1. One of our main objectives is to make sure the activities we undertake are inclusive to everyone and that the hall is for public benefit. Our Committee and Trustees work tirelessly to ensure that this is possible for the local community. In order to make sure we achieve this we put on events and shows to raise money for the running costs. In this annual reporting period we created our major production ‘Mamma Mia Michaelston style’ which raised over £11,800. This allowed us to keep hosting our local community volunteer groups free of charge. This also helped us to do some essential maintenance and upgrades to the hall. These included installing new electric blinds, buying new chairs, painting the windows and maintaining the roof.
2. The performance standards of the community improved hugely due to their increased involvement in the CIO amateur dramatics society. This body is run by a group of people who volunteer lots of their time to improve the talent and well-being of the residents of Michaelston-y-Fedw. Mamma Mia proved to be a huge community bonding experience.
3. The village hall was used as a polling station and is used by the council for their local ward surgeries. Community council is also held there by the local volunteer councillors who work hard to look after our village.

4. A group of talented volunteers modified the stage at the hall so that it could be converted into a skittles alley. This has resulted in skittles evenings being hosted at the hall several times a year raising money towards the running costs that we incur.
5. Due to the fund raising efforts of the Trustees, Committee and a team of committed local volunteers, we were able to host a variety of local groups free of charge to ensure that we were inclusive to the entire community regardless of financial means. These groups include, Michaelston ladies, Critical thinking, the Local Band, Community First aiders and Young Farmers. We were also able to help the church by hosting various events including Shrove Tuesday Lunch, an Evening of Glamour and Sparkle and Harvest Dinner to raise money for them free of charge.
6. A member of the committee raised money for the hall by hosting his annual Quiz and Curry event. This event brought together 65 local residents for a fun evening and brought in over £1,400.
7. The annual Christmas crafting event was made possible as a result of all the fundraising efforts throughout the year. This is an event that brings together the local community including all of the children who were delighted with the arrival on a sleigh of a local resident bearing gifts. This is an achievement thanks to the hard work of the CIO and the people who volunteer to keep it running. It also raises money for the teenage cancer charity ‘Latch’.
8. The Ceilidh event arranged by the events team brought the community together for New Years Eve and in doing so raised over £2,000 for the running costs of the village hall. This was a wonderful way for the CIO to gather everyone together and celebrate what can be achieved in a small village when everyone works together towards a common cause.

## 1 **ACCOUNTING POLICIES**
## **Basis of preparing the accounts**
The financial statements have been compiled on the receipts and payments basis. It consists of an account summarizing all the money received and paid out by the charity in the financial period and a statement giving details of its assets and liabilities at the end of the year.

The loan of £10,000 is from Michaelston-y-Fedw Internet CIC. There is no interest nor repayment terms associated with the loan.

A donation of £1,446 was made to Latch, Welsh Children's Cancer Charity.
