The trustees of Jens Special Place present their annual report and accounts for the year ended 31 March 2023 and confirm they comply with the requirements of the Charities Act 2011. 

## **Our Aims** 

Our aim is to alleviate children and young people’s associated feelings of grief, and loneliness through social- interaction with other bereaved children and young people. Jen’s Special Place provides a safe and empathic environment to allow children and young people to freely express the dynamics of grief and explore their feelings, which in turn supports their overall health and wellbeing. 

Jens Special place supports children up to the age of 17 years in Scunthorpe and the surrounding areas of North Lincolnshire. 

## **Our Objectives** 

To relieve the needs of bereaved young people, especially but not exclusively through the provision of recreational and leisure activities, provided in the interest of social welfare. We aim to do this: 

- Through planned activities and social evenings, including trips out. 

- By bringing bereaved children together 

- By providing information and encouraging beneficiaries to share experiences 

- Giving emotional and practical support to parents/carers and bereaved family members 

## **Review of activities and achievements** 

During 2022/2023 Jens Special place supported 53 new families, which consisted of 66 children and young people. We delivered 3 social events 



per month, apart from Christmas when we joined 2 socials together. This meant we delivered 35 socials in total for the year. This was split into 2 age  categories, 11+ age group met once monthly and 2 sessions per month were delivered for age 10 and  under. Social evenings are always delivered with the different needs of children in mind by providing a variety of craft and game activities. 

Families also enjoyed trips to the Scunthorpe Plowright Theatre, Messingham Zoo and China Rose Restaurant in Bawtry. The 11+ age group had sessions at the local bowling alley and we started to incorporate crafts and games at these sessions too. Jens Special place also hosted their annual Christmas party for younger children and we provided gifts and chocolate for all children at Christmas. Jens special place provided counselling and 121 therapeutic support free of charge to 12 children and young people and 2 parents in response to young people’s needs. Both ‘Parent circle time’ and ‘children’s circle time’ has continued to go well and has continued to be facilitated by volunteers. 

## **Future plans** 

We have been unable to move forward with our development plan this year due to the increase in demand for our service, therefore our focus and resource has been diverted to creating a strong and sustainable volunteer base to support our continued growth. However, our plan to secure our own building to run the charity from will progress in the forthcoming year and still remains a key priority for the Trustees as the number of families we support grows. 

## **Our fnances** 

Over the year we had an income of £5,568 increase in our overall balance, having an income of 13,357 and an outgoing of 7,789. Our main income has come from donations and from fundraising events. In January 2023, we hosted a fundraising Firewalk event which raised over £4,000. 

## **Our ethos, strategy and policy** 

We put children and young people at the heart of every decision we make and really listen to our beneficiaries. We have created and implemented policies to ensure the safety and welfare of children and young people as well as volunteers and trustees, these include policies on safeguarding and conflict of interest. We have open communication with other organisations and charities who also share our passion for supporting bereaved children and their families and welcome any collaboration opportunities; believing we can provide better outcomes for beneficiaries by working together. 

Born out of grief itself, Jen’s Special Place continues to embody a true sense of passion and care for its beneficiaries. 

## **Structure, Governance & management** 

All trustees give of their time freely and no remuneration were paid in the year. Our trustees are Jemma Akers-Jacklin (chair), Pauline Akers (Treasurer), Sarah Hopkins and Deborah Kershaw. All trustees currently volunteer for the charity alongside their trustee role. All trustees were 



appointed in March 2021 and meet quarterly to discuss and review services and to reflect on future goals. 

## **Risk management** 

The Trustees are responsible for the overseeing of the risks faced by Jens Special Place. 

Detailed considerations of risk are delegated to the Chair of Trustees. Risks are identified, 

assessed and controls established throughout the year. The main risks that the Trustees have identified and the plans to manage those risks are: 

_Reputation:_ In order to prevent any damage to reputation the charity continues to review services and communicate as effectively as possible to our beneficiaries and supporters. We create an open dialogue with beneficiaries in order to gain an insight into their experience in order to help improve our services. We work with local businesses and supporters and show our gratitude via thank you cards and social media posts. We ensure our ethos is adhered to with the right volunteers and trustees in place and maintain our reputation through the upkeep of our website and other outward facing platforms. 

_Money:_ To keep running costs down we aim to build and maintain relationships with local business and organisations, who in turn kindly offer their space or services for free or at a reduced cost. We aim to have a strategy in place for fundraising and grant applications in the near future. 

_Volunteer support:_ In order to recruit and retain volunteers we aim to have support in place in terms  of training and supervision to ensure good volunteer experience. Feedback is also vital when a volunteer leaves or disengages. Good communication is key and a plan to develop a volunteer journey is still being considered. Volunteers are encouraged to attend external training events to enhance their learning and skill set. 

## **Trustee recruitment and training** 

There must be a minimum of three trustees on the trustee committee in order for the charity to run efficiently and to fulfil the charity’s legal obligations. If the number falls below this level the remaining trustees must call a meeting to appoint a new trustee. 

Apart from the first trustees, trustee’s should be appointed for a minimum of three years and will be appointed at a properly convened meeting. In selecting individuals for the role Trustees should consider the individuals skills, knowledge and experience needed for the administration of the charity.
