## ABOUT US 

## **Supporting Families** 

**We are a non-profit organisation started by a couple of local mums during the pandemic of 2020. The creation of Baby Necessities came from a motivation to help alleviate child poverty after watching a documentary on the growing need for baby banks in the UK.** 

**Our vision was to support families during hardship, as well as see the baby items our children no longer needed, re-used to protect the environment and reduce unnecessary waste.** 

## **What we do** 

We collect good quality, pre-loved items such as clothes, toys and equipment, and distribute them to families in need across Southampton and surrounding areas. All items are cleaned and, where necessary, safety checked. We take care in the presentation of our bundles and every one of them is lovingly prepared by one of our volunteers. 

## **Who we help** 

Access to Baby Necessities is via third-party referral by professionals such as community midwives, health visitors, GP’s, family support workers, social workers, educator or teacher, food bank volunteer, religious leaders etc. 

We aim to meet each request with our stock of donated items and help individuals and families from all backgrounds, regardless of their personal situation, by providing their little ones (up to the age of 5 years old) with the basic supplies they need. 

So far we have helped cases of financial difficulty, domestic abuse, homelessness, refugee/asylum seekers, single parents, young parents, and women who have been trafficked. 

## **Our aims** 

- To help alleviate child poverty across Hampshire by providing new and good quality pre-owned items to families experiencing hardship. 



- To promote recycling of second hand items in  order to protect the environment and reduce unnecessary waste. 

- To promote safe sleeping by providing a moses basket with a brand new mattress **.**

“What a privilege it has been to join the board of Baby Necessities and become the Chair! 

I am continuously impressed by the vision, determination and altruistic outlook of the Baby Necessities team. A second year of growth and success is down to the hard work and efforts of staff and volunteers alike. In a world where demand for our support is constantly growing, it’s wonderful to recognise the contribution we make and the role we play in helping to make life for parents and their children a little easier. 


And with our fantastic funders, donations from a wide range of organisations and friends, and referrals from so many directions, I see the support from Baby Necessities helping many more families in the future. 

Together with the other trustees, I look forward to supporting Baby Necessities in its good works in 2023.”

## **WELCOME** 

## **Funding and Communications Manager:** 

My name is Gillian and I work as Funding and Communication Manager for Baby Necessities. I joined the Baby Necessities team in August 2022, and it was a real eye opener to see just how many families were experiencing extreme hardship. Then the cost of living crisis hit, and things got so much worse. Those who were managing before, were now no longer able to provide the basic necessities for their families and our referral rates started to soar. Sadly, this trend has continued month on month - by the end of 2022 our referral rates had more than doubled from when the charity started 2 years ago. 


Baby Necessities give these families some hope. We provide the basic items needed ranging from clothes to toiletries, pushchairs to cots, formula to food, and more. Our moses basket starter kits are beautiful - lovingly prepared; a gift we would be proud to give to our friends. We don’t often meet the beneficiaries, but get frequent feedback from the referral partners who deliver the items. They say how much they love doing it and comment on how 

the recipient’s faces light up. Not only have we provided those families with the practical help they need, but we have also shown them that someone cares which gives their mental wellbeing a massive boost. 

It makes me so proud working for Baby Necessities. Just before Christmas we received a phone call from a social worker. A mother had fled a domestic abuse situation with her 3 very young children with nothing but the clothes on their backs. In two hours we were able to provide a huge bundle of clothes and toys. We helped make a truly awful situation just that little bit better, and give that mother one less thing to worry about. This is just one story 

of so many. We will never know what journey this family followed moving forward, but I am so grateful that we were there to make a difference. 

I love my job. I don’t love that our charity is so necessary; that there are so many families out there struggling and experiencing such hardship. Unfortunately, it is now more needed than ever, so we will continue to do our bit to strive to give the families, whatever their circumstances, the help they need and hopefully make their lives a little bit better.

## **FUNDRAISING AND CAMPAIGNS** 

## MOTHER’S DAY APPEAL 

Every year we want to be able to do something special for the Mother’s that we support. That is why we decided to do the Mother’s Day appeal where we collect brand new pamper items, chocolates, smellies and gift sets that we can then distribute throughout March. 

This is our first year doing this appeal and we managed to hand out 45 pamper bags filled with goodies! We are thrilled to be able to celebrate these women and hopefully put a smile on their face. 


## EASTER RAFFLE AND CHRISTMAS RAFFLE 


In April we held a raffle to win a hamper of Easter goodies. The hamper included chocolates, cupcakes and a tray bake lovingly made by our Funding and Communications Manager. Thank you to everyone who took part and helped us to raise **£115.** 

In December we drew our Christmas raffle which raised a whopping **£785!** Thank you to the businesses that supplied the prizes and the supporters that purchased tickets. 

