It operates in accordance with a constitution adopted 15 April 2021. If the charity is wound up, the members have no liability to contribute to its assets and no personal responsibility for settling its debts and liabilities. ## _Management_ The trustees make the key decisions about the conduct of the charity. The trustees give their time voluntarily and do not receive any remuneration for services to the charity. The day-to-day management of the charity is carried out by the trustees of the charity along with support from a community administrator, a social media manager and 4 x social run leaders all who work for the charity part-time in a self-employed capacity. ## _Recruitment and appointment of trustees_ Trustees are appointed in accordance with the charity’s governing document which states that there must be a minimum of five charity trustees. Members and trustees are responsible for the appointment of new trustees. Each trustee is made aware of their duties as a trustee upon appointment and accept their responsibility to keep up to date with changes in statutory requirements that affect the role and responsibilities of trustees. Upon appointment a new trustee will be provided with: - a copy of the current version of the constitution; and - a copy of the charity’s latest report to the Charity Commission and the statement of accounts. ## _Risk management_ Business decisions and the associated risk factors are considered at least annually. As part of this process the internal controls that are in place are reviewed. Internal control risks are minimised by a clear system of delegated authority and control, and procedures for the authorisation of all financial transactions. The trustees are satisfied that these are currently adequate to manage and reduce the risks identified. ## **Section C: Objectives and activities** ## _Charity objectives_ The object of the CIO is the promotion of community participation in healthy recreation for members of the Afro-Caribbean community by the provision of facilities for trail running. The charity does this by addressing three critical areas that create barriers to inclusion and participation for our members. These are in the fields of: **Access, Skills, and Representation** . ## _Activites undertaken to meet charity objectives_ The main activities undertaken during this financial year which address the charities objects and critical areas include: **Trail Taster Days** – Members were invited, at no cost to themselves, to a 6-hour session at several UK outdoor locations. During these sessions members had the opportunity to listen to, and ask questions of, experts in navigation, nutrition, kit, activism and strength and conditioning. During the afternoon session of these days, members – of all abilities – had the opportunity of participatingin a trail run, led by a qualified coach. **Ramsay Round Project** – Six members took part in a trail running challenge which took place over 3 days in the Scottish Highlands. The aim of the project was to arm members with the skills needed to navigate across mountainous terrain as a team, with the support of Black Trail Runners expert allies, and while doing that promote the Ramsay Round – a round that was created by a Scottish Black man called Charlie Ramsay. The project was filmed for a national online running YouTube channel. Members were selected based on ability, motivation, and availability to travel at the select time. The successful completion of this project led to an increase in publicity for the charity and its members. **Kit Loan Scheme** – The financial resource in purchasing trail running kit is a barrier to entry and we were able to secure funding to purchase products which are available for members to loan for trail events. Kit contains a tent, poles, rucksack, head torch, compass etc. This scheme is promoted to members via social channels. **Race Entry Scheme** – A trail event bursary scheme is available to members on application. Due to the financial outlay of participating in some trail events – access, kit, registration – being high, we offer our members a contribution to partial, or full, costs. We invite applications to be made and allocate funds accordingly. **The Checkpoint Podcast** – We created, and hosted, a regular bi-weekly podcast with the mission to address barriers to participation and inclusion via interviews with people of colour from across the sporting and activism sphere. Guests featured were a mixture of elite and amateur athletes. **BTR Social Runs** – We hosted a variety of social runs which provided an opportunity for our community to come together at various locations around the UK. All runs were led by a volunteer trustee. These runs took place in South East and South West England. Four runs were funded by a grant from Slow Ways. The aim of these particular runs being to guide our members on a Slow Ways route. **Speaking Engagements** – Members and trustees were invited to speak about the objective of the charity, initiatives worked upon and future objectives at a host of festivals including Fort William Film Festival, The National Outdoors Show and Kendal Mountain Festival to name but a few. **LiRF and CiRF Qualifications** – We promoted the chance for members to request financial support to undertake Leadership in Running Fitness (LiRF) and Coach in Running Fitness (CiRF) qualifications. The aim of these being to upskill members thus enabling them to contribute to lending their skills to BTR community members looking for expert advice. **Black Trail Runners Merchandise** – A variety of t-shirts, vests, hoodies,and socks were designed and made available to members via our website. This allows our members to further represent the charity when at trail running events and promotes the importance of representation. The charity delivers a benefit to the public through the pursuance of its principal objects: To promote the activity of trail running to members of Afro Caribbean descent by working on initiatives that address Access, Skills and Representation barriers. ## _First financial period_ These accounts for 2021 –2022 cover the charity’s first financial period. The focus for the period was on building the community of members and, through positive promotion of the mission and objectives, igniting and growing relationships with potential funding bodies, organisations and private entities who might want to allocate funding to the charity and therefore play an important role in encouraging more people of Afro-Caribbean descent to the activity of trail running. ## **Section D: Achievements and performance** The trustees consider the key achievements to include the following: **Membership Numbers** – Our membership numbers continue to grow, daily. This is seen through the increase in charity members and social media followers. **Access** – Through our activities we have enabled members to explore outdoor spaces never visited before due to issues with access, skills and representation. Our trail taster days continue to grow, with an ever-growing schedule planned for 2022/2023. We have worked with race organisers who have offered free/discounted places for our members and, owing to this, have represented at trail events such as London Revolutions Trail Run, Ultra X, Infinite Trails and The Speed Project to name but a few. We know that this has inspired people of AfroCaribbean descent both nationally and globally. **Skills** – Our members continue to benefit from understanding the skills needed to feel confident and safe in the outdoors. We are contacted weekly by experts looking to work with us to deliver skills sessions and, more often, members request for us to bring experts to the community to discuss areas such as fuelling, kit and navigation. Many of our skills sessions are now led by member requests and the outcome of this can be seen in the increasing number of members feeling more confident when accessing the outdoors. **Representation** – Black Trail Runners is increasingly generating opportunities to represent. Be it trail events, speaking opportunities or across traditional and social media. The success of this work is seen in the variety of global brands seeking to partner with us and lend their resources to help us address barriers to access. The trustees believe that the charity should target to hold unrestricted financial reserves equivalent to a minimum of three month’s operating costs. Based on the above policy, the trustees calculate that the target level of free reserves would be approximately £1,500. As of 6 April 2022, the charity’s free reserves were £2,589. The trustees are confident that the current level of reserves is sufficient to cover three months of operating costs. As of 6 April 2022, the charity held restricted reserves of £272. I report in respect of my examination of the Charity’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination, I have followed the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act. ## **Independent examiner's statement** I have completed my examination.
