Introduction

This report covers the period between 1[st] August 2022 and July 31[st] 2023.

This is the second year of the operation of Carlton Operatic Society CIO. The Constitution of the CIO demands that an AGM takes place no later than 15 months after the previous AGM; the first version of the 2022 report was discussed and approved at an AGM on 29[th] September 2022, with examined annual accounts approved in May 2023.

The annual accounts for the 2022-2023 season have now been independently examined; this new report includes the examined accounts for discussion and approval at a general meeting, following which they will be submitted to the Charity Commission.

Structure, governance and management

Carlton Operatic Society is a Charitable Incorporated Organisation, governed with an ‘association model’ constitution.

Trustees for the charity are elected by the membership at the annual general meeting (AGM), for a period of up to three years, and are responsible for the management of the Society. They receive no remuneration for their role as trustees. Further trustees can be appointed as necessary to the board by trustees between AGMs, subject to those appointed trustees resigning at the next AGM. Trustees need not be members of the charity prior to their appointment or election.

The charity has no employees.

Objectives and activities

The object of the CIO is to promote and improve general education in relation to all aspects of the art of drama and musical theatrical performance for the public benefit.

Following the successful production of “Shrek The Musical” in May 2022, work commenced on the 2023 production, “Kinky Boots”. This license for this production was obtained in 2019, prepandemic, and was originally scheduled to be performed in our 2022 slot, following “Shrek The Musical” (in 2020) and “Kipps The New Half A Sixpence Musical” (in 2021). The 2022 dates were for the early part of May, during the school term, and “Kinky Boots” as a musical which was not aimed at a family audience was selected for that year with that in mind – our usual performance dates of the half term at the end of May not being available. Unfortunately the postponement of “Shrek” from 2020 to 2021 and then to 2022 meant that it ended up being in that early May week, and “Kinky Boots” instead occupied the half term week in 2023. This negatively impacted ticket sales for both performances – “Shrek” missed out on mid-week matinee family audiences reducing the contribution to our funds, and “Kinky Boots” missed the adult audience who had chosen to go on vacation for the half term break.

In our 2022 report we indicated that we were keen to do more to enable access by school and youth organisations for future productions, and to investigate how that might be supported in conjunction with local businesses. The outbreak of war in Ukraine, and the cost-of-living crisis that ensued rendered this moot, and further impacted ticket sales for “Kinky Boots”.

Finally, it took a considerable amount of time to obtain the revenue for tickets from the Theatre Royal, meaning that the receipt of those monies occurred beyond the end of the period covered by this report, and some of the expenses for the show were settled after the period as a result; these are reflected in the accounts as trade debtors and creditors. There is an additional sum of money due as income to be reflected as programme and merchandise cash sales which will be reflected in the accounts for 2023-24.

Overall the show will have lost £12,837; this is due to poor ticket sales and means that we will need to be very cautious over our choice for our 2025 production – the 2024 production already being scheduled as “Kipps – The New Half A Sixpence Musical”, licensed in 2019, and deferred from 2021.

The trustees of the Society have paid due regard to the Charity Commission’s guidance on public benefit in deciding what activities the charity has undertaken this year.

Achievements and performance

The main achievement of the charity for the period in question was the artistically successful mounting of our production of “Kinky Boots”. The show had a It very diverse cast; some of the cast were performing in their first show, and a number were performing with Carlton for the first time. 3924 people saw the show over the week, many of whom were new to musical theatre. The reviews from the professional reviewers were glowing, and audience comments were also positive.

We invited the local charity Notts LGBT+ Network to collect money after each of the performances, and they reported a good collection and positive audience feedback.

Financial Review

During the 2022-2023 period our expenditure totalled £116,993 and our income totalled £103,904.

We hold reserves of funds in order to ensure that we are able to continue to produce theatrical productions; we aim for those funds to be sufficient to allow for a very unsuccessful production to not reduce the funds available to the charity to the point at which it is not possible to produce further productions. The funds of the CIO need to continue to grow to reach this secure position, but the trustees are satisfied that the reserves currently held allow us to continue with our planned production for 2024. At the end of the 2022-2023 financial year the accounts showed that we had £26,293 held in reserve.