## CHRISTMAS PRESENT APPEAL 


We teamed up with other local organisations to be a collection point for brand new Christmas presents that would then be passed onto the charity SCRATCH. SCRATCH are a fantastic charity that provides Christmas gifts to children experiencing poverty and hardship. Their aims align with ours, which is why we were so passionate about helping them with their Christmas appeal. 

We were delighted to be able to fill up a van full of goodies. This is all thanks to our supporters.

## **NATIONAL LOTTERY FUNDING** 

**In June 2022, we received the very exciting news that we had been awarded another grant. Thanks to the players of The National Lottery and The National Lottery Community Fund, we were awarded £204,704 to cover the next 3 years of operational costs.** 

This grant has so far helped us to move premises, employ a new member of staff and continue to ensure running costs are covered.  As part of the agreed grant we opened up our service to 5 days a week, increased the number of donation mornings and increased the number of volunteer sessions we run. 

We continue to be very grateful for this funding that helps us to meet our charity objectives and ensure that we serve as many families as we can.

## WE’VE MOVED! 

**Our new address is: Unit C1 The Premier Centre, Premier Way, Romsey. SO51 9DG** 

On the 2nd May 2022 we collected the keys to our new home. This premise is twice as big as our previous unit and has space for us to hold more donations, a community area to run training sessions and a much needed office space. 

With our new funding and bigger premises , we have been able to increase our donation mornings to two days a week. Now taking pre-loved goods on Tuesday and Friday mornings. 

From the 1st October we were able to open our service to 5 days a week Mon-Fri, allowing more opportunity for bundles to be collected and volunteers to join us. 

This move has been just what we needed to allow our charity to grow!

## **CHARITY PARTNERS** 

## SOUTH WESTERN RAILWAY 

We were thrilled to be chosen as the charity partner for South Western Railway for the next two years. 

A big thank you to one of their employees for nominating our charity and to the rest of the workforce there for voting for us! 


South Western Railway gave us **£1000** as a 

Welcome donation and are keen to help us in any way they can with fundraising and promoting our charity. It’s looking to be a very exciting two years ahead. 

## SOUTHERN CO-OP 


Our other charity partner The Co-Operative Food Romsey, Abbotswood donated 10 

boxes of mince pies for our Festive Coffee Morning. They also raised **£250** for us by hosting a raffle to win a festive hamper. 

Co-Op also supply us with cleaning products for our premises and tasty treats for our trustee meetings and networking events. Thank you Co-Op! 

## ROTARY IN ROMSEY 


We are very lucky to be one of the charity partners of the Rotary in Romsey. Throughout the year they put on fundraising events and we are fortunate enough to get a split of the money. 

As a thank you, we invited the members to a breakfast morning to show them around and talk about how their money would be used to support our charity. It was a lovely morning and we were presented with a cheque for **£342.54** as a donation from a concert that they held.

## **GIVE A GIFT** 

## Update on our Give a Gift campaign 

So far our supporters have bought hundreds of pounds worth of presents to make sure children don’t go without on their birthday. We have had toys, crafts, pjs, clothes, puzzles, books and more, all purchased brand new to help make the act of receiving a gift as special as possible. 

We are also lucky enough to be working alongside Free Cakes for Kids Southampton who have a fantastic group of volunteers that make the most amazing birthday cakes! 




“Just like with the baby bank, Baby Necessities take third party referrals from health professionals, charities and other organisations across Southampton and the surrounding areas. These bundles are then collected by the referrer and delivered to the family in time to celebrate the child’s big day. This year we have distributed over £3,543 worth of birthday gifts! 

We hope to make all the children we help smile and give them the special day they deserve.” - Operations Manager.

**ROMSEY RELAY MARATHON** 

**On the 1st May we gathered a team to represent Baby Necessities in the Romsey Relay. Despite the rain we had a fantastic day which was superbly organised by the Rotary in Romsey.** 

Thank you so much to our dedicated team of 10 runners who made great time round the course, and even our mini runners who managed 1.3 miles in the kids race! 

**This fantastic event raised a total of £345.**

**WALK THE TEST WAY FUNDRAISER** 

**This year, team Baby Necessities joined the Romsey Rotary Club for a second year, at their annual fundraiser ‘Walk the Test Way’.  On the 25th September 2022 we completed a range of miles including 5 miles, 11 miles and 16 miles and managed to raise over £700.** 

This is a fundraiser we would love to be a part of every year and are always on the look out for more volunteers to join our team! Get in touch if you would like to join us in this fun and rewarding challenge.

## **VOLUNTEER PROGRAMME** 



Our volunteers continue to amaze us with their hard work, dedication and constant enthusiasm with each and every task. We have been very lucky to have a pool of regular volunteers  who either come on site or take home clothes for washing and sorting. 

We also have a few occasional volunteers who come once a month as and when they can. Each one being just as important and beneficial to the team. 



