## **President’s report** 

The Trustees of the charity account are the Past President, President, Secretary and Treasurer. 

It has been another busy year for e-Club South West Peninsula.  Our main community project has been Wrap Up with more drop off points this year and more clubs joining us.  We have enjoyed stewarding at the Devon County Show, South Molton Vintage Rally, the Honiton Show and for Santas on Bikes. 

Members have attended the District Conference, online Rotary Conferences, the District Assembly and Rotary development and training sessions.  We have enjoyed Quiz and fun nights and two face to face get togethers: one at Fisherman’s Cott near Tiverton and a BBQ at the Glovers. 

We have supported local and International causes including Toys for Refugees, Shelterbox (Myanmar), Lend with Care, Global Sight Solutions and the ND Hospice Cuddle Appeal, as well as the Poppy Appeal on Remembrance Sunday. 

We have also promoted various causes including Bipolar UK and the Don’t Bottle It Up mental health campaign.  We have had interesting speakers from Mary’s Meals, NICE and others. 

Finally, while we are still a small club, we have ended this Rotary year with a nett gain of two members.

## **Treasurer's Report** 

The club raised over £2,490 through a mixture of approaches and used these funds to directly support a number of good causes as can be seen in the accounts and as mentioned in the President’s Report. We have spent £2,787, an overspend of £297. This overspend was financed from the reserves of the former business years accumulated in our benevolent account. 

The club account, used for covering the costs of the club and paying subscriptions to Rotary GB&I and District, accumulated a total of £1,315 paid in by our member subscriptions. We have paid a total of £1,943 to cover the Rotary fees/subscriptions, the fees for our website and Zoom, our communication tool, as well as a £750 penalty raised by Companies House for a late submittal of our accounts. This results in an over expenditure of £585. We have also contributed an amount of £108 to the Rotary Foundation. 

After having cleared all the outstanding issues with Companies House and HMRC, we were finally able to have our PLC to be stricken off. 

The club is still registered with the Charity Commission of England and Wales, number 1193829.

## **Statement of the Trustees/Directors Responsibilities** 

The Trustees are required to prepare financial statements for each financial year which give a true and fair view of the state of affairs of the Club and of the profit or loss of the Club for the year. In preparing these financial statements, trustees are required to: 

- Select suitable accounting policies and apply them consistently 

- Make judgements and estimates that are reasonable and prudent 

- State whether applicable accounting standards and recommended practice have been followed, subject to any explained departures. 

- Prepare financial statements on the going concern basis, unless it is inappropriate to presume that the Club will continue in business. 

- Keep proper accounting records which disclose accurately the financial position of the Club at any time. 

- Ensure that the financial statements comply with relevant legislation and guidance. 

- Be responsible for safeguarding the assets of the Club and for taking reasonable steps for the prevention and detection of fraud and other irregularities. 

In as far as the trustees are aware, there is no information of which the Club's independent examiner is unaware. The trustees have taken all reasonable steps to make themselves aware of any relevant information and to establish that the independent examiner is aware of that information.

## **Independent Examiner's Report to the Trustees of the Rotary e-Club South West Peninsula** 

I have examined the accounts and records of the Rotary e-Club South West Peninsula prepared by the Treasurer for the year ended 30th June 2025. No matter has come to my attention which gives me reasonable cause to believe that in any material respect the requirements to keep accounting records and to prepare accounts which are in agreement with those records have not been met **nor** in my opinion, are there any matters to which attention should be drawn in order to enable a proper understanding of the accounts presented for approval.