Our most recent addition to the volunteer programme is our corporate volunteers who use company dedicated time to do charity work. _Why not ask your workplace if they offer volunteer hours and consider using them to help us and support local families in need?_

## **Trustees’ Report** 

The trustees are responsible for preparing the trustees’ annual report and the financial statements in accordance with applicable law and United Kingdom Accounting Standards. 

Charity law requires the trustees to prepare financial statements for each financial year which give a true and fair view of the state of affairs of the charity and of the incoming resources and application of resources, including income and expenditure, of the charity for that period. 

The trustees are responsible for keeping accounting records which disclose with reasonable accuracy the financial position of the charity and enable them to ascertain to ensure that the financial statements comply with Charities Act 2011. They are also responsible for safeguarding the assets of the charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities. ## **STATEMENT FROM THE BOARD OF TRUSTEES’** 

## **Statement of Public Benefit** 

Our service benefits children of families who, for various reasons, do not have access to the basic essentials that every child deserves. We provide bundles to our referral partners in and around Southampton. In providing our services we further benefit the public, as follows: 

- **Families:** Providing the essentials helps to ensure that infants and young children have a safe place to sleep, are clean and are suitably clothed. This helps to relieve both financial pressure and emotional stress by having Baby Necessities providing the basics. 

- **Referral Partners:** Professionals now have a service within the local community that they can reach out to when a family that they are working with are in need of basic and essential supplies. 

- **Wider Community:** We offer a volunteering opportunity where members of the community can learn new skills and meet new people. 

- **Environment:** Through the redistribution of second hand items we are reducing unnecessary waste. The general public can donate their pre-used baby items which will go to good use, help families in need and also have a positive impact on the environment. 

Under Section 17 of the Charities Act 2011, the Trustees have given serious consideration to the Charity Commission’s general guidance on public benefit when planning the charity’s activities and in particular to the relief and prevention of poverty in children. 

## **Methods used to recruit and appoint new trustees** 

New Trustees are recruited by the board and in line with Baby Necessities Southampton’s Trustee Recruitment Policy. Positions are advertised across our social media channels, on our website and using platforms such as Reach Volunteering. Interviews take place with a trustee and a senior member of staff. Prior to appointment, Trustees are DBS checked and are required to sign our Trustee Declaration. Newly appointed Trustees will receive a formal induction which will outline the work of the charity and a set of key documents (such as policies and the constitution), to enable them to gain the required information to fulfil their role. 

Where a skills gap is identified on the board, we aim to seek Trustees suitable to fill this gap. 

## **Future Plans** 

Baby Necessities are looking to continue the essential service that we have provided over the last two years, and plan to meet the ever increasing demands for our service. We plan to meet these demands by recruiting new members of staff and hosting more volunteer sessions over the coming years. 

We also plan to further our impact in the local community by providing free training and well-being sessions for the public to access, as well as broaden our range of information on local charities and organisations to improve our signposting service.

## **STATEMENT FROM THE BOARD OF TRUSTEES’** 

## **Financial Review and Reserves Policy** 

Baby Necessities has had a successful second year, generating an income of £69,795 (a combination of restricted and unrestricted funds) via grants, donations and fundraising activities. Our total expenditure for the year (net of asset disposal proceeds) was £66,985 and a sum of £2,810 was carried over. Within this surplus was utilisation of restricted funds brought forward from the previous year. Our restricted funds at the end of the financial year totalled £10,563 across several funding providers including National Lottery and Hendy. Across various grants expenditure is restricted for certain expenses including premises, salaries and certain types of equipment. 

Donations-in-kind are not reflected in the income or expenditure within our financial statements but represent a significant additional donation stream and source of sustainability. Brand new items (from our Amazon wish list and handed in on donation mornings) are valued using the recommended retail price (RRP) when they are received. The charity received approximately £5,493 worth of donated brand-new items in 2022. 

The Trustees agree that the charity should maintain unrestricted funds which are the free reserves of the charity, at a level which equates to approximately three to six months worth of running costs. This provides sufficient funds to cover management, administration, support costs and to respond to emergencies. 

The trustees actively review the major risks which the charity faces on a regular basis and a formal reserves policy is being put in place. The trustees are mindful of the requirement to build up sufficient reserves but recognise that this could take 3 to 5 years. 

The board has no concerns about the charity’s ability to continue operating.

I report to the trustees on my examination of the accounts of Baby Necessities CIO (the Charity) for the period ended 31 December 2022. 

## **Responsibilities and basis of report** 

As the charity trustees of the Charity you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 (‘the Act’). 

I report in respect of my examination of the Trust’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act. 

## **Independent examiner’s statement** 

I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination giving me cause to believe that in any material respect: 

1. accounting records were not kept in respect of the Trust as required by section 130 of the Act; or 

2. the accounts do not accord with those records. 

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.
